    Corporate Receptionist

    Role Purpose 

    • The Workplace Experience Ambassador team are the owners of the internal and external visitor experience. The role exists to provide the highest possible standards of engagement with our internal and external customers through all front-of-house and meeting & event services. Whilst providing front of house services is a key deliverable, the team is also responsible for standards of presentation, administration and delivery of all meeting and events services and areas, so will work in a variety of settings. Workplace Experience Ambassadors must be customer and quality obsessed, demonstrate a high level of security awareness at all times and have clear knowledge of all onsite emergency and evacuation procedures.

    What this job involves

    • Take ownership of the internal and external visitor experience, to ensure all interactions leave the customer with a positive, memorable experience
    • Delivery of all core front of house services such as sign-in, badging, luggage, lost and found and deliveries
    • Receive, direct and relay telephone, email and other queries via front of house
    • Greet, assist and direct candidates/new hires/visitors and the general public appropriately
    • Continual awareness of all onsite events, to ensure visitor experience is personalised and optimised
    • Proactively contribute to maintaining the highest standards of presentation and functionality across the identified front of house and meeting and event areas, with great attention to detail
    • Undertake physical setup of meeting and event spaces, in line with team guidelines and EHS considerations
    • Monitor meeting room environments including furniture, signage, equipment, temperature, fabric and consumables, ensuring fine detail is captured
    • Create and efficiently maintain up-to-date outlook, conference room finder and SharePoint room booking systems for the identified meeting and event spaces
    • Work flexibly in different settings as part of a the team
    • Coordinate the daily updating of room booking displays in line with local/regional processes
    • Play a key part in supporting onsite space audits and walk-the-store processes
    • Support and cover other facilities team services as required, such as Trouble Ticket requests, incoming/outgoing mail and courier services, site inspections, and one-off or administrative tasks

    • Experience in reception, concierge or related field
    • Previous catering or hospitality experience is desirable
    • Excellent people skills and ability to interact with a wide range of client staff and demands
    • Fluency in English
    • Strong PC literacy and proven ability to manage daily activities using various systems.
    • Outstanding customer service skills with the ability and confidence in communicating to customers at all levels, both written and verbal.
    • Ability to maintain professionalism at all times and be an ambassador of the team.

    Receptionist-1

    Key responsibilities 

    • Meet and Greet Visitors
    • Administration responsibilities
    • Answering inquires directly or direct calls to appropriate employee
    • Maintain security and safety procedures
    • Maintain professional appearance of reception, lobby and meeting rooms
    • Maintain adequate stationery and kitchen supplies
    • Handling courier reports and bookings on a case to case basis.

    SITE SPECIFIC OBJECTIVES

    SWITCHBOARD

    • Answer and transfer all call using appropriate telephone techniques and according to required service levels
    • Take accurate messages and ensure effective delivery
    • Assist with basic/ routine enquiries and customer complaints when appropriate and/ or transfer to alternative.
    • Report any switchboard problems through the correct channels and advise staff if problem will affect business activities
    • Maintain an accurate and current telephone list

    RECEPTION

    • Ensure that reception area reflects the professional image of the company
    • Ensure that visitors and contractors are always treated professionally
    • Refer any security/ delivery /cleaning issues within the reception area to the Facilities Manager
    • Develop a good working relationship with the customers

           BOARDROOMS

    • Manage boardroom bookings
    • Manage set up of boardrooms
    • Ensure that the boardrooms are always neat and prepared for meetings (air conditioners, lights and blinds)
    • Coordinate refreshments (coffee and tea) as requested with booking
    • Ensure that fresh water and clean glasses are on the table prior to meetings
    • Check dietary requirements before placing catering orders

      DISTRIBUTING OF INCOMING AND OUTGOING MAIL

    • All mail and/ or parcels must be delivered to customers promptly
    • All incoming and outgoing mail to be always recorded in mail logbook
    • Recipient to sign on receipt of mail and/ or parcel
    • Open, sort and date stamp all incoming mail
    • Keep mail room always tidy
    • Follow up on uncollected mail and/ or parcels

           COURIER SERVICES

    • Manage outgoing and incoming mail and/ or parcel via courier as and when required.
    • Obtain correct information (GL & CC) from customer for outgoing mail and or parcels
    • File waybills
    • Track mail/ parcels if required

    STATIONERY

    • Manage stock levels
    • Order office stationery and office consumables
    • Manage stationery requests received via Helpdesk

          WORK ORDERS

    • Log calls with Helpdesk as required.
    • Manage work orders and ensure completion of work orders within SLA timeframe.
    • Ensure that all work orders are signed off and closed.
    • Follow up with suppliers regarding no action or delay.
    • Report any high-level problems, e.g. no water, no power, flooding, health & safety risk, etc. to the Facilities Manager immediately.

    PROCUREMENT AND FINANCE

    • Provide a procurement and finance administrative service according to the JLL policies and procedures.
    • Request comparative quotes for services and products as required and submit to Facilities Manager for approval.
    • Includes but not limited to ordering of groceries, stationery, cleaning materials, maintenance, catering, etc.
    • Request JLL purchase order and place order.
    • Ensure that deliveries are checked and signed off.
    • Submit invoices to Finance Department for processing in time and adhere to cut off dates.

            GENERAL

    • Compliance with both JLL and Diageo company rules, policies and procedures including Occupational Health & Safety Act
    • Provide support to other JLL staff as and when required / agreed with management.
    • Perform other duties as may be required from time to time.

    Data Engineer

    • Support project teams in delivering real estate consulting assignments across the MEA region 
    • Centralize, organize and manage data for the team
    • Analyse data from JLL databases and create a centralized database for all data points
    • Develop processes and tools to streamline and monitor data collection / storage / and standardization
    • Visualize data for stakeholders using Tableau and Power BI
    • Create and update databases, GIS maps and associated dashboards
    • Develop market analyses tools using AI and automation (e.g. Power BI)
    • Produce advanced analytics results including correlation, predictive and testing results
    • Assist with the development of periodic reports, slide decks and research papers.
    • This job can accommodate for remote working.

    Education and experience

    • You should ideally have a Degree in Computer Science, Computer engineering, Mathematical Engineering, Statistics, Mathematics. You should have a previous consolidated professional experience in Business Intelligence projects and Big Data projects as Data Analyst for at least 3 years. An excellent working knowledge of English is an essential prerequisite (both written and verbal). Any additional language would be a plus and previous financial / real estate experience is desirable.

    Technical competencies

    • We will expect you to have strong analytical skills with the ability to collect, organize, analyze data and information with attention to detail and accuracy, communication aptitude (written and verbal), data management capabilities, as well as an excellent knowledge of all the computer tools: Microsoft excel, power point, word, outlook, PPT productivity tools, Power BI, Tableau, Thinkcell and ArcGIS. Knowledge of R and Python would be a plus.
