    Trade Mark Secretary

    Job Advert Summary

    • Spoor & Fisher is looking for a Trade Mark Secretary within the TM: Anti-Counterfeiting Team. The successful candidate will be based in the Centurion office, reporting to the Partner. The ideal candidate should have a keen eye for detail and should be able to attend to general trade mark secretarial duties with a focus on litigation.

    Minimum Requirements

    Qualifications, Knowledge & Skills

    • Matric
    • A paralegal diploma will be advantageous
    • Proficiency in MS Word and MS Excel
    • Experience in using the COURT ONLINE system
    • Good command of the English language
    • A keen attention to detail and accuracy
    • Ability to work independently as well as within a team
    • A sense of urgency and the ability to work under pressure
    • Taking initiative and being pro-active
    • Ability to work on multiple matters simultaneously

    Duties and Responsibilities

    • Drafting correspondence e.g. affidavits, letters and litigious documents;
    • Maintaining the Section 15 portfolio and records database;
    • Interacting and liaising with various 3rd parties;
    • Diary and deadline management;
    • Processing invoices and managing monthly billing;
    • Updating internal accounts systems;
    • Attending to various other routine and ad hoc secretarial/administrative duties.

    IT Technician

    Job Advert Summary

    • We are looking for a skilled IT Support Technician with 2–3 years of desktop support experience to provide first- and second-line support, manage hardware/software setups, and ensure smooth operation of end-user systems and IT infrastructure. The ideal candidate will have an IT-related qualification, strong troubleshooting skills, and be comfortable working in a dynamic, hands-on environment with occasional after-hours support.

    Minimum Requirements

    • Minimum Matric or NQF equivalent (NQF Level 4)
    • Diploma/Certificate in IT or related field
    • A+ or N+ certification or Microsoft certified IT professional certification as added advantage
    • Minimum 2-3 years' desktop support experience

    Duties and Responsibilities

    Primary tasks:

    • Provide first- and second-line end-user support for hardware and software issues.
    • Install and configure new end-user computers and associated peripherals.
    • Configure, maintain, and update mobile devices and laptops.
    • Log, allocate, attend to, and follow up on IT service requests using the IT Service Desk system.
    • Comply with IT policies and standard operating procedures.
    • Liaise with contractors and external suppliers regarding IT procurement.
    • Receive procured IT equipment and update the IT Asset Register.
    • Maintain printers and multi-purpose copiers to ensure optimal usability.
    • Perform network and end-user PC troubleshooting to ensure workstations operate optimally.
    • Set up and configure Dictaphones, Dragon, and transcription equipment/software.
    • Handle audio-visual setups in boardrooms for meetings.
    • Conduct routine checks of boardroom IT equipment, including fax tests, and complete daily checklists.
    • Automate processes, including creating software packages for mass deployment or project rollout.
    • Provide rotational after-hours support as required

    Additional Responsibilities:

    • Shadow IT contractors/vendors as needed.
    • Fill the building generator with fuel when required.
    • Maintain minimum stock levels and proper inventory management.
    • Document old IT equipment prior to removal or storage in the basement.
    • Print and grant permissions for user access tags.
    • Check fire escape doors for compromise.
    • Ensure air conditioning units in UPS rooms and patch rooms are operational.
    • Ensure surveillance cameras are functional.
    • Conduct load tests on UPS systems in boardrooms and patch rooms.

    • Receiving and carefully reviewing signed supporting documents from clients
    • Dispatching client reminders on outstanding supporting documents
    • Requesting and updating power of attorney documents
    • Reminders, Reports & Recording
    • Running PAF reminders
    • Running relevant PAF sql reports, maintaining current formality reminders and sanity checks
    • Recording PAF filings in the daily lodgement book
    • Checking collation of the patents practice lodgements for CIPC
    • On-line Systems and Portals
    • Updating PAF case events, remarks and event text on the relevant system
    • Effective management and maintenance of client portals
    • Accurately preparing invoices and statements
    • Any other dept-related duties and projects e.g. testing rules, templates and report RC’s and assisting with urgent overflow work from other Agency teams
