    Clerk: Administrative

    Job Advert Summary    

    • The purpose of this position is to provide administrative support for the Safety, Health and Environmental (SHE) M, while supporting the implementation and maintenance of quality and food safety requirements. The role ensures accurate record-keeping, regulatory compliance, and effective coordination of SHE, quality, and food safety activities to promote a safe, compliant, and efficient working environment.                                                                        

    Requirements    

    • Grade 12 or equivalent to NQF4
    • National Diploma (Environmental studies/ Health & Safety/ Quality Management) - Advantageous
    • 2-3 years relevant experience in applying job related concepts, techniques and processes at the required level
    • Business English: Fluent
    • Computer literacy (Intermediate)

    Duties and Responsibilities    

    • Ensure Safety, Health & Environment (SHE) compliance
    • Administrate SHE in Production
    • Compile and distribute all SHE Reports
    • Administrate SHE related policies and procedures
    • Prepare and upload BSC Reports into SharePoint. Audit reports prepare and distribute
    • Conduct ad-hoc requests and observations
    • Provide support during audits - SHE, ISO 14001, Ethical, Maintenance, Food Safety
    • Provide input for the Management meetings
    • Take meeting minutes for all SHE matters and distribute once completed
    • Evaluate completion of tasks on the Entropy system by each branch and provide feedback/support - Assist with safety, health and environment aspects
    • Provide support on Entropy system
    • Report on the performance of the SHE Management system
    • Co-ordinate induction of contractors/ employees - Assist with Maintenance/Capex related issues
    • Assist with administration on SHE related projects
    • Administrate Entropy system
    • Administrate management and approval of contractor files - External audits
    • Assist with External Legal compliance audits and SMETA ethics audits
    • Assist with ISO 14001 surveillance and certification audits
    • Assist with planning annual internal and external audits
    • Assist with arranging with training and appointment letters.
    • Pest Control Management, arranging for pest control service, checking of reports, ensure all pest control follow up are being done
    • Closing out all findings and recommendations. Presenting trends weekly and presenting at audits.
    • Appointed Pest control Monitoring Member for the site.

    Duties and Responsibilities    
    Administer inventory, stock, crates, pallets and fuel:

    • Ensure stock is managed correctly and balanced between system and balance sheet accounts.
    • Ensure stock is correctly reflected in GL e.g. no credit stock values in GL and prices used during month was correct.
    • Perform stock reconciliations monthly and follow up where necessary.

    Control and reconcile Driver accounts and cash:

    • Reconcile General Ledger in respect of Drivers accounts.
    • Reconcile all cash that flows through at branch i.e. deposit slip, cash receipts & bank statement.
    • Follow up on all EFT's owed by customers indicated as COD.
    • Control and manage RD cheques from customers, through a RD cheque register, and the collection of the RD cheque outstanding for customer payments.
    • Follow up on Driver journals done at branch with Branch Admin Manager/Controller.

    Control payments - Stock and Commodities:

    • Ensure every vendor invoice has a printed Clover PO number. 
    • Marry all inventory PO's with the correct stock GRN's e.g. Red Bull, Clover Waters, Snaxworks etc.
    • Ensure that all invoices are accompanied by a corresponding authorised PO according to signatory Clover policy.
    • Manage branch capex expenditures with corresponding PO's and capex applications.

    Assist with budgets and year end:

    • Assist with internal and external audit requirements.
    • Ensure that Clover policies are adhere to.
    • Complete year end schedules.
    • Analyse variances from budget and report.

    Perform debtors and administrative tasks:

    • Perform debtor control account reconciliations and report deviations.
    • Ensure that adhoc debtors invoicing takes place and are followed up regularly to ensure payment.
    • Assist branch management with projects.
    • Complete capex applications.
    • Ensure that monthly fixed costs are correct .
    • Assist with adhoc information and reports .

    Laboratory Technician

    Duties and Responsibilities    
    Setup, maintain and operate laboratory equipment  

    • Prepare and maintain stocks of chemical reagents and microbiological reagents/cultures/media 
    • Operate laboratory equipment in line with the standard operating procedures and well maintained 
    • Ensure that lab procedure are followed according to standard procedures 
    • Maintain all safety procedures in the laboratory 
    • Ensure that the lab is clean at all times 
    • Ensure that Good Manufacturing Practices (GLP) is maintained 

    Conduct sampling and testing  

    • Prepare and analyse samples 
    • Releasing of Raw and Packaging materials 
    • Perform routine QC/laboratory analysis 
    • Report of Non-confirming and retesting and sending the final report is essential 
    • Record all results neatly and must be filed as required 
    • Ensure that all procedures are followed before releasing the final product to the market 
    • Ensure that the laboratory equipment are calibrated and must be monitored at the beginning of each shift 
    • Report equipment break downs in time 

    Safety in the laboratory  

    • Follow all safety procedures in the lab. (e.g. wearing of PPE) 
    • Know all emergency procedures e.g. eye wash station, safety reps and first aiders. 
    • Report all safety incidents
