PURPOSE OF THE JOB:
- To provide strategic leadership in the design and delivery of high-impact University events that advance institutional goals, foster stakeholder engagement, and strengthen the University's national and global reputation. This role ensures the alignment of event strategies with the University's vision, upholding protocols, governance, and brand standards while managing the full event lifecycle with professionalism, innovation, and precision.
The incumbent will be responsible to:
- Lead the development and implementation of comprehensive project plans for the annual institutional events calendar;
- Draft and submit detailed event briefs, creative concepts and communication strategies aligned with the University's marketing and brand objectives;
- Manage the planning and execution of assigned University events, ensuring quality, consistency, and alignment with institutional priorities;
- Oversee venue sourcing, setup, and supplier coordination in compliance with procurement protocols and brand identity;
- Liaise with Security Services, protocol officers, and key stakeholders to finalise guest lists, scripts, signage, seating, dietary needs, and VIP arrangements;
- Manage strategic faculty events hosted by the Vice-Chancellor, ensuring alignment with institutional goals and elevated visibility;
- Provide project leadership and protocol guidance to faculty staff for event conceptualisation and execution;
- Coordinate all aspects of event delivery, including venue, décor, catering, protocol, guest logistics, compliance and promotions;
- Compile accurate event budgets and cost estimates in collaboration with the PR & Events Manager and/or Deputy Director;
- Source competitive supplier quotations and ensure adherence to procurement and financial policies;
- Track budget performance throughout the event lifecycle, implementing controls to prevent over-expenditure;
- Conduct post-event debriefings and compile comprehensive closing reports within 14 days of event conclusion;
- Develop and distribute event surveys to selected attendees to gather feedback and satisfaction indicators;
- Analyse event outcomes, document lessons learned and develop best practice guidelines for future events.
MINIMUM REQUIREMENTS:
- A relevant 3-year Bachelor’s degree in Event Management, Public Relations, Marketing, Hospitality Management, or a related field or;
- 5 years with a Project Management Diploma and/or Protocol Certificate, with clear evidence of application in large-scale event coordination;
- Operational and strategic event planning, demonstrating responsibility for full project lifecycles from initial concept through to execution and evaluation;
- High-profile event coordination, including logistics, stakeholder management, executive protocol and brand-aligned delivery within complex environments;
- Application of protocol and ceremonial procedures, particularly in events involving executive leadership, government officials, or international delegates;

RESPONSIBILITIES:
The incumbent’s key responsibilities will:
- Provide general student support to postgraduate students, local and international;
- Provide support to the Deputy Dean: Research and Postgraduate Studies and the Deputy Dean: Teaching and Learning in all matters pertaining to teaching and postgraduate studies;
- Advise students on module choices, study paths and associated career options;
- Provide academic advising services to postgraduate students in the Faculty through possible communication mediums such as telephone, online platforms or chat applications;

KEY RESPONSIBILITIES:
The incumbent will be responsible for the following, but not limited to:
- Ensure all relevant benefit codes are activated on permanent appointments;
- Ensure that back pay is correctly calculated, including related deductions where applicable;
- Review and sign off on payslips after input by the relevant payroll officers;
- Process and review payroll reports for terminations, secondary appointments and leave credits;
- Review the reports on medical aid, duplicate primary job rows, and multiple active tax records, then run the exception reports to find discrepancies between member and employee records for active tax records and UIF status — investigating and correcting any exceptions found;
- Set up monthly cut-off calendar dates on the Human Capital System;
- Update the Payroll System with new month's payroll run;
- Monitor and run daily payroll executions to ensure completeness of payroll expense;
- Liaise and ensure that submitted files are approved for the payroll month and signed off by the relevant personnel;
- Run and review the daily comparison between the Human Capital System and Psiber Payroll, investigate variances, and resolve or escalate discrepancies timeously;
- Review exception reports for monthly tax, unemployment insurance fund and skills development levies and resolve differences;
- Review any errors from the Labour department;
- Reconcile interim cash focus payments to actual monies paid to employees, and compile a monthly reconciliation of all interim payments;
- Supervise and manage the day-to-day work allocation of Payroll Officer, ensuring adherence to payroll deadlines, internal controls, and compliance with the relevant legislation regarding income tax, unemployment insurance fund and skills development levies;
- Manage leave for reporting staff, including planning and approving leave applications to ensure adequate team coverage throughout the payroll cycle;
- Manage the performance development of reporting staff, including setting objectives, conducting performance reviews, and identifying training and development needs;
- Adhere and comply with internal control measures and audit procedures;
- Test processes and controls on relevant programs created for payroll exception reports;
- Conduct a review of all third-party recons and to ensure that payments balance to the system deduction totals. Ensure that member contributions and employer contributions compare to total deductions, taking cognisance of required adjustments on the recons;
- Balance the monthly salary control accounts to relevant recons and deductions totals;
- Verify daily that all postdoctoral (Post Doc) payments are correctly processed.

Bioinformatics High Performance Computing Support:
- At all times, the highest priority is on ensuring optimal uptime and continuity for all research and student programs. Downtimes are devastating for both academic and research timelines and budgets, and should be avoided at all cost.
Operating system installation and maintenance:
- Install, configure, and maintain operating systems (e.g., Linux) on the Bioinformatics HPC cluster nodes;
- Apply patches, updates, and security fixes to ensure the stability and security of the system;
- Troubleshoot and resolve operating system-related issues;
Cluster management, system installation and maintenance:
- Deploy, configure, and manage cluster management software (e.g., Slurm, Torque) to allocate computing resources efficiently;
- Monitor system performance and optimise cluster utilisation;
- Implement and maintain job scheduling policies to meet the diverse needs of researchers;
Cluster internal network management:
- Configure and manage internal network infrastructure for optimal performance and reliability including a high-performance InfiniBand network;

Bioinformatics Other Support:
- Monitor and maintain reporting and monitoring system for all serves and desktop machines;
- Monitor and maintain backup power systems and liaise with backup power team at facilities management;

KEY RESPONSIBILITIES:
