    Administrator - Invoicer- Durban

    About the job

    • Accountable for effectively performing duties as assigned in accordance with the respective policy and procedure. These relate to the control and capturing of transactional data, monitoring of control reports on the SAP, EDI, Stock Control and the subsequent filing, scanning and control of supporting documentation. Responsible for the daily execution and balancing of Stock Control in the Terminal and to ensure that the Terminal comply with the Stock Control Standard, SAP & EDI.
    • Accountable for performing the following critical tasks with emphasis on accuracy and quality: Daily/Weekly/Monthly inventory
    • Out of tolerance inventory loss/gain investigations.. Explanations and execution of corrective action
    • Collaborates with terminal management (TM) in addressing gaps and trends from Stock Control Administrative reviews. Ensure corrective actions are implemented and “open” items from Audits are closed in prescribed time.
    • Fosters compliance culture at the facility through effective execution of all administration controls which include but are not limited to: Hauler Payments. User Access. Segregation of Duties. SOX controls. RTS, JRNL’s and Credit/Debit notes

    Required Qualifications:

    • Matric Qualification
    • Tertiary education will be advantage
    • Computer literate - Fluency in Microsoft Office specifically on Excel & SAP is essential
    • 3yrs experience in similar role
    • Sound communication skills
    • Health, Environment & Safety know-how
    • Contributes positively to teamwork

    About the job

    Accountable for effectively performing duties as assigned in accordance with the respective policy and procedure. These relate to the control and capturing of transactional data, monitoring of control reports on the SAP, EDI, Fuelfacs / Stock Control and the subsequent filing, scanning and control of supporting documentation. Responsibilities for this position may include but are not limited to:

    • Executes shipment & invoicing processes for products delivered from terminals to customers, third party or proprietary facilities (Fuelfacs/SAP). Create filling advise note (FAN) on Fuelfacs for all bulk loadings (Own, BM, COC, etc.). Creates and controls the usage of Manual Delivery note books
    • Accountable for effectively performing duties as assigned in accordance with the respective policy and procedure. These relate to the control and capturing of transactional data, monitoring of control reports on the SAP, EDI, Fuelfacs / Stock Control and the subsequent filing, scanning and control of supporting documentation. Manages the errors on re-brand transactions. Creates and maintains document control for product transfers/bridging out to other terminals.
    • Assures that all invoicing transactions are performed in compliance with internal controls and accounting requirements as per Stock Control reconciliation procedures.
    • Responsible for the accurate reconciliations of trips / shipment to ensure all products is accurately accounted for. This includes out-of-tolerance bulk truck inventory loss gain investigations, timely reporting, documenting of explanations and as appropriate execution of corrective action. Opens and closes the Fuelfacs/SAP system for loading and performs end-of-day (EOD) transactions.
    • Prints daily open order reports and compare with manual preload register, investigates and actions any variances.
    • Verification of order confirmation, truck emptiness & other documents by Drivers, before issuing FAN. Apply Stop Work Responsibility (SWR) pertaining to unsafe work practices by peers/3rd-party drivers.
    • Required to escalate system errors. Initiate investigations & partner to determine root cause for stock/trip recon miss-matches
    • Manage stakeholder relationships with other oil companies

    Account Manager - Aviation and Specialties

    • To maintain and develop existing Aviation and Specialties Products customer relationships, ensuring sales growth and profitability of customers by actively managing and expanding existing customer accounts through upselling and cross selling. Selling and negotiations skills are critical in growing the business.
    • Plan customer calls and visits to provide appropriate level of service to existing and new customer with a focus on retaining/expanding existing business relationship. Prepare calls using the Astron Energy sales way.
    • Prospect for new business opportunities independently with prospective and existing customers within the Aviation and  Specialties segment using CRM tool (HubSpot).
    • Monitor and manage credit and contract metrics.
    • Monitor and achieve individual sales targets (e.g. margin, growth, named customer CVP, and trade debtor targets)
    • Develop, update, maintain and share Key Account Plans with relevant stakeholders.
    • Be accountable for own development plan to continuously improve competencies.

    Key Activities

    • For new and existing customers, define and regularly review relevant customer relationship behavioural and differentiated service banding and their sales plan.
    • Review & plan customer business, contracts, prices, credit terms, credit limit and debt.
    • Carry out negotiations with customers, preparing quotations and proposal and agree on all operational requirements (including: price, contract, payment terms and services)
    • Ensure all internal service providers carry out tasks within the agreed terms.
    • Ensure that all customers interaction activities are properly logged and updated in the appropriate CRM (HubSpot)
    • Propose and sell marketing initiatives to new and existing customers against set targets as defined with marketing team.
    • Work with other Astron Energy teams and third parties (e.g. Refinery, Logistics, Supply Chain, Credit, Legal, STL, NSM) where necessary to provide an efficient and cost effective service to the customer.
    • Accelerate bottom-line improvement through effective profit & loss management.
    • Snr Certificate and a Commercial Post-Graduate Degree or Diploma

    3-5 years+ of a demonstrated track record of experience in the following:

    • Selling and negotiating
    • Customer relationship management
    • Business acumen including knowledge of business sectors, current market, and industry status
    • Creative and critical problem-solving skills
    • Highly proficient time management and planning abilities
    • Collaboration skills
    • Knowledge of the Oil Industry, its products and services
    • Basic understanding of SAP systems is desirable
