    SA & SSA Private Debtors Controller - 12 Months FTC

    Job Purpose 

    • Interact with Debtors and all related internal functions, to ensure collection of funds, resolution of customer queries and streamlining of processes.
    • Set collection targets, track and report ageing status, collections vs targets and DSO actual vs target.
    • Ensure all targets and deadlines are met. Perform monthly on-site visits at all major Debtors, to resolve queries and ensure that payments are received, as per agreed trading terms.

    Accountabilities

    • Visit all major Private Debtors on a rotational basis to build strong customer relations, to ensure collection of funds, resolution of customer queries and streamlining of processes.
    • Review and resolve queries with Private Debtors, in conjunction with Commercial KAM’s, Customer Care and FSS
    • Create SOP’s for each major wholesaler, clearly outlining the agreed credit terms, fee structures, price claims, short/over deliveries, returns, SPOC’s and POD processes to be followed.
    • De-bottleneck any recurring customer non-payment/credit issues, implement solutions and track progress
    • Agree and implement SLA’s for resolution of any account issues
    • Able to reconcile between customer accounts on Cipla’s SAP system to the relevant Private Debtors systems, categorising outstanding issues and provide supporting documentation for all items queried.
    • Timeous collections of all Private outstanding balances.
    • Obtain customer remittances, to ensure that daily receipts can be correctly allocated to relevant invoices.
    • Motivate and obtain management approval for adjustments/credits to be issued on Private accounts, as defined by Cipla’s DOA
    • Motivate and obtain DOA approval for extended terms or over credit limit supply
    • Review outstanding queries and monthly Age Analysis, present monthly to management, agree actions to be taken and ensure agreed actions are implemented and tracked.
    • Issue payment requests, overdue notifications and Letters of Demand
    • Ensure trade terms are accurately captured in each customer’s commercial agreement and applied correctly by Customer Care and FSS
    • If Customer is overdue or over credit limit, engage with customer to bring the account back within limit/terms
    • Follow up on all items > 90 days, agreeing actions and resolution targets with State depots
    • Visit all State depots quarterly to resolve > 90 day balances
    • Reporting: Ageing status, collections and DSO vs target, detail and actions for all >180 days items
    • Engage with Accounts Receivable Insurer, to ensure that adequate cover is in place
    • Check accuracy of Insurance billing to sales declarations
    • Manage customer qualification process
    • Reduce 180 days overdue amounts to less than 1% of total Drs book

    Maintenance Manager

    hatJob Purpose 

    • Responsible for ensuring that facilities, layout and machinery used to produce new and existing materials and goods run to their maximum efficiency and output. This includes total preventative maintenance, managing breakdowns of mechanical, electrical and instrument equipment. 

    Key Accountabilities 

    • Responsible for the following functions within the Engineering Department :- 
    • Equipment preventative and breakdown maintenance of the OSD facility. This includes the management of the preventative maintenance software programme. 
    • Managing and driving department excellence, e,g. Idea Log, process optimization and improvements, etc. 
    • Calibration related to the OSD facility. 
    • To ensure that engineering activities are carried out in a cGMP approved manner. 
    • Collaborates in the planning of new facilities and equipment or their replacement or sale. 
    • Recommends alteration, replacement, maintenance, construction, expansion, rehabilitation, disposal, inventory of engineering spares and execute construction required by such facility programmes. 
    • Prepare work authorization. 
    • SOP preparation, revision and ensuring ongoing training to personnel. 
    • Identification and evaluation of training needs for all departmental persons. 
    • Preparation and approval of change control, CAPA, deviation and risk assessment documents. 
    • Design tools, equipment, building, machinery and safety and protective devices. 
    • Any other assignment allocated by Associate Director - Engineering. 
    • Manpower requirements are identified for maximum productivity 
    • Budgets are prepared according to operational requirements 
    • Resource acquisition and other expenditure is planned as per budget 
    • Capital expenditure budgeting and execution
    • All queries are followed up and resolved in the shortest possible timeframe within policy framework 
    • A professional attitude is displayed when responding to a customers needs 
    • Methods for improving customer services are proposed, developed and continuously updated 
    • Internal and External customers are constantly updated as to the progress of their queries 
    • Familiar with recognized pharmaceutical systems supporting FDA/MHRA requirements such as DQ, IQ, OQ, PQ, Validation, Deviation Systems, Change Control and Quality improvement programmes 
    • Managing the maintenance of equipment, machinery, breakdown services, contractors and equipment 
    • To manage spares, equipment, installations, commissioning and disposal of all relevant assets according to company policy 
    • To manage and control all Engineering departmental deviations as agreed with the Head of Engineering 
    • Product knowledge is utilized to ensure information supplied to customers is up to date and accurate 
    • Programs are monitored to ensure target achievement 
    • Manage and control the planned preventative maintenance system 
    • Engineering issues are dealt with in line with customer service philosophy  
    • Engineering feedback is communicated to relevant departments 
    • Regular feedback sessions are held to ensure continual improvement  
    • Trend analysis and predictive maintenance programmes 
    • Review technical advancements 
    • Use of equipment and technology is maximised 
    • Equipment is maintained according to standard operating procedures  
    • Training is identified to accommodate innovation in technology, systems, capable of complying with inspection authority scrutinisation, ensuring change control and operator/user competency is current and reliable 
    • Upgrade, design parameters, philosophies, structural as required to enhance the functionality of equipment 
    • Hazardous situations are reported or resolved immediately 
    • Safety and health equipment is available and ready for use 
    • Perform monthly Health and Safety audits to ensure EHS Compliance to OSH Act 
    • Attend monthly safety meetings and take minutes recording all safety transgressions 
    • Incidents/accidents are prevented by effective operating of equipment and by following health and safety procedures 
    • Introduce Health and Safety procedures in accordance with current legislation 
    • GMR 2.1 appointment 
    • Learning achievements are acknowledged to improve staff performance and motivation 
    • Team effectiveness is facilitated and assessed against standards and contingencies applied when required 
    • On the job assessment and feedback occur timeously
    • Performance issues are accurately identified and action is instituted 
    • Potential conflict is resolved according to IR procedures 
    • Disciplinary action is taken according to the IR policy – in cases of extreme poor performances and inappropriate behaviour by staff
    • Staff performance is monitored against standards and regular feedback is provided 
    • Individual goals are developed and aligned to team goals and roles are clearly defined as per role profile 
    • Performance discussions are held regularly to identify learning requirements

    Educational qualifications:  

    • National Diploma/BSc/BTech in Mechanical/Electrical/Chemical Engineering 
    • A Government Certificate of Competency (Advantageous) 

    Relevant experience:  

    • 5 years’ experience in Factory maintenance (Pharmaceutical preferred) 
    • At least 3 years’ experience in a leadership role in the maintenance/technical field 
    • Knowledge of control systems and experience with PLC’s 
    • Planned maintenance experience 
    • Knowledge of the OHSAct

    Stores Controller

    Job Purpose 

    • Monitor and control the production demand for raw material, packing material and finished goods by aligning with the production plan and coordinating with purchase, production, etc. to support manufacturing effectively and ensure compliance to cGMP and safety.

    Key Accountabilities 

    • Manage the depot operations to ensure smooth functioning of stores:
    • Maintain the Stores in compliance with company’s policies and vision 
    • Oversee receiving, warehousing, distribution and maintenance operations 
    • Adhere to all warehousing, handling and shipping legislation requirements
    • Monitor activities related to inventory control in order to ensure smooth functioning of warehouse operations:
    • Review and maintain receipt, issuance, despatches and accounting of goods  
    • Review the accounting of all transaction related to goods in SYSPRO/SAP 
    • Ensure the goods are stored as per the storage conditions 
    • Controls inventory levels by conducting physical counts; reconciling with data storage system 
    • Manage the disposal of process waste on daily basis to clear the area and reduce space constraints and maintain hygiene of the area:
    • Manage the disposal of rejected and expired goods within timeframe 
    • Monitor the safe clearance of non-moving inventory 
    • Monitor all the waste / expired goods when gathered at one location
    • Ensure GDP and safety requirements are met by timely updating the team about revised guidelines to avoid any deviation within department while facing audits:
    • Maintains physical condition of warehouse by planning and implementing new design layouts; inspecting equipment; issuing work orders for repair and requisitions for replacement 
    • Ensure online entry, retention and destruction of records as per SOP 
    • Ensure safe working conditions for man and goods and adherence to Health, Safety and Environment policy of company by providing training 
    • Always operate equipment with extra caution/care (For example: Reach trucks, forklift truck or pallet jacks).
    • Monitor timely movement of goods from factory to distribution to meet OTIF requirements:
    • Keep abreast of all the collections, credit policies, Expiry & settlements 
    • Perform check on daily transactions of stock, outstanding transactions and delivery plans 

    Educational qualifications:  

    • Matric/Grade 12, Forklift/Reach Truck Drivers License and Stock and Stores related Diploma

    Relevant experience:  

    • 2-3 years’ experience in a stores/supply chain/logistics environment 
    • Training on current GMP 
    • Training on (SHE) Safety Health and Environment
