    Payroll Administrator - Switches & Annuity

    Job Purpose & Key Outcomes

    • Business Screening
    • Responsible for screening all businesses
    • Responsible for monitoring cases and ensuring that they are screened within turnaround time.

    Business Processing

    • Responsible for processing all instructions 
    • Responsible for monitoring cases and ensuring that they are processed within turnaround time
    • Capturing of the following requests and performing the necessary calculations:
    • Income Review form
    • Bank account detail changes
    • Special deduction Instruction
    • Medical Aid changes
    • Top Up investments: Review and capture new income
    • Change of Payees
    • Automatic Reviews
    • 3rd party payments to client’s other investment(s)
    • Set up regular withdrawals on discretionary products.
    • Compulsory Annuity changes.
    • Perform PAYE Tax calculations and tax aggregation calculations.
    • Ad hoc claim requests – i.e. tax calculations

    Knowledge and Time management

    • Accountable to understand the processes, procedures, legislation and business rules as relating the role
    • Accountable for continuous learning
    • Responsible for guiding and supporting peers with ongoing training in new development and other areas as required by the business

    Documentation

    • Ensure adherence to the applicable procedure in terms of filing
    • Ensure adherence to company policy and procedure in terms of confidentiality and record keeping
    • Accountable for storage of electronic data

    Reporting

    • Responsible for ensuring that CRM is 100% updated with detailed comments
    • Responsible for compiling daily work on hand reports

    Queries 

    • Accountable for owning and responding to the client within the agreed SLA
    • Resolve basic queries from internal clients including management
    • Ensure accurate resolution to client queries within the agreed SLA

    Process and Procedures

    • Familiarise yourself with relevant processes pertaining to specific tasks

    Compliance

    • Ensure adherence to company policy and procedure

    Qualifications and Experience

    • Grade 12 with Maths

    Onboarding and Contracting Specialist: RA SC Succession Fin Planning (Lynnwood)

    What will you do?

    • Undertake to fully understand the content and impacts of all relevant legislation and requirements for the financial services industry.  
    • Receive application for new adviser joining Succession from the different regions.
    • Check application form for completeness.
    • Verification process (ID, ITC, Fit and Proper check, Forensic, DOFA date and qualification)
    • Maintaining appointment tracker sheet
    • Arrange fingerprint appointments.
    • Apply for new product provider agreements.
    • Maintaining the broker lists and Admin Portal on Icon
    • FSCA registration
    • Onboarding process for new advisers
    • Apply for email addresses and business cards.
    • Follow up with regions on any outstanding requirements on application form.
    • Feedback to region on application stages
    • Drafting permit, appointment letters for new appointment adviser
    • Checking application forms and verifying that the information is correct for FICA
    • E-sign to the Management / Key Individual 
    • Region liaison and Product Providers 
    • Applying subcodes on behalf of intermediaries
    • Email information required and follow-up with regions and Financial Services (Product Providers) weekly.
    • Maintaining organizational structure by Tracking all the subcodes for our Finance department for commission.
    • Building relationships and networks within the Financial Services (Product Providers) 
    • Update systems. Update of personal information of advisors
    • Drafting New Introductory letters 
    • Terminations of Subcodes and updating of FSCA records and Financial Services (Product Providers)
    • Drafting transfer addendums 
    • Updating current product providers’ information

    • Office Administrative qualifications


    Knowledge and skills 

    To be successful you will need to demonstrate good experience in:

    • Successful candidate should have at least one years’ experience in using the SFP intermediary admin portal
    • Knowledge of and experience in MS Office
    • Good knowledge of onboarding new advisers

    Good knowledge of the subcodes lodging and suspense review processes

    • Good basic IT/systems operations knowledge 
    • Financial Services Industry Knowledge 
    • Relevant regulatory legislation and compliance knowledge 
    • Financial Service Product Knowledge (Sanlam and competitors) 
    • Pay attention to detail
    • Able to work well with others

    • Excellent verbal communication and Writing Skills
