    Dealer Administrator - PTA

    Job Description

    • The aim of this position is to closely control and execute the administration around receipts of dealer contract submissions, the quality thereof as well as the funds related to this process. Also to keep the data current related to and process payments, clawbacks, reversals, recurring revenue and client activity brought in through the Dealer Sales Channel. Process and maintain all information pertaining to the above accurately and timeously, strictly adhering to cutoffs and deadlines.

    Minimum Requirements:

    • Matric
    • Post-Matric Qualification - advantage

    Excel - Essential

    • 1 - 2 Years Experience in a similar role

    Job Function:

    • Create New Dealer on the Dealer Program
    • Prepare Annual Submissions Dates Calendar and E-mail it to Dealers
    • Keep contract checklist current and QA accordingly
    • Check and update Bonus Multiples before purchasing contracts
    • Communicate cutoff dates for submissions and pro-rata treatment
    • Prepare the recurring revenue, submit for payment and send to the dealer on the 15th of each month
    • Prepare and communicate individual DSF statements to the dealer
    • Capture contracts that were purchased on the DSF
    • Capture weekly stats
    • Review continuous feedback from Dealers on rejects
    • E-Mail Pro-Rata sheet showing accepted and rejected deals to the Dealer
    • Estimates for weekly passes
    • Final figures for weekly Purchases
    • Liaise with Due Diligence on passed calls and provide contracts to order entry to capture
    • Prepare and distribute the purchasing stats
    • Prepare submission summary
    • Print invoices which need to be deducted from the dealer payment. Depending on the outstanding invoices
    • Process clawbacks, reversals and out of warranties.
    • Purchase Contracts
    • Scan and e-mail dealer payments debit notes, credit notes and technical invoices
    • Submit payment summary invoices to FSC (debit notes, credit notes, pro-rata summary and technical invoices)
    • To capture all clawback & reversals on the DSF scan and email to FSC and to dealers
    • SOP’s must be upheld
    • Meeting and keeping on agreed-upon targets
    • Ensure SOX compliance at all times.
    • Review invoices to identify any errors before invoice delivery.
    • Maintain and update customer database.
    • Improvise existing billing procedures to avoid recurrence of errors.
    • Timeous Resolution of internal & external queries within the agreed departmental/business unit SLAs;
    • To provide telephonic & written communication (feedback) to bank and region as & when the queries are resolved
    • Ensure that the company principles are upheld at all times

    Technician

    Overall Purpose of the job:

    • Be able to do the installation of electronic equipment for the security industry at commercial and industrial premises from Alarms, Access control, CCTV, Fire, Installation, Wiring, Commissioning

    Minimum qualifications and experience:

    • Matric or equivalent
    • Minimum 3 years’ experience as an Electronic Security technician
    • Programming, wiring, installations and fault-finding experience
    • Valid code 08 driver’s license essential

    Dealer Administrator - 4 Months Contract

    Overall purpose of the job:

    • The successful incumbent will be responsible for providing assistance and support to the Dealer Development Manager and the Dealerships with regards to client query resolution, other means of correspondence handling and administration functionalities as required, maintaining due diligence and accuracy.

    Duties & Responsibilities:

    • Updating and distributing of daily, weekly and monthly statistics (i.e. weekly purchases, DDM Reports, Commitments, etc.)
    • Managing the contract process to ensure that all contracts are accounted for and received as per Listener data provided
    • Customer complaint resolutions: Managing client queries, complaints and the moving of clients to ensure that all matters are promptly resolved and referring those to Dealers where their assistance is required
    • Managing General Dealer correspondence
    • Processing the reversal of claw backs and distribution thereof to Dealers and ADT Finance departments, in addition to providing Dealers with information required regarding their clients within the 1 year warrantee period
    • Providing Dealers with feedback regarding potential claw backs on a weekly basis and continuously following up on them
    • Ensuring compliance with the Code of Conduct, specifically, with reference to sales, technical and SMS testing forms
    • Providing Dealers with assistance in obtaining customer codes and credit vets within the standard operating procedure timeframes
    • Undertaking active premise checks
    • Reporting on area activity, sales, cancellations, operations and potential opportunities
    • Reporting to be completed timeously and accurately on a weekly and monthly basis

    • Experience on Listener would be advantageous
    • Experience of Dealer program software would be advantageous

    ATM Reconciliation Coordinator

    Purpose of the role:

    • To coordinate and reconcile ATM transactions by ensuring accurate cash orders, daily balancing, issue resolution, and effective liaison between branches, clients, and the National Reconciliations Manager.

    Key responsibilities:

    • Communication of and follow up on instructions to allocated branches with regards to monthly cash orders, packing schedules and re-deposits
    • Branch liaison and real-time issue resolution with regards to cash orders, transfers, packing schedules and ATM loads, etc.
    • Daily monitoring, pulling from the system (I-Cash) and review of branch capturing.
    • Intermediary between client and branch with regards to instructions, issues and normal day to day business
    • Balancing on ATM devices on a daily basis.
    • Working on a balancing sheet, providing accurate feedback.
    • Working on claims received from the client.
    • Dealing with CPC Activations (stained and burnt notes)
    • Mapping and reporting to National Reconciliations Manager of new ATMs as they are rolled out on monthly basis. This is to enable the client to do proper cash order planning.
    • Obtaining an understanding of all reported issues from branches, keeping a log and escalating timeously and accurately to National Reconciliations Manager.
    • Provision of training from time to time, to branch supervisors/Recon Clerks on the Capitec ATM process.
    • Other related activities as instructed by NR Manager
    • Assisting with operational queries.

    Requirements:

    • A proven understanding of the reconciliation process
    • Good MS Excel, Word and Outlook skills
    • Able to coordinate and manage branch supervisors
    • Good administrative skills and discipline
    • Be able to manage effectively to work towards daily deadlines
    • Good interpersonal skills to deal with positions ranging from branch tellers to client management.

    Daily/monthly reporting:

    • Daily ops report on float returns per branch – confirming receipt, float balance, cash order check, cash count, cash certificates and redeposits. Submitting daily all branch recons plus float certificates to Capitec.
    • With each monthly cash order cycle, monitoring and daily reporting on cash order confirmations received from branches, highlighting issues and short received.
    • Keeping a log of issues reported, including cash order issues, ATM technical issues etc.
    • Reporting of shortage’s and surpluses on a daily basis.

    Security Site Manager - Mining

    We have vacant position for Operations Managers available in Emalahleni/Witbank / Middelburg area. 

    • The overall purpose of the position is to ensure that all site-specific security requirements are adhered to and that the Client’s needs are always efficiently and professionally met (as per the SLA).  To ensure the posting of Security Officers and ensure that all operations are managed timeously and effectively. 

    Minimum Requirements 

    • Grade 12 (Matric) Certificate of equivalent. 
    • Must have mining site knowledge. 
    • PSIRA Grade A/B registered and accredited, up to date. 
    • No Criminal Record or any pending cases. 
    • Valid driver’s license with own reliable transport. 
    • Minimum 2 - 5 years’ Site Supervisory or Management experience. 
    • Staff Management experience essential. 
    • Computer literacy. 
    • Clear Criminal Record. 
    • Must be physically fit and in good health. 
    • Must reside in the greater Witbank/Middelburg area or willing to relocate on own cost.  

    Key Performance Areas: (not totally inclusive): 

    • Maintaining good relations between Fidelity Security Services and clients regarding security services rendered. 
    • Daily feedback and liaison with Fidelity Security Services Management and Clients. 
    • Compiling, distribution, and communication on daily, weekly, and monthly reports. 
    • Compiling, distribution and communication on all Incident, Accident, and Investigation reports. 
    • Obtaining statements of all investigations. 
    • Ensuring the posting of Security Officers is done timeously for full site coverage on both day shift and night shift, as per Client SLA agreement. 
    • Ensuring that all Security Officers meet the contractual requirements as stipulated by the client. 
    • Disciplined staff. Attend CCMA and Labour Court if and when required. 
    • Constantly evaluating the service levels provided and making recommendations to the clients regarding the improvement of services. 
    • Ensuring continuous assessment of the Client’s premises and minimizing as far as possible risky access and creating several barriers to would be criminals. 
    • Auditing and verifying the access registers on a daily basis and generating exception reports. 

    Core Competencies:

    • Strong planning, organizational, and administrative skills are required.
