    Sponsorship Assistant

    Key Deliverables:

    Administration: 

    • Providing efficient support to internal teams, production teams and clients, addressing inquiries promptly.
    • Managing and processing incoming sponsorship bookings including the flighting across platforms.
    • Ensuring accuracy and compliance in processing client orders.
    • Issuing and verifying client contracts and order confirmations for billing.
    • Documenting application changes and reissue confirmations as necessary.
    • Loading flighting codes and coordinate timely material delivery to any and all affected departments.
    • Monitoring schedules to ensure correct material placement and flighting.
    • Generating flighting promotion certificates upon request.
    • Maintaining positive relationships with internal and external key stakeholders.
    • Updating and maintaining the Sponsorship Grid and weekly revenue reporting.

    Business Relationships: 

    • Building strong relationships within the Programming and Sales departments.
    • Providing accurate communication and support to clients and account executives.

    Requirements

    Qualifications:

    • Diploma - Marketing / Sales - Essential

    Experience:

    Media Archivist

    Media Preparation

    • Verifying video properties of content prior to archiving.
    • Flagging unrecorded bulletins to the Manager promptly.
    • Selecting audio-visual material for archiving based on editorial standards and policy.
    • Checking the News Diary to be abreast of content that needs to be moved on each day.
    • Confirming that metadata fields are completed in line with SOPs before archiving.
    • Clearing the previous day’s rundown templates for each bulletin aired by deleting video links, so that there is adequate space in the system
    • Moving aired clean packages, all live feeds, raw footage and cutting interviews from all bulletins recorded to the archives media preparation area as per the archives SOP and the Archives selection policy
    • Cleaning, cutting down, and removing redundant footage in line with archival policy.
    • Identifying and flagging duplicate footage before permanent storage.
    • Overseeing content ingest from multiple sources and confirming technical quality standards to ensure compliance with broadcasting standards and formats.

    Media Archiving

    • Applying accurate metadata to all archived materials to support efficient retrieval.
    • Archiving according to weekly content allocations and within agreed timelines.
    • Ensuring data security and redundancy through appropriate backups.
    • Troubleshooting minor system issues to avoid workflow disruptions.
    • Catalogue, log, and classify all incoming footage and broadcast material using the applicable system.
    • Ensuring accurate metadata entry for efficient search and retrieval.
    • Maintaining digital and physical archives, ensuring the integrity and security of all media assets.

    Media Maintenance

    • Maintaining and regularly update metadata to ensure search accuracy. Flagging outdated or irrelevant materials for review and escalation.
    • Identifying and reporting workflow or system issues promptly.
    • Participating in migration and preservation initiatives in response to evolving technologies and maintaining appropriate digital formats and storage solutions.
    • Supporting cross-departmental content requests for editorial, legal, or production needs.
    • Facilitating access to footage for repurposing, licensing, or legal requirements.
    • Monitoring access rights and restrictions for internal and external content.

    Client Liaison

    • Conducting online research to support selection of relevant footage for compilations.
    • Fulfilling internal and external content requests accurately and timeously, including request to all echannels (primarily News and Current Affairs), production houses
    • Providing information and reference services to producers, journalists, and clients.
    • Collaborating across teams to support efficient and effective content workflows.
    •  Assisting in training staff on archival tools and best practices.

    Compliance and Rights

    • Tracking licensing rights, embargoes, and usage restrictions on archived content.
    • Ensuring compliance with broadcast regulations, copyright laws, content usage rights, and data retention policies.

    Reporting

    • Logging and escalating any system or content-related issues as they arise.
    • Compiling daily handover reports at the end of each shift with updates and task status.

    Operational Support Tasks

    • Collecting, organising, and archiving all eNews content to ensure availability to eMedia Group stakeholders and/or authorise external stakeholders.
    • Adhering to company brand and archival guidelines.
    • Completing and maintaining all required documentation, including Asset Manager Forms.
    • Responding to high-volume and/or recurring content requests with ready-made, updated compilations.
    • Supporting filing integrity, logical archiving, and system organisation.
    • Reviewing and updating archived content in accordance with SOP cycles.
    • Selecting audio-visual material for archiving in accordance with the approved archive selection policy.
    • Producing high-quality compilations of frequently requested topics as required.
    • Ensuring all relevant content is moved and prepared for archiving in line with the selection policy.
    • Conducting desktop and online research to catalogue and enhance shot lists in accordance with the digital archive workflow.
    • Providing accurate and efficient reference and information services to internal and external clients.
    • Maintaining and adhering to an organised and accessible filing system for all audio-visual materials.

    Requirements

    Qualifications

    • National Senior Certificate - Essential
    • National Diploma in Library and Information Studies and/or Archival Studies and/or Media Studies - Essential
    • Bachelors Degree in Library and Information Studies and/or Archival Studies and/or Media Studies - Recommended

    Experience

    • 2 -3 years in Library Environment and/or Broadcast Media Library
    • Drivers Licences - Essential

    Intern: Engineering

    Roles and Responsibilities

    Troubleshooting and repairs

    • Testing functionality of video, audio and control cables and repair where necessary.
    • Terminating cables with the correct connectors to the highest standard
    • Preparing studio systems for production
    • Bench test broadcast equipment for functionality
    • Performing repairs to broadcast equipment at board level (including soldering)
    • Checking network status
    • Checking network device status and any network traffic issues

    Technical Support

    • Responding to technical issues reported by phone or by email
    • Assisting workshop walk-in support requests
    • Assisting field operations with servicing ENG kits
    • Performing broadcast support system checks as per SOP

    Installation and maintenance

    • Removing old equipment from racks and technical furniture (Decommissioning)
    • Installing new equipment in server racks and technical furniture (Commissioning)
    • Scheduling, performing and reporting on systems maintenance as per SOP

    Escalation

    • Escalating technical issues to experienced engineers for assistance to resolution
    • Escalating reported technical issues to the manager for notification and information sharing
    • Liaising with suppliers and OEMs locally and internationally to assist in resolving technical problems 

    Report Writing

    • Writing shift report and at the end of the shift outlining the reported incidents, steps taken to resolve and incident status
    • Providing equipment fault reports after diagnostics to issue to suppliers and OEMs for repairs
    • Sharing assigned tasks system status

    Documentation

    • Keeping record of findings during the troubleshooting process
    • Reading and interpreting system drawings for troubleshooting and workflow understanding
    • Updating systems and workflow changes on the system drawings
