    Administration Services Administrator (Fixed Term Contract)

    KEY TASKS

    • The Administration Services Administrator is responsible for the execution of tasks, processes and resolving queries in a manner that focuses on employee changes and achieves service delivery according to agreed Service Level Agreements.
    • As a key member of the Administration Services team within our broader Talent Acquisition Operations delivery team, the Administration Services Administrator communicates and collaborates with a wide range of internal stakeholders to ensure that all administration support actions are completed to fulfil an employee’s job change, personal data change and reporting line change. 
    • The Administration Services team will also support where applicable People Services invoice costing and allocation, uniform ordering (post onboarding) and other services as requested.

     The primary accountabilities will incorporate:

     Technical

    • Be fully accountable for all Administrative Support activities for employee changes   
    • Ensure a timely, accurate and positive experience is delivered to all stakeholders – GSS People Services team members, HR team members, Line Managers and Employees collaborating across multiple departments to create and deliver a seamless process
    • Responsible for executing relevant tasks received via ServiceNow ensuring all case documentation created is accurate, quality checked, appropriately authorised, signed and returned (where relevant in accordance with the process) and filed within the defined employee folders per region.  (Ultimately into the Employee Document Management Solution)
    • Be the first point of contact for Administration Services’ queries and provide basic advice, support and guidance. Troubleshoot to resolve common problems and investigate further if required.
    • Provide invoice costing and allocation support to People Services teams, where this service is undertaken
    • Manage the Corporate Uniform ordering support process (post Onboarding) where this service is undertaken within GSS People Services.
    • Escalate technical problems through the appropriate support channels and follow up as required.
    • Continually identifying process improvement opportunities in your area and communicate these appropriately
    • Deliver upon the team goals and objectives set to enable SLA’s and KPI’s to be achieved.

    • Participate as an effective team member in working collaboratively with your leader, peers and relevant others (including from other teams where relevant) to achieve business goals

    Qualifications:

    • Minimum of Matric/Grade 12 certificate
    • Relevant Diploma with advantageous 
    • Strong PC skills, with a confident approach working with the MS Office suite

    EXPERIENCE

    • 2 - 3 year’s work experience as an Administrator.
    • Experience in stakeholder engagement, liaising with a broad cross section of stakeholders
    • Strong PC skills, with a confident approach working with the MS Office suite.
    • Proficient written and verbal communication competency

    Administration Services Analyst (Fixed Term Contract)

    Job Description:

    Please note that this is a Fixed Term Contract role. 

    KEY OUTPUTS

    Performance and Delivery:

    • Support end-to-end recruitment administration, including travel arrangements, reimbursements and onboarding activities for executives globally. 
    • Collate employment documentation and while adhering to compliance, such as but not limited to contract generation, right to work checks, background checks etc. 
    • Facilitate contract and data management while adhering to SLA’s.
    • Provide high-touch, confidential P&O support for executives, acting as the primary contact for all queries and supporting end-to-end service requests within defined SLAs. 
    • Resolve queries and escalations while maintaining effective prioritisation of workload
    • Responsible for reporting and analysis of ad-hoc reports, trend identification to draw insights to support data-driven decisions, including contract template updates. 
    • Administer global mobility processes for all assignment types and subsequent actions such as transfer packages, contracts, etc. 
    • Provide relevant administrative support to international assignees.
    • Support employees and managers on core P&O processes and policies.
    • Create and maintain Desktop Procedures’ and Standard Operating Procedures.

    Compliance

    • Conduct compliance audits and ensure adherence to legislative requirements.
    • Identify risks and Compliance to the processes/policies proactively.

    Safety, health and Environment

    • Administer employee benefits and health processes i.e. maternity leave documentation and health referrals.
    • Demonstrate behaviour in line with health, safety, and environmental standards and with the Group’s values.
    • Participate in relevant safety audits, inspections and observations, and address issues as part of demonstrating safety leadership.

    Qualifications:

    • Undergraduate 3-year qualification in a relevant discipline – HR, Industrial/Organisational Psychology, Organizational Behaviour – required
    • Post graduate qualifications (Hons level) in a relevant discipline - HR, Industrial/Organisational Psychology, Organizational Behaviour – Desirable

    EXPERIENCE

    • 2 - 3 Years’ experience working in an administrative HR role.
    • At least 1 - 2 years Human Resources generalist/ talent acquisition/ recruitment experience.
    • Knowledge of South African labour law.

    Facilitator Refresher Training

    Job Description:

    As our Facilitator Refresher Training of your responsibilities will include but not limited to:

    • Adhere to all health and safety practices requirements.
    • Promote good housekeeping to ensure compliance.
    • Promote an environment where team members can deliver their outputs within a controlled risk environment.
    • Active participation in SLAMs, HPHs, relevant Risk Assessments and close-out of Safety Actions.
    • Coordinate logistical and administrative tasks related to scheduling refresher training sessions.
    • Ensure the availability of computers and all necessary training materials for participants.
    • Assist learners and employees in using computers and programs during computer-based training.

    Document Control:

    • Oversee the maintenance of refresher training records and attendee information, ensuring accurate filing and matrices.
    • Process all documentation following company policies, procedures, and document control principles within specified time frames to ensure compliance.
    • Compile and distribute documents, briefing papers, reports, and presentations as requested by the department.
    • Organize and maintain training facilities, materials, and resources to meet training needs.
    • Regularly assess the effectiveness of refresher training and implement necessary solutions or changes to ensure high quality and competency.

    Outputs:

    • Accurate refresher training matrices.
    • Refresher training status reports.
    • Training venues comply with legislative requirements.
    • Attendance registers up to date.
    • Accurate filing system.
    • Timely arrangements for all training sessions.
    • Availability of suitable training venues.

    This role is in People & Organisation (P&O) NC department on a band A3 level reporting to the Learning Delivery Coordinator - Projects & Contractors

    Qualifications:

    • Grade 12 (National Senior Certificate, NQF Level 4) or equivalent SAQA-recognised qualification.
    • Occupationally Directed Education, Training and Development Practices (OD ETDP) at NQF Level 4, or equivalent ETD qualification.
    • Higher National Certificate on NQF5
    • SA Drivers Licence

    Technical Knowledge

    • 3-5 years of relevant refresher training experience in mining.
    • Possess in-depth knowledge of training content and materials related to various equipment.

    Hygiene Technician x3 (FTC)

    Job Description:

    Safety, Health, and Environment:

    • Adhere to all safety, health and environmental practices and requirements.
    • SHE policies and procedures:
    • Escalate all unsafe practices or risks to the direct supervisor/manager.
    • Support good housekeeping in the department and on-site to ensure compliance.

    Equipment Maintenance:

    • Ensure monitoring equipment functions correctly and produces reliable and accurate data by regularly maintaining and calibrating instruments.
    • Follow manufacturer guidelines and schedules to adjust and calibrate monitoring instruments to a known standard for precise and reliable measurements.
    • Conduct routine checks and preventive maintenance on monitoring equipment to identify and address potential issues before they affect the instrument's performance.
    • Regularly clean monitoring equipment, especially in environments with high dust, chemicals, or other contaminants, to maintain measurement accuracy and prevent contamination.
    • Ensure batteries are functioning correctly, replace them as needed, and follow proper disposal procedures for used batteries to keep monitoring equipment powered.
    • Verify the accuracy of monitoring instruments' sensitivity, responsiveness, and functionality checks to ensure the accuracy of detecting and measuring workplace contaminants.
    • Replace filters at appropriate intervals to maintain the effectiveness of the sampling process in air sampling devices that collect particulate matter for analysis.
    • Verify the accuracy of data logging functions in instruments with data logging capabilities, ensuring that recorded data aligns with real-time measurements.
    • Ensure software is up to date in monitoring devices that come with software, addressing bugs or compatibility issues, and taking advantage of new features or improvements.
    • Maintain detailed records of equipment maintenance activities, including calibration dates, cleaning schedules, and any repairs or adjustments for compliance with quality assurance standards and audit requirements.
    • Store monitoring instruments appropriately to prevent damage when not in use, such as storing them in protective cases, avoiding extreme temperatures or humidity, and ensuring they are stored securely.

    Hygiene Support (when required):

    • Conduct air sampling to measure the levels of various contaminants such as dust, gases, vapours, and other airborne substances in the workplace.
    • Monitor and assess noise levels in the workplace to identify potential risks to hearing health. This may involve using specialised equipment such as sound level meters.
    • Assess and monitor workers' exposure to hazardous chemicals by sampling and analysing substances to determine their concentration in the air or on surfaces.
    • Evaluate workplace ergonomics to identify and mitigate factors that could lead to musculoskeletal disorders or injuries.
    • Examine and evaluate the effectiveness of ventilation systems to ensure proper air exchange and control of contaminants.
    • Evaluate the use of PPE and ensure that workers are provided with and adequately using the appropriate protective gear for their tasks.
    • Collaborate with other health and safety professionals, such as industrial hygienists, safety engineers, and occupational health specialists, to address broader safety concerns and contribute to developing comprehensive risk mitigation strategies.
    • Respond to emergencies related to occupational hazards, such as chemical spills or exposure incidents, and implement appropriate emergency procedures.

    This role is in Safety, Health & Environment (SHE) department on a Band 7 (C-Upper) level reporting to the Hygienist.

    Qualifications:

    • Grade 12
    • National Certificate in Occupational Hygiene or related field (NQF5)
    • Registration with the Southern African Institute of Occupational Hygiene at Technologist level, or an Intermediate Certificate in Mine Environmental, Minerals Council of South Africa
    • National Diploma in Occupational Hygiene or related field (NQF6) is preferred
    • International ICertOHTA Certificate or BOHS CertOH is Advantageous
    • Valid SA Drivers Licence: Code B

    Technical Knowledge

    • 3-5 years of relevant experience as a technician in maintaining occupational hygiene equipment, preferably in a mining environment.
    • Understand occupational hygiene and safety regulations and standards applicable to mining environments.
    • Knowledge of hazardous materials and their potential health effects, including dust, chemicals, and noise.
    • Familiarity with sampling and monitoring techniques for environmental and hygiene assessments.
    • Awareness of proper use and maintenance of occupational hygiene equipment and instruments.
    • Knowledge of risk assessment methodologies and control measures for mitigating workplace hazards.
