    Academic Operations Administrator - Fixed Term Contract (FTC)

    Key areas of responsibility include:

    • The Operations Team has multiple sub-teams and AOA’s work across these sub-teams and so their tasks may at different points in time involve any of the following responsibilities:

     Developer Briefing Administration

    • Receives modules from Senior Operations Coordinator.
    • Sends briefing requests to Developers.
    • Based on an approved development plan, completes contracts, annexures and briefing documents for the Developer.
    • Creates an entry on the system and updates as it progresses.
    • Sends templates and developer handbook to Developer.
    • Follows up and receives signed documents back.
    • Tracks    according to due dates.
    • Supports the Developer with any requirements he / she might have.
    • Receives material from Developer via email.
    • Uploads onto the system for the relevant Project Coordinator to check if it meets the contract requirements.
    • Begins the material delivery process after approval.
    • Ensures that signed contracts and all Developer engagement documents are saved onto the internal space.
    • Processes payments once the Head of Programme has approved material.
    • Processes approved payments on invoices.
    • Submits invoice, cover page and any other necessary documentation to Human Resources for payroll.
    • Makes sure that all documents are available for the payment team.

    Material Delivery

    • Receives module tasks as per Standard Operating Procedure (SOP) to begin workflows for Head of Programme.
    • Creates workflow and assigns to Head of Programme responsible for that module.
    • Receives returned moderated and edited module work. Uploads to system so that it can be viewed for feedback. Receives feedback for action.
    • Uploads and approves the final version for brands to print.

    Moderation Administration Instrument

    • Sends email to Moderator requesting availability to moderate instruments. Sends annexures and contract agreement.
    • Sends out report template with papers for moderation
    • Receives all contract documents and invoice.
    • Receives moderated papers and report and workflows this to Head of Programme for review.
    • Saves to the correct space.
    • Saves Moderator report back into the module space. Uploads moderated instruments for brands to print.

    Script

    • Sends email to Moderator requesting availability to moderate scripts. Sends annexures on contract agreement.
    • Receives all contract documents.
    • Receives original scripts per lecturer per module via NMTS.
    • Downloads the documents and / or chases it and follows up if not received on time.
    • Emails the Moderator the scripts and the moderation control sheet (MCS). Follows up with Moderator until required information is received.
    • Reviews comments on the MCS, and sends to Head of Programme for verification and approval.
    • Finalises payments for moderators.

    Student Hub Support

    • Provides administrative support for the Student Hub Team, which may include mapping of internal and external credits for approval.
    • Drafting of outcome letters related to approved requests received on the Student Hub
    • Provides further administrative support for queries received.

    Qualifications:

    • The candidate must hold a Higher Certificate / Occupational Certificate Level 5 (NQF Level 5) and ideally an Advanced Certificate / Diploma / Occupational Certificate Level 6 (NQF Level 6)

    Experience:

    • 1 year administration experience in an education environment.
    • 1 year proven record of coordinating the successful completion of projects.
    • 1 year Microsoft Office, including Word, Excel and PowerPoint experience.

    Head Of Programme: Corporate Communication / Strategic Communication / Digital Communication

    Key Areas of Responsibility Include:

     

    • Review, development and implementation, subject to the policies and governance procedures of the IIE, of the curriculum, syllabus and material development of those designated programmes or modules (some of which may be service courses) for which the Head of Programme is responsible.
    • Aspects of faculty administration as delegated by the Head of Faculty.
    • Establishment and maintenance of effective interaction between the faculty/department and the brands with respect to the particular programmes for which s/he is responsible and more generally.
    • Identify and monitor programme developers including briefing and the quality assurance of their work.
    • Responsible for the setting and monitoring of minimum standards for delivery and assessment including management of academic incidents related to assessment.
    • Tracking of student performance, in cooperation with trading division national offices, in designated programmes and modules including planning and monitoring of interventions that may be required to address problems.
    • Responsible for the identifying, briefing and managing moderators in consultation with the trading division and for managing the moderation of assessments within the faculty – this includes planning and implementation of problem-solving strategies as needed.
    • Active commitment to the maintenance of academic standards and of curriculum areas within the discipline – this includes capacity building on campus and own personal commitment to keeping up to date, which will include limited lecturing (contact or distance) on a cyclical basis and the contribution to faculty research output.
    • Demonstrated commitment to the development, implementation and monitoring of all IIE policies.
    • Active commitment to capacity building on the campuses of the brands and where applicable the preparation and delivery of peer lectures and seminars  - one of the key focuses here has to be building of capacity of lecturers to work with a diverse student body.
    • Participate in, and contribute to, the IIE/faculty’s activities, particularly its seminars and workshop programmes.
    • Participation in the key governance structures and committees as may be required from time to time.
    • Any other relevant duties as may be required 

    Qualifications:

    • The candidate must hold a minimum of a Masters degree in a Humanities / Social Sciences discipline or equivalent at NQF level 9, but a PhD is preferred.

    Specific areas of specialization:

    • Corporate Communication
    • Strategic Communication
    • Digital Communication
    • English Literature (to degree level)

    Experience:

    • Normally, at least three years lecturing experience (full or part-time) in a public or private post-school provider. Under exceptional circumstances different experience will be considered.
    • Experience in writing curriculum, material and assessment of student learning.
    • Some understanding of the HE regulatory environment.
    • Understanding of the NQF and associated regulatory environment.
    • Relevant, discipline orientated work experience in the would be an advantage.
    • Experience with online curriculum delivery systems would be advantageous.

    Graduation and Admissions Assistant

    Key Performance Areas:

    Admissions Administration:

    • Evaluation and Approval of non-standard admissions with guidance from the Admissions team.
    • Tracking and auditing conditional admissions together with the Admissions team.
    • Auditing of admissions on the NSC Exception Reports and registrar verifying such admissions on the Student Information System. Escalating any erroneous admissions to the relevant line manager.

     Graduation Administration:

    • Verifying and quality assuring the graduation documents which includes but are not limited to proof of identity, system identity numbers, names and surname as per ID/passport, school leaving and higher qualifications, study visas/ relevant study approval document, etc.
    • Pulling the prescribed academic results reports off the student information system.
    • Processing all qualifying students for graduation on the Student Information System once the Students’ Academic Transcripts have been checked and the students qualify to graduate.
    • Updating the graduating student’s registration status.
    • Escalating any erroneous graduations to the Assistant Registrar/Senior Assistant Registrar.
    • Assisting with any other graduation and admission related queries and tasks as required.

    Qualifications:

    • The candidate must hold at least an NQF Level 5 Higher Certificate or equivalent.

    Experience:

    • At least 6 months experience with graduations and admissions in the higher education sector.

    Editor - Johannesburg

        Key Performance Areas:

     Editing

    • Receives alert for active task.
    • Reads editing instructions carefully.
    • Access document on Intralink.
    • Saves the document to work on it off-line.
    • Ensures that the correct template is used.
    • Edit – both copy and layout.
    • Check the originality of the copy (referencing).
    • Amends copy where necessary.
    • Re-uploads document back onto Intralink.
    • Proof reads document again.
    • Amends copy where necessary again.
    • Checks in the document and assigns it back to relevant person.

     Stakeholder Relationship Management

    • Builds and maintains stakeholder relationships, both internal and external.
    • Ensures and enables clear and open communication at all times.
    • Escalation of queries to Senior Editor when necessary.

    Coaching

    • Coaches/Mentors and trains new, freelance, fixed term and permanent Editors.
    • Provides technical training for systems, software and templates.
    • Explains the different language and styles used.
    • Explains the editing procedures.(Sequence of events)
    • Provides Editing Training manual.
    • Work hand-in-hand on 1st few documents with new editors.
    • Proof reads their copy.
    • Makes self-available to assist whenever needed.

    Qualifications:

    • Diploma / Bachelor’s Degree (NQF level 5 min)

    Experience:

    • 1 – 3 Years experience in journalism, sub-editing or copy editing.
