    Lease Administrator (Lease Out) - Johannesburg

    Main purpose / objective of the position:

    • To establish and maintain effective support services for the property management functions of the portfolio, primarily the administration of Lease Agreements. To effectively manage the portfolio on a Regional Basis, the objectives being the optimisation of rental income and accurate recording of lease terms.

    Operational Deliverables:
    Will include, but not limited to:

    • Attend to leasing and lease renewals, reassessments, lease consolidations and terminations. Drawing up of lease schedules and documentation relating to obtaining approvals and acceptance of leases, facilitating the signing of lease agreements (from a landlord perspective).
    • Capturing of all new lease agreements, lease renewals, reassessments and lease corrections on SAP.
    • Assist accounting services, (Credit control), by arranging invoicing of rentals, adjustments, reconciliations, variance reporting and customer creation.
    • Assist in compiling deviation reports and communicate. Implement preventative steps to prevent recurring.
    • Keep, maintain and update detailed monthly status updates of own building and lease classifications.
    • Assist with compiling property related reporting schedules.
    • Actively maintain a reminder system to ensure finalisation of all matters pertaining to lease administration.

    Decision making authority:

    • Works within the broad framework of existing policies and guidelines, as amended from time to time. Required to work strictly within prescribed rules, routines & standards.

    Experience / Education / Knowledge:

    • Grade 12 or relevant qualification equal to NQF level 4.
    • Additional Property related qualification of any NQF 5 or higher.
    • A Bachelor’s Degree in Finance, Property Management, Business or Accounting will be an advantage.
    • At least 3-5 years relevant experience in Property Management/Administration, i.e. leasing administration, financial accounting and negotiation/communication skills, directly interfacing with clients and providing general administrative support services.
    • Knowledge of South Africa’s property industry, property markets and general administration/Accounting/Finance acumen.
    • Knowledge of Asset Management and knowledge of the legal requirements of the essentials of a lease agreement.
    • ERP Systems and Procedures, general business and property management acumen, house rules, service contractors, insurance policies and procedures.

    Skills required:

    • Typing, Computer literacy (Advanced MS Office, MS Word, MS Excel, Power Point, Contract Creation & Procurement system, SAP).

    Lease Controller (Lease In) - Johannesburg

    Main purpose / objective of the position:

    • To manage and control all contracts and effectively manage the portfolio on a regional basis, the objective being the reduction of rental expenditure. Take responsibility for data integrity (building and tenant). Handle audit queries. To control all aspects of Leases, i.e., Accounts and Financial. To oversee the financial processes and reporting to clients. To establish and maintain effective support services for the property management functions of the portfolio.

    Operational Deliverables:
    Will include, but not limited to:

    • Manage leasing and lease renewals, rent reviews, negotiations and documentation relating to obtaining approvals and acceptance of leases, facilitating the signing of lease agreements (from a Landlord and Tenant perspective).
    • Oversee and verify the capturing of all new lease agreements, lease renewals, and lease corrections on SAP.
    • Assist accounting services, (Credit control), by arranging payment of rentals, adjustments, reconciliations, variance reporting and vendor creation.
    • Compile deviation reports and communicate. Implement preventative steps to prevent recurring.
    • Keep, maintain and update detailed monthly status updates of own building and lease classifications.
    • Compile property related reporting schedules. Actively managing expiry profile of portfolio.
    • Actively maintain a reminder system to ensure finalisation of all matters pertaining to lease administration.
    • Oversee landlord management and administration, i.e., retention and alignment of profile by meeting with landlords and responding to their needs.
    • Assist and interact with Business Units and Third Parties in respect of additional space requirements and maintenance requirements.
    • Ensure resolution of queries within specified SLA requirements. Pro-actively manage and deliver on solutions.

    Lease Manager (Lease Out) - Johannesburg

    Main purpose / objective of the position:

    • To agree terms and conditions of proposals to lease premises within specified parameters and conclude terms of standard lease agreements (both Master Lease Agreements and Site Schedules). To satisfy needs of client whilst not compromising company position. To manage and control all contracts and effectively manage the portfolio on a Regional Basis, the objective being the maximizing of rental income. Take responsibility for data integrity (building and tenant). Handle audit queries. To control all aspects of Leases, i.e., Accounts and Financial.     Operational Deliverables:
    Will include, but not limited to:

    • Responsible for the leasing team and the leasing process from start to ensuring the leases are accurately prepared and signed off.
    • Ensure all lease renewals, reassessments, lease consolidations and terminations are timeously attended to and professionally compiled.
    • Responsible for coordinating and providing assistance to the leasing team.
    • Responsible for producing accurate status reports.
    • Responsible for other leasing tasks or as directed from time to time – this to include strategic input into as required.
    • Maintain positive relationships with all tenants and Client Representatives.
    • Compile and distribute leasing report internally to portfolio management.
    • Manage and administer ad-hoc leases (monthly and lease based).
    • Custodian of Master Data for portfolio - maintain and administer.
    • Formulate leasing strategies.
    • Assist in compiling of annual budgets.
    • Custodian of tenant files, ensure up to date with relevant correspondence.
    • To offer support to other business units as and when required.
    • Ensure resolution of queries within specified SLA requirements. Pro-actively manage and deliver on solutions.

    Decision making authority:

    • As mandated in terms of Client SLA. This position operates within budget parameters and the broad framework of existing policies and guidelines, as amended from time to time.

    Experience / Education / Knowledge:

    • Grade 12 or relevant qualification equal to NQF level 4.
    • Additional Property related qualification of any NQF 5 or higher.
    • A bachelor’s degree in finance, Property Management, Business or Accounting will be an advantage.
    • At least 5 years relevant experience in Property Management/Administration, i.e., leasing administration, financial accounting and negotiation/communication skills, directly interfacing with clients and providing general administrative support services.
    • Must hold a valid Fidelity Fund Certificate and satisfy the requirements as set out the by EEAB and current legislation for the position.
    • Staff management experience.
    • Knowledge of South Africa’s property industry, property markets and general administration/Accounting/Finance acumen.
    • Knowledge of Asset Management and knowledge of the legal requirements of the essentials of a lease agreement.
