    Property Administrator & Receptionist - Fourways Crossing

    Key Performance Areas

    Administration

    • Draft offers, LAS’s and other relevant documents and collate lease information (as required for GOBI) and ensure accurate loading on tenant profiles. 
    • Draft all agreements, including lease agreements, addendums etc. with 100% accuracy and ensure leases are signed and returned. 
    • Ensure finalized leases are kept safely in a locked safe. 
    • Load all rental charges and ad hoc charges (including utilities) into the system and ensure correct and accurate rental statements are sent to the Financial Manager to check and raise timeously on a monthly basis in accordance with their lease agreement. 
    • Complete monthly GLA and vacancy and any other leasing reports required. 
    • Capture leases on the Property Management system. 
    • Process tenants take back inspection reports and notify Building and Leasing Consultants as well as utility management company and credit controller. 
    • Liaise with Clients, all internal parties and external Brokers about lease agreements. 
    • Assist with deposit refunds and returning of bank guarantees.
    • Ensure data clean-up on the Property Management system.
    • Assist with compilation of the monthly report packs.
    • Assist Portfolio / Centre Managers and SBU as and when required. 
    • Notify the utility company of any changes or updates to tenancies. 
    • Complete and upkeep outstanding lease reports as well as reports on new lets and renewals already concluded. 
    • Update and keep tenant contact list and detail up to date. 
    • Raise ad hoc batches as required by the Portfolio / Centre manager and ensure sign off of same prior to processing. 
    • Ensure tenant files are kept either electronically or on site bearing in mind POPIA requirements. 
    • Conduct Biannual audit of all tenant leases, to ensure that all leases have been signed off and loaded correctly.

    Reception and General Administration

    • Interaction with clients, tenants and contractors and ensure professional interaction to resolve queries. 
    • Turnover and trading analysis reports including but not limited to Belinda Clur, MSCI, management reports and any other required format. 
    • General office duties e.g. filing, photocopying, binding of monthly management pack and lease agreements etc.
    • Answering the telephone, screening and directing calls to other staff members as well as providing basic information to callers. 
    • Keeping the reception area tidy and well maintained. 
    • Ensure that meeting rooms are services between meetings and that lunch orders are taken and carried out / managed, when required. 
    • Compile minutes of each team / contractor meeting when required. 
    • Manage the ordering of stationery and control thereof. 
    • General support to Centre Management Team.
    • Obtain all reporting tenants monthly turnover figures by the 10th of each month. 
    • Accurately capture into excel spreadsheet and relevant system. 

    Requirements

    Knowledge & Key Competencies

    • High level of accuracy and attention to detail.
    • Excellent problem-solving and analytical skills.
    • Ability to work independently and as part of a team.
    • Retail property, commercial property, shopping centre, or real estate experience highly advantageous.
    • Understanding of lease administration, tenant management, vacancy reporting, and property-related documentation preferred.
    • Strong customer service orientation with the ability to interact professionally with tenants, clients, brokers, contractors, and internal stakeholders.
    • Excellent verbal and written communication skills.
    • Experience working on MRI, or similar Property Management Systems.
    • Proficient in Microsoft Office Suite with strong Excel skills

    Education

    • Grade 12/ matric (essential)
    • Relevant qualification in Business Administration, Property Management, Finance, or related field will be advantageous

    Experience

    • 2–3 years' proven experience in an administrative role, preferably within the property management, commercial property, real estate, or retail environment. 
    • Experience in drafting and administering lease agreements, addendums, and tenant documentation. 
    • Experience dealing with tenants, clients, contractors, and service providers. 
    • Previous reception and front-office experience is advantageous.
    • Advanced Microsoft Excel proficiency is required.

    Facilities Administrator - Office CPT

    Key Performance Areas 

    Facilities Administrator Duties and Responsibilities

    • Process and manage invoices, including follow-ups on outstanding invoices aligned with open purchase orders on Fraxion.
    • Update monthly capital expenditure (Capex) projections on MRI.
    • Support Project Coordinators by maintaining the tenant installation database and tracking key project documentation (Tenant Life Cycle, compliance, and handover packs).
    • Assist Project Coordinators in ensuring project compliance with building regulations, the OHS Act, and fire safety requirements.
    • Review and facilitate the authorization process for tenant installation creditor accounts (FCC Report).
    • Follow up on outstanding documentation.
    • Assist with the maintenance and updating of the CAD database and the electronic document library.
    • Compile all contractor documentation required for vendor approval through procurement.
    • Assist the team with tenant communication regarding service disruptions and general updates, as needed.
    • Support Building Managers by loading maintenance records and logging repair, service, or incident requests per building via the My Buildings system.
    • Manage maintenance reporting by generating daily, weekly, and monthly summaries of logged calls and tracking client feedback.
    • Support Building Managers by uploading relevant certificates, service reports, and scheduling details for upcoming maintenance services (e.g., HVAC, fire equipment, security, new tenants, and contractors).
    • Review Capex and Facilities reports to ensure accuracy for management reporting packs.
    • Conduct self-performance reviews and attend bi-annual reviews
    • Attend SLA meetings and take minutes 
    • Assist with compilation of building inspection repairs with building manager
    • Liaise with property staff  

    Requirements
    Education

    • Matric / NQF equivalent 
    • Project/Construction Management tertiary qualification advantageous

    Experience

    • Dealing with creditors accounts. 
    • A property related background would an advantage 
    • Minimum 3 years working experience in financial / administrator role

    Operations Manager - Greenacres Shopping Centre

    Key Performance Areas

    Financial Management 

    • To prepare, manage and load the technical budget (Capex and R&M) including forecasts and budget variance reports.
    • To prepare required technical and financial reports and feedback  to management.

    Asset Maintenance and Management 

    • Set and implement planned / preventative / emergency maintenance in conjunction with the Line Managers and Facility Managers, as well as disaster and emergency planning.
    • Manage both “hard” and “soft” services, monitoring the quality of services and deliverables including monthly KPI management provided by suppliers, ensuring they are within budget by negotiating the most advantageous pricing structure.
    • Ensure that life cycle planning and preventative maintenance plans over a 3–5-year period are set for property under management.
    • Ensure effective asset control by setting and managing the asset register, on the Growthpoint Management Service Desk (GMSD).
    • Oversee and control all maintenance/stock control inventory / spares and tools.
    • Implement energy saving programs (‘green’ principles), environmental and sustainability methodology.
    • Assisting management of the utilization of municipal and utility management to ensure optimum recovery ratios.
    • Assisting management of utility reports, including billings and associated meetings with utility consultants, as well as implementation to resolve issues.
    • Manage and scrutinise monthly and daily solar performance and reports (if applicable).
    • Conduct inspections, including technical, housekeeping, service contract and take on and take back inspections.
    • Manage borehole installations to optimal performance and the reporting thereof.
    • Assume responsibility for the security of all the Centre facilities.
    • Identify security threats and develop action plans for the prevention of incidents.
    • Ensure all buildings, grounds and equipment are maintained and in optimal working condition.
    • Stay abreast of changing technical market trends.

    Procurement  

    • To contribute to the specifications to SLAs for approved service providers in conjunction with the Procurement team, including company procurement strategy.
    • Ensure all contractors appointed are in line with Procurement policies.

    Health and Safety/Risk Management

    • To ensure that compliance is maintained with building and statutory regulations, as per the Health and Safety Act and ASIB requirements.
    • Ensure all internal systems are updated.
    • To register and monitor insurance processes to finality.
    • Establish and maintain security systems for the Centre and tenants.
    • Establish and maintain security information network.
    • Liaise with SAPS and other local authorities.
    • Establish and practice regular emergency and evacuation plans of the Centre.

    People Management  

    • Identify skills gaps as well as the required training for the team members in your team and mentor them. 
    • Manage and coordinate staff activities and deliverables, implementing work schedules and effectively using the company performance and development management system.
    • Drive the overall engagement and alignment of the team.

    Customer relations  

    • Manage and respond timeously to technical complaints and queries received from clients and identify trends in complaints.
    • Manage the relationship with the tenants, including tenant installations and asserting budgetary control.

    Requirements
    Education

    • A Diploma or Degree in Mechanical/ Electrical or Qualified tradesmen (electrician, plumber, boilermaker, etc.) or a certificate in facilities management 
    • Engineering/ Building Science/ Construction and Facilities Management. 

    Experience

    • Minimum 5 years of Property or Built Environment experience within a Retail shopping centre environment. 
    • Experience with Solar installations and Generators.
    • Experience in working with Local Economic Development or Business Forums.
