    Office and Finance Clerk (IT)

    Job Description

    • Senwes is seeking the services of an Office and Finance Clerk (IT) to provide administrative, IT financial support to ensure efficient office operations, accurate financial recordkeeping, and smooth delivery of IT-related services. This role acts as a link between IT, Finance, and Office Administration functions.

    Executive Assistance

    • Handle incoming and outgoing communications, including emails, calls, and letters, ensuring prompt and professional responses.
    • Maintain and organise files, reports, and documentation, ensuring accessibility and confidentiality as needed.
    • Arrange travel itineraries, accommodations, and logistics for the IT executive as required.
    • Monitor and restock office supplies, equipment, and manage procurement processes.
    • Provide support to the direct line manager or IT executive as required, including any ad hoc tasks or specific administrative needs.
    • Manage calendars and meeting rooms, schedule meetings, and coordinate appointments for the IT executive.
    • Prepare agendas, presentations, and required materials for meetings attended by the IT

    Financial support

    • Generate and process purchase orders accurately and timely, ensuring adherence to budgetary constraints and procurement policies.
    • Ensure correct and accurate capturing of financial data on the SAP system.
    • Manage incoming invoices, verify details, and coordinate with the finance department for timely payments to vendors and service providers.
    • Administer IT change notes, including documenting, updating and maintaining records of all approved changes in accordance with change management process.
    • Manage petty cash transactions in line with company policy, ensuring accurate recording and reconciliation.
    • Coordinate and process travel arrangements, including flight bookings, car rentals, and accommodation reservations, for IT staff and stakeholders in line with company policy.

    Administrative Support

    • Oversee and manage the vendor creation process within IT to ensure timeously setup of new vendors in compliance with company policies.
    • Administer the Seeclear platform, including configuration, user management, performance, and troubleshooting.
    • Provide administrative support to IT Technicians, including scheduling, task coordination, and documentation.
    • Create and manage IT work orders, ensuring proper tracking, follow-up, and closure.
    • Support ad-hoc IT tasks and projects as required by management, ensuring flexibility and
    • Maintain IT asset and inventory records. 

    Process Improvement and Compliance

    • Ensure adherence to company policies, procedures, and regulatory requirements in financial and administrative tasks
    • Maintain records and documentation for audits, compliance checks, and regulatory requirements.
    • Perform regular checks to ensure accuracy and quality in financial and administrative tasks.

    Communication and Coordination

    • Act as a point of contact between the IT department and other departments for administrative matters.
    • Disseminate relevant information and communications within the IT department, ensuring clarity and consistency.
    • Communicate with vendors and suppliers regarding orders, deliveries, and invoicing.
    • Arrange and coordinate departmental meetings, ensuring smooth communication and logistics.

    Job Requirements

    • Qualifications: 1-2 years of experience in financial administration, office management related role.
    • Requirements (South Africa): National Senior Certificate. Basic understanding of financial regulations and compliance standards. Proficiency in office software and accounting systems.

    Sales Representative (Agrinet) - Humansdorp

    • The Sales Representative is responsible for maximising the profitability of allocated accounts, by managing the relationship with the Customers and supporting them to exceed their sales targets of our full product range.

    Job Description

    • Agrinet, a wholesale supplier and distributor of a wide range of products that cater to the hardware retail, industrial and irrigation markets in Africa is looking for Sales Representative for the Eastern Cape (Gqeberha (PE) / Humansdorp) region. The Sales Representative is responsible for maximizing the profitability of allocated accounts, by managing the relationship with the Customers and supporting them to exceed their sales targets of our full product range.

     Responsible for achieving sales targets.

    Orders Received:

    • Ensure orders received as per budgeted month
    • Increase turnover of existing customers across the entire account base by upselling and cross selling.
    • Focus on “Sell through” rather than “Sell to”.
    • Identify opportunities to win business where Customers currently favour competitors’ products

    Growth on turnover:

    • Set overall revenue targets for each account:

    Increased product range at Customer:

    • Ensure relationship is strong enough for customers not shop elsewhere.

    Customer retention:

    • Inform customers of new products, promotional campaigns marketing programs and feedback to management. 

    Customer Service:

    • Always inform customer of any delays in supply chain.
    • Assist customers in tenders and quotes where necessary.

    • Assist with minor deliveries and collections where possible.

    Key Accounts Management

    Feedback from Customers:

    • Important that critical information be shared on Skynamo in order that management is aware of what is going on in the market.

    • Build trust and confidence with Customer through reliable and consistent service delivery and industry and product knowledge.

    Minimal comlaints:

    • Resolve complaints and queries effectively

    Tracking and monitoring:

    • Determine and manage the Customer’s expectations regarding stock and delivery.
    • Ensure you are aware of your customer is tracking by month, by quarter, by year as well as which product category they might need special attention on.

    Responsible for sales planning

    Ensure Embrace and Customer Base is updated at Least once a quarter:

    • Updating of customer base and action plans on battle board, with regards to focused and new customers are critical component to sales planning and success.

    Achievement of minimum set call rate:

    • Formulate and implement plans to increase turnover per existing customer
    • Ensure knowledge and understanding of customer’s business.
    • Determine who the key decision makers are and what their needs are.

    Responsible to gain product knowledge

    Product/Catalogue training to be conducted:

    • Develop and demonstrate specialist knowledge of Agrinet’s and competitor’s products.
    • Determine training needs and provide relevant training on product benefits.

    Job Requirements

    • Qualifications: National Senior Certificate or NTC3 (Candidates with a post matric qualification will receive preference).
    • Requirements:  At least 2 Year’s sales experience in the retail, agri or industrial spheres

    Junior Grain Grader

    Job Description

    • Senwes Grainlink is currently seeking a dynamic individual for the role of Junior Grain Grader.

    Responsibilities:

    • Assist with grain handling by grading different commodities.
    • Assists with the offloading, storage, receiving and dispatching of grain by adhering to instructions and following standard procedures.
    • Ensures that silo, store areas and general premises are clean through observations and inspections, and by adhering to instructions.
    • Ensures that machinery, product handling equipment and gutters are in working condition.
    • Make sure that the control board is operated correctly and effectively.
    • Assists with general office administration.
    • Ensures that the workplace complies with health and safety regulations.
