    Client Service Representative (Driver)

    Job Description

    • The Client Service Representative performs work in the operation of an onsite shredding vehicles to ensure the secure and onsite destruction of all confidential documents at the client premises. In order to successfully fulfill this role the CSR is responsible for the safety and general care of the vehicle, shredded and scanning equipment as well as the general data recording. These tasks are summarized below. The CSR reports directly to the Regional Operations Manager.

    Skills

    • Min Code 10 with valid PDP
    • 2 – 3 years driving experience (8-ton vehicle)
    • Matric certificate (advantageous)
    • Good knowledge of Gauteng roads
    • Good communication - written and spoken
    • Customer focused and visible commitment to quality of service provision

    ONSITE SHREDDING DUTIES

    • Efficient completion of all work orders assigned to the CSR team.
    • Correct scanning of each individual container at each client and the generation and issue of certificate of destruction to the representative of the client.
    • Efficient shredding of all documentation onsite (this is not applicable to those clients requiring offsite shredding)
    • Completing the Daily Activity Work Book on a daily basis

    CARE OF CLEARDATA EQUIPEMENT

    • Cleaning of the mobile shredding truck once per week.
    • Cleaning of the shredding work area once per week.
    • Offloading of the mobile shredding truck when required. CSR is to ensure truck is never overloaded with paper.
    • Ensure team cupboard and scanning equipment is cleaned once per week and kept neat and locked at all times.

    MAINTENANCE FUNCTION

    • Ensuring the periodic maintenance checks and services are performed on the trucks and mobile shredders within the time specified.
    • Monitoring the cleanliness of the mobile shredding vehicles, the warehouse and the client service representatives.
    • Ensuring Cleardata secure consoles are clean at all times.
    • Reporting all faults/issues with mobile shredding vehicles to the regional operations manager for resolution.

    Facilities Supervisor

    PURPOSE OF JOB 

    • Responsibility for the full maintenance of Metrofile KZN facilities. Inspects facilities and equipment to determine need and extent of service, equipment required and type and number of operational staff required. Ensures that the organisation has the most suitable working environment for its employees and their activities.  Has oversight of the entire facilities team, suppliers and service providers.

    KEY RESPONSIBILITIES include the following. Other duties may be assigned.

    Process Management - Facilities

    • Control and maintenance of facilities (including property maintenance, i.e. buildings, office furniture and equipment, grounds, 24 hour security considerations, safety and security checks and procedures, signage, safety equipment, lighting, plants, cleaning services, etc.)
    • Oversees maintenance of gardens and grounds.
    • Responsible for renovations to interior/exterior surfaces, fixtures, and fittings.
    • Checks and ensures that agreed work by staff and contractors has been completed satisfactorily and follow up on any deficiencies.
    • Expedite jobs being done when so required.
    • Responsible for maintenance and safe keeping of all equipment (i.e., tools, ladders, etc.).
    • Responds timeously to operational emergencies such as electrical failures, water leaks, etc. and stays available for emergency call out.
    • Responsible for adherence to the OHS Act and good housekeeping of the facilities at all times.
    • Oversees Health & Safety in accordance with the OHS Act.
    • Responsible for overseeing the security of facilities on a 24 hour basis.
    • Maintain and enhance company security and safety routines.
    • Maintain and test emergency equipment and procedures.
    • Provide appropriate reports as defined.
    • Perform minor electrical, mechanical, or structural repairs.
    • Checks and ensures that all fire fighting equipment is inspected and serviced as per regulations.
    • Liaise with service providers.
    • Ensures that facility lock-up procedures are adhered to.
    • Manage Non Conformance Report daily.
    • Submits daily, weekly, and monthly reports to the Operations Manager as required.

    Risk Management – Facilities 

    • Identify potential risks and action such risks timeously.
    • Ensure all risk tasks are kept up to date on Safecyte.
    • Review non-compliance reports and attend to weekly non-compliance.
    • Prepare for and attend to yearly risk audits & action the results from those audits.
    • Manage the progress of the rectification of all issues identified during the regional operational risk audits and action certain items that were raised in order to mitigate the risks identified.

    Procurement Management - Facilities

    • Responsible for the procurement of facility related equipment and material.
    • Complete the relevant documentation and liaise with the Procurement department at Head Office.
    • Evaluate suppliers by sourcing suitable suppliers and assist in negotiating pricing and service delivery.     

    People Management

    • Support the employee lifecycle including recruitment & selection, learning & development, performance management, reward, employee relations, succession planning etc in collaboration with Human Resources.
    • Ensures that staff is trained, skilled and that their expertise is optimally applied.
    • Ensures that the working environment contributes to improve staff morale and increase productivity.
    • Ensure that the targets are achieved according to the benchmarks set.
    • Ensure that staff are cross trained within all the Warehouse functions and kept up to date with all system changes, policies, etc.
    • Lead people driven group initiatives to ensure employee wellbeing and organisational effectiveness.
    • Ensure that staff are trained on the use of equipment and hoist/dumbwaiters.

    SUPERVISORY RESPONSIBILITIES 

    • Has overall responsibility for a staff complement of 1 – 5.

    QUALIFICATIONS, EXPERIENCE and KNOWLEDGE:  

    To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. 

    • Bachelor’s degree in Operations/Project/Facilities Management
    • Minimum 5 years facilities maintenance experience
    • Ability to multi-task and process
    • Must be computer literature 
    • Professional appearance and presentation required
    • Ability to work beyond regular work hours when required
    • Valid driver’s license
    • Must have own vehicle 
    • Forklift License would be advantageous

    Warehouse Supervisor

    PURPOSE OF JOB 

    • To assume full control of the daily detailed activities across allocated areas and locations, ensuring that the external and internal SLA’s are achieved in line with the Standard Operating Procedures (SOP) and Compliance Standards and Policies.

    KEY RESPONSIBILITIES include the following. Other duties may be assigned.

    Process Management

    • Supervises the daily activities of the areas and locations under your control. 
    • Liaise and manage the co-ordinators and staffing to ensure that the daily, weekly and monthly objectives are achieved. 
    • Conduct start and end of shift daily.
    • Ensure that all SLA are met for internal and external clients. 
    • Manage non-performance matters and report the process to your manager. 
    • Ensures good housekeeping within your defined areas and locations.
    • Ensure compliance to SOP, company policies, standards, system usage, etc.
    • Manage & mitigate any risks and report and track all maintenance and risk concerns in-line with OHS and organisational risk requirements. 
    • Collate stats for daily, weekly and monthly submission to the Manager.
    • Conduct daily site inspections.
    • Communicate timeously to all internal operational areas on any exceptions.
    • Supervise staff and process over multiple sites.
    • Ensure open work orders are closed within SLA.
    • Ensure waste paper revenue targets are met.
    • Ensure box exceptions are managed and completed daily.
    • Ensure warehouse checklists are timeously completed.

    People Management

    • Ensures that permanent and temporary staff is trained, inducted on first day, skilled and that their expertise is optimally applied.
    • Ensures that the working environment contributes to improve staff morale and increase productivity.
    • Responsible for performance management of staff.
    • Responsible for resource planning based on demand and motivate to Line Manager.
    • Responsible for completion of employee performance appraisals.

    SUPERVISORY RESPONSIBILITIES 

    • Has overall responsibility for a staff complement of 5 to 20.
    • Has overall responsibility for defined areas and locations. 

    QUALIFICATIONS, EXPERIENCE and KNOWLEDGE:  

    To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. 

    • B Degree – Operations / Warehouse / Project Management.
    • Minimum 3 years supervisory experience, specifically in the fields of processing, logistics and warehousing operations.
    • Ability to multi-task and process.
    • Must be computer literature. 
    • Professional appearance and good communication skills. 
    • Ability to work beyond regular work hours when required.
    • Good understanding of excel, word, etc. Must have the ability to manipulate the excel spread sheets to present stats in the desired format.  
    • Valid driver’s license. 
    • Own Vehicle.
    • Forklift License would be advantageous.
