    Internal Controller - JHB

    Activities

    SARBANES OXLEY (SOX) Activity Level Controls (ALC)

    • Referential maintenance / update to align to business process evolution.
    • Adhoc SOX testing as and when the need arises.
    • SOX Entity Level Controls (ELC)
    • Action the annual SOX ELC campaign, in compliance with the Company guidelines.
    • Ensure action plans / enhancements from previous campaigns are implemented.

    ESSENTIALS of INTERNAL CONTROLS (EIC)

    • Action the annual EIC campaign for TMSA and NBE in compliance with the Company guidelines.
    • Prepare analysis of the results and present the results to management
    • Ensure action plans / enhancements from previous campaigns are implemented.

    GENERAL INTERNAL CONTROL REVIEWS

    • 25 KPC: Perform the monthly 25 key priority controls for TMSA & NBE, compliant to the referential guidelines. Prepare the analysis and reporting for CFO / MD signoff.
    • FACT: Perform investigations and report for FACT alerts as and when raised
    • Perform and/or support assistant missions, Track, Closeout, and report on Assistance Affiliate Mission findings.
    • Assist and support business in the closure of Audit findings – local internal audits, Group audits and recurring audit findings.
    • Assist and support business via management requests, improvements projects, etc.

    COMPANY MANAGEMENT SYSTEMS (CMS)

    • Management of CMS Directives, Company Rules, Guides & Manuals, etc.
    • Monitor dashboard CSM Dashboard to ensure policies to ensure procedures, Company Rule guidelines and manuals quality, completeness, validity and alignment to AFR / MS / Grp as far as possible

    ADHOC

    • Support for Internal Control Manager in adhoc requests
    • Support during group missions
    • Perform training as and when the need arises.
    • Support Business in preparation for audits
    • Support Management Request Projects

    HSE

    • To effectively manage and minimise HSE risk within area of responsibility by ensuring:
    • Compliance with all HSE Policies, rules, guideline and legal requirements
    • Promotion of safe working environment and positively contributing to the company HSE KPIs and risk reduction strategies
    • That HSE competency requirements are identified & enforced within area of responsibility

    Candidate Profile

    • Suitable business / accounting / audit degree or diploma.
    • Minimum 5 years cross functional experience in the entity and comprehensive knowledge of the industry.
    • Knowledge of SOX, IFRS, GAAP
    • ERP system experience, SAP preferable
    • Autonomy : Ability to work independently and use initiative;
    • Integrity : Confidentiality; objectiveness; independence. Effective time management
    • Communications: Good interpersonal skills across all levels, reporting, both written and verbal, including presentations.

    Plant Assistant- Waltloo

    Activities

    STRATEGY

    • To ensure the operation of the depot are done within the framework of relevant legislation and regulations governing the Industry thus ensuring high customer service levels with the aim of contributing to the effective management and efficient operation of the terminal.

    KEY RESULTS

    • Ensure the loading and Offloading of all product in the plant to ensure: The right product, in the right time, at the right quantity against set service levels and transport KPI’s to meet customer requirements and improve the efficiency and optimisation of the transport.
    • Participate in the investigation of incident/accidents and perform regular gantry inspections for non-compliance by drivers to Work Instruction, housekeeping and vehicle operating requirements to ensure a reduction in incidents and compliance to transport legislation.
    • Ensure the drain-back of product is done according to the procedures and ensure completeness of documentation.
    • Ensure operational crises and problems are minimized by activating contingency plans and advising all affected parties so as to avoid any/minimal disruption of the operational activity in the plant.
    • Assist with the practical training of Operations and Management trainees and employees from other depots through on-the-job training and rotation within the plant that will result in meeting the objective of the training programme.
    • Conduct minor maintenance and Good housekeeping with guidance from Supervisors.
    • Perform any other duties as reasonably requested by the Terminal Supervisor or Manager.

    HSEQ

    • To effectively manage and minimize the risk associated with Depot Operations by ensuring:
    • Compliance with all HSE Policies, Rules, guidelines and legal requirements with area of responsibility
    • Promotion of safe working environment and positively contributing to the company’s HSE KPI’s and risk reduction strategies
    • Legal HSE competency requirements are enforced within area of responsibility

    LEGAL

    • Comply to OHS-ACT Section 8.2i b (legal compliance to national, environmental and local laws ) appointment.
    • Ensure compliance to NERSA licence conditions.

    GOVERNANCE:

    • To ensure effective risk management and internal control, including asset management, for area of responsibility.

    Candidate Profile

    • Grade 12 A Suitable 3-year tertiary qualification is an added advantage.

    Dispatcher

    Activities

    Daily tasks

    • To perform the effective scheduling of the outsourced transport fleet for the allocated depots by using the relevant IT systems to ensure the transport resources are fully optimized within the boundaries of the agreed delivery SLA.
    • Capture the exceptions of the daily dips on ORTEC before the scheduling of routes commences  
    • Ensure all orders on the workbench are scheduled as per requested date
    • Inform KAS/TM’s that could not be scheduled due to a particular reason/s
    • To ensure the good health of the ORTEC system in effective reporting and trend analysis.
    • Recommend areas of improvement for the consideration of the Dispatch Controller and the Routing & Scheduling Supervisor/ Manager to improve on the Productivity and Efficiency of the scheduling operation. 
    • Ensure daily monitoring of loads to enable effective and efficient deliveries of the transporter.
    • Clear the old orders on the SAP system 

    Capabilities

    • Act, prioritize and schedule any dry sites
    • To manage the stock and replenishment of SOC sites daily.
    • To implement corrective measures  to improve and/or deliver the required levels of service to internal and external customers
    • Inform the Dispatch controller of any contracted vehicles that are not made available by the transporter for scheduling 
    • Minimise the number of drops are reduced in scheduling for a depot.
    • Inform the Dispatch Controller and the Routing and Scheduling manager on any loads that were not able to load due to different circumstances eg.  Supply issues/gantry issues/strike on the road etc

    Stakeholders

    • Liaise Key Account Specialist and Territory Managers on late orders
    • Liaise with Transporters on any orders that are carried over from one shift to another
    • Inform customers HSE and marketing teams of any constraints at the sites
    • To communicate unscheduled loads for NON-SOC orders to the marketing teams
    • Liaise with Business Support & Depots on any old unused orders on the system
    • Provide any examples or system related issues to be resolved by ORTEC/SAP teams as and when required

    HSEQ:

    • 2 Years’ experience in Transport and or Supply chain environment
    • Good knowledge of ORTEC or any Scheduling tool will be an added advantage  
    • Good knowledge of Depot operations and the downstream supply chain.
    • Good knowledge of South African geographical environment 
    • Good understanding of HSEQ principles for the transportation of Dangerous goods. 
    • Experience in problem solving and operational analysis 
    • High level of problem-solving ability, negotiating skills, tenacity, ability to challenge and identify problems
    • Excellent communication skills and ability to work as a team player.
    • English is the working language
