    ICT Coordinator (Asset Control) - Parktown

    Overview

    • Managing of all ICT Storerooms
    • Reception (New Hardware)
    • Dispatch (Ready for Collection / Repairs)
    • Long Term Storage
    • Process requests for loan assets & or spare assets.
    • Log calls for loan devices (Laptops, Desktops, Tablets e.g.)
    • Capturing of assets and uploading of all ICT Hardware Documentation on Asset Management System.
    • Verification of all collections returns and configurations. (ACF’S & ARF’S & Configuration Forms)
    • Stock Take of all assets.
    • Notifying staff on ICT Hardware that is ready for collection.
    • Reporting (Asset Management System) – when needed.
    • Vendor Verification of paperwork against hardware received.
    • Hardware Lifecycle Management (See Daily Duties)

    Daily Duties

    Deliveries

    • Tagging assets once delivered
    • Marking/Labelling all assets delivered
    • Putting assets on the relevant shelves
    • Marking Invoices (Name of order & asset tag)
    • Capturing assets on Asset Management System
    • Scanning invoices to ICT Asset control
    • Updating Invoice Report/Spreadsheet (for Weekly ICT Asset Control Meeting)
    • Filing invoices.

    Set Ups (Technicians)

    • Technicians to request hardware for set up
    • Assets to be retrieved from storeroom and an Asset Configuration Form needs to be done with the relevant details
    • Assets given to technicians with the relevant paperwork
    • Once the technicians are done, the assets needs to be put in the storerooms on the relevant shelve (e.g. Ready for Collection)
    • Configuration form to be completed and send to ICT Asset Control to verify.
    • Update Asset Management System
    • Print verified form and attach to original form & file

    Collections

    • Getting assets ready for collection
    • Complete an Asset Collection Form (ACF) – user to sign the ACF before receiving asset
    • Send ACF to ICT Assest control for verification (with copy of the users ID/License)
    • Update Asset Management System
    • Print verified form and attach to original form & file
    • Updating Asset Collection Report/Spreadsheet (for Weekly ICT Asset Control Meeting)

    Returns

    • If user returns an asset, an Asset Return Form is completed for the user to sign
    • Mark/Label the returned asset and put on relevant shelve
    • Send ARF to ICT Asset control to verify (with copy of ID)
    • Update Asset Management System
    • Print verified form and attach to original form & file
    • Updating Asset Return Report/Spreadsheet (for Weekly ICT Asset Control Meeting)

    Requirements

    Education

    • Grade 12 or equivalent
    • SharePoint Fundamentals

    Advantageous

    • Office Administration Certificate
    • Business Administration Certificate
    • SharePoint foundation certification

    Experience

    • At least 3 years’ experience in a senior Coordinator/Asset Control officer position
    • Understanding of Donor Funded environments

    Requirements

    • Own Car
    • Valid Drivers Licence
    • Basic Computer skills
    • Basic Microsoft Office (Level 1-2)
    • PowerPoint presentation skills
    • SA Citizen or valid work permit to work in South Africa
    • Minimal/Moderate/Excessive overnight travel (up to 30%) by land or air if required
    • Willing to work overtime

    Advantageous

    • Intermediate computer skills
    • Intermediate Microsoft Office (Level 2-3)

    • The ICT Coordinator is responsible to ensure that the procurement of ICT-related Goods and Services complies with the Company’s Procurement Policy.
    • Effective procurement of all ICT-Related Items for the Company within the required timeframe, best price possible and quality. To manage and coordinate all administrative functions and related activities within the ICT Department.
