    Customer Care Representative

    Purpose of the role:

    • The purpose of this role is to ensure smooth customer service operations by proactively managing customer accounts, credit limits, and queries across multiple communication channels. The successful candidate will serve as a key liaison between customers and internal departments—Logistics, Sales, and Finance—to resolve account issues and coordinate delivery timelines. Additionally, the role supports administrative tasks and service quality initiatives to enhance customer satisfaction and operational efficiency.

    Key Responsibilities:

    • Monitor daily customer credit limits and inform customers approaching their limits to ensure smooth order processing.
    • Handle all customer queries via the customer care line and WhatsApp.
    • Act as the liaison between Customer, Logistics, Sales, and Finance regarding account issues.
    • Communicate estimated time of arrivals (ETAs) for customer loads.
    • Manage general account queries.
    • Conduct quarterly customer surveys to assess overall service satisfaction.
    • Perform data capturing tasks as required.
    • Assist with general logistics and administrative duties when needed.

    Minimum Requirements:
    Skills and Competencies:

    • Excellent communication and interpersonal skills.
    • Customer-focused with strong problem-solving abilities.
    • Attention to detail and accuracy in handling data.
    • Ability to work collaboratively across multiple departments.
    • Proficient in office software and data management systems.
    • SAP experience

    Qualifications and Experience:

    • Grade 12 / Matric (essential).
    • Diploma in Business Administration, Logistics, or related field (advantageous).
    • Minimum 2–3 years’ experience in sales administration or customer service environment.
    • Experience with SAP Sales and Distribution (SD) Module (advantageous).
    • Knowledge of the cement, manufacturing, or logistics industry (advantageous).

    Sales Administrator

    Purpose of the role:

    • The purpose of the Sales Administrator role is to manage and oversee customer order processing, ensure accurate and timely order management, coordinate communication between Sales, Logistics, and Finance teams, and support system accuracy and workflow efficiency through reporting and continuous improvement initiatives.

    Key Responsibilities:
    Order Processing and Management:

    • Capture, validate, and maintain customer orders accurately on SAP (VA01)
    • Coordinate new customer creation requests with Finance and Sales teams.
    • Ensure all pricing is loaded and maintained in line with approved structures.
    • Process proforma invoices and liaise with Finance regarding blocked or overdue accounts.
    • Monitor and follow up on pending or incomplete orders to ensure on-time delivery.
    • Capture urgent or after-hours orders when required to support operations.

    Coordination and communication:

    • Serve as the primary liaison between Sales, Logistics, and Finance to ensure smooth order flow.
    • Communicate delivery schedules, order confirmations, and changes to relevant stakeholders.
    • Escalate critical or time-sensitive issues to the appropriate departments promptly.
    • Maintain accurate records of orders, approvals, and related correspondence.

    Systems and Reporting:

    • Manage and oversee customer order portals, ensuring data accuracy and pricing compliance.
    • Approve or reject orders based on stock availability, pricing, and quantity validation.
    • Generate daily, weekly, and monthly reports on order processing, OTIF performance, and backlog.
    • Support continuous improvement initiatives to enhance system accuracy and workflow efficiency.

    Minimum Requirements:
    Skills and Competencies:

    • Strong proficiency in SAP (Sales & Distribution) and Microsoft Excel.
    • Excellent organisational, administrative, and coordination skills.
    • Strong numerical accuracy and attention to detail.
    • Ability to multitask and perform under pressure in a fast-paced environment.
    • Effective communicator with a sense of urgency and accountability.
    • Team-oriented and adaptable to changing priorities.

    Qualifications and Experience:

    • Grade 12/ Matric (Essential)
    • Diploma in Business Administration, Supply Chain, or related field (advantageous).
    • Minimum 2-3 years’ experience in sales or order administration within a fast-paced environment.

    Transport Coordinator

    • We are seeking a proactive and detail-oriented Transport Coordinator to manage relationships with third-party transport providers, oversee the efficient delivery of coal, and ensure full compliance with transport regulations

    Key responsibilities:

    • Liaise with transport providers to ensure timely and efficient coal deliveries
    • Collaborate with partners to plan and optimise routes, reducing costs and improving delivery timelines
    • Schedule and coordinate deliveries in line with company needs
    • Monitor load progress and address any delivery issues or delays proactively
    • Ensure transport documentation, including delivery notes and contracts, is accurate and up to date
    • Build and maintain strong working relationships with third-party providers to uphold service level agreements (SLAs)
    • Generate regular reports on transport activities, costs, and key performance metrics
    • Act as the main point of contact for transport-related queries internally and externally
    • Investigate and resolve transportation-related concerns, including damages, delays, or discrepancies

    Minimum requirements:

    • Bachelor's degree in Business Administration, Logistics, Supply Chain Management, or a related field
    • Previous experience in road transport coordination or logistics
    • Strong understanding of transport regulations, freight systems, and supply chain processes
    • Strong negotiation, communication, and interpersonal skills
    • Ability to remain calm under pressure and adapt to shifting priorities
    • Strong Attention to detail and strong problem-solving skills
    • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with transport management software or ERP systems (preferred)
