    Legal Administrator

    REQUIRED MINIMUM QUALIFICATIONS AND EXPERIENCE

    • Matric and LLB or equivalent degree in Law and must be an admitted legal practitioner.
    • 2-4 years’ experience performing legal administration related functions/duties
    • LLM degree in the relevant field will serve as an added advantage.

    KEY PERFORMANCE INDICATORS

    Legal Document management & administration

    • Maintain an up-to-date legal document repository, ensuring proper filing, tracking, and archiving of contracts, agreements, and regulatory filings.
    • Assist in drafting and formatting legal correspondence, reports, and internal memos.
    • Ensure that all contracts and legal documents are signed, stored, and accessible according to company policies.

    Regulatory & Compliance support

    • Assist in reviewing basic contract terms and templates under the guidance of the Senior Legal Advisor.
    • Support the legal team in ensuring compliance with governance frameworks, PFMA regulations, and investment policies.
    • Assist in preparing documentation for audits, board meetings, and regulatory submissions.

    Litigation and case management support

    • Coordinate and maintain case files, pleadings, and legal correspondence related to ongoing litigation or disputes.
    • Liaise with external legal counsel, ensuring all required documentation is provided on time.
    • Track litigation timelines and key milestones, keeping the Senior Legal Advisor informed.

    Legal Office administration and Stakeholder engagement

    • Act as the point of contact for internal and external legal inquiries.
    • Schedule and organize meetings, hearings, and legal consultations.
    • Manage legal department budgets, tracking invoices from external counsel and service providers.
    • Ensure confidential handling of sensitive legal matters and correspondence.
    • Assist in the organization of legal files, case documentation, and meeting records.
    • Prepare meeting notes, presentations, and correspondence as needed to support the legal team’s activities.
    • Coordination of travel arrangements for the team

    Facilities Coordinator

    REQUIRED MINIMUM QUALIFICATIONS AND EXPERIENCE

    • Matric and National Diploma (NQF 6) in Business Administration, Facilities Management, Health and Safety or related qualification.
    • A minimum of 2 to 3 years’ experience performing facilities management related functions.
    • A bachelor’s degree/BTech degree (NQF 7) in the relevant field of study will serve as an added advantage.

    KEY PERFORMANCE INDICATORS

    Maintenance coordination

    • Receive and assess repair request and schedule for the repair to be conducted
    • Coordinate the repair and maintenance schedule and ensure that relevant consumables are procured for items to be maintained
    • Conduct ad hoc inspection of facilities and identify items that need to be repaired or serviced and schedule accordingly
    • Capture monthly report on maintenance activities and submit to Group Facilities Manager

    Document Management

    • Receive, sort, record and distribute all incoming documents
    • Responsible for the sorting, indexing, boxing and labelling of documentation for off-site archiving
    • Arrange for the movement of relevant documents to off-site facility
    • Identify records that need to be destroyed based on reaching the end of its usefulness (based on policy) and organise for the documents to be destroyed
    • Responsible for compiling board and committee packs

    Delivery and collection coordination

    • Receive request for delivery or collection of documents or people and arrange accordingly
    • Liaise with outsource shuttle service or courier in cases where internal delivery team is unable to assist

    General facilities

    • Communicate cleaning schedule and monitor the effective execution thereof
    • Conduct facility inspections by checking the cleanliness of bathrooms, common areas and meeting rooms and check that meeting rooms consumables are stocked and there is enough boiled water in the urns.

    Fleet Management

    • Monitor fleet service plans and schedule service according to intervals
    • Responsible for ensuring fleet’s licensing is up to date by monitoring licence disc expiry and conducting its renewal.

    Space allocation

    • Coordinate office movements and allocation of workspaces and parking areas
    • Responsible for ensuring office spaces are setup properly
