    Alternative Income Assistant

    Main duties and responsibilities:

    • Increase revenue, drive new initiatives across retail sector, key functions:

    Kiosks:

    • Lease management (manage entire lease journey from lead to exit)
    • Generate and manage lease expiry schedule
    • Manage all arrears
    • Generate new leads

    Promo Courts:

    • Manage all partner SLA’s / agreements
    • Ensure no arrears occur
    • Ensure all partner reports are submitted on time
    • Generate new leads

    Film shoots:

    • Manage all relationships with film/production houses
    • Generate new leads
    • Ensure that the shoot runs efficiently

    Media (In-Mall and Exterior Media) :

    • Manage all partners to increase income & sales
    • Ensure all partner reports are submitted on time
    • Generate new opportunities for additional inventories

    Other Income streams:

    • Generate new ideas for generating income
    • Seek innovative ideas in order to generate new income streams across all sectors

    Other primary responsibilities include:

    • Ensure all check lists are submitted timeously
    • Monthly reporting
    • Capex motivations
    • SLA’s and partner contract management
    • Maintain and update yield schedules
    • Council applications
    • Effective strategy to store important documents securely ,including filing systems and routine updates for easy access and peace of mind,

    Qualification and Experience

    • Degree / diploma
    • 1-2 years of Alternative Income experience

    Facilities Admin/Receptionist - Centurion

    Key Performance Areas (KPA’s)  

    Responsible for establishing and maintaining effective communication, coordination and working relationships with company personnel, management, and service providers by:

    • Assisting company personnel and service providers as needed.
    • Keeping management informed of area activities, any significant problems, and cleaning concern.  
    • Responsible for maintaining courteous, professional relations with clients and the public.
    • Responsible for related duties as required or assigned o Request quotes for jobs assigned by Property/Facilities manager.
    • Issue orders by means of IT systems when required.  
    • Call out contractors as and when required. 
    • Collecting outstanding invoices from suppliers. 
    • Monitoring progress on all open/uncompleted jobs.
    • Keeping OHS files updated for Property/Facilities manager.
    • Answering of the switchboard.
    • Diverting calls to the correct person .
    • Taking messages and ensuring that the message is delivered timeously to the correct person. 
    • Attending to clients and ensuring that the person being visited is informed. 
    • Schedule board room bookings.
    • Arranging deliveries and collections of documents.
    • Arranging couriers services.
    • Filing.
    • Sorting post. 
    • E-mails and faxes are routed to the correct department. 
    • Distributing of memos and correspondence. 
    • Assisting with typing when necessary. 
    • Assist Property manager with collecting turnovers, credit control and any other tenant related issues. 
    • Keeping office neat and ordering of stationary supplies. 

    Experience and Qualifications  

    • Grade 12 (essential) 
    • Administrative or technical diploma/certificate will be an advantage 
    • 2 years general administrative experience 
    • 1 year systems experience 
    • Technical property related experience will be an advantage 
    • Customer and supplier liaison experience will be an advantage 
    • Previous experience and / or knowledge of the property industry will be an advantage

    Facilities Administrator

    Key Performance Areas (KPA’s)

    • Consolidate and prepare comprehensive management and operational reports.
    • To provide general administrative support and document management to the operations department
    • Manage, control, log and streamline all maintenance calls and follow it through to completion
    • To assist in obtaining of quotes and issuing orders to service providers.
    • Act as a customer and supplier liaison interface.
    • Resolves or appropriately refers questions, requests, complaints and problems.
    • Performs ad hoc tasks as requested.
    • Create Orders, process invoices, follow up on outstanding invoices, contractual payments, monitor jobs etc.

    Job Experience:

    • 2 years general administrative experience (essential)
    • 1 year company systems experience (desirable)
    • Technical property related experience (desirable)
    • Customer and supplier liaison experience (desirable)

     Education:

    • Grade 12 (essential)
    • Administrative or technical diploma/certificate (desirable)

    Facilities Manager

    Main duties and responsibilities:

    • Manpower allocation, assessment and performance management.
    • Supervises and coordinates all maintenance service and repairs pertaining to building and related equipment.
    • Takes charge of all emergencies and ensures responsible back-up is available in order to take corrective action as necessary.
    • Implements all maintenance and general procurement of materials and parts, schedules installations and oversees that such repairs are accomplished in a safe and timely manner.
    • Formulates and implements preventative maintenance programs for utility systems, equipment and building maintenance.
    • Conducts in-service training and implements safety regulations and programs.
    • Maintains accurate records with regard to annual inspection of equipment and general preventative maintenance including rotational work assignment and over-time allowances and staff related matters.
    • Is responsible for the management of and reporting on the project’s budget.
    • To undertake any other duties as may be required by the level of the post, and as required by the National Facilities Manager.
    • The post holder will ensure compliance with all health and safety requirements.

    Relevant Experience

    • Minimum of 5 years’ experience in FM on Senior Management level.
    • Thorough understanding of maintenance planning and scheduling
    • Experience in stock control management

    Lease Administrator: Commerical

    Key Performance Areas (KPA’s)

    • To maintain, keep track of and manage the process flow of any original documentation as well as maintain awareness of the lease status of all leases within area of responsibility and drive the process to finalisation
    • To ensure that due process is followed in the most expedient manner with regard to the processes preceding the conclusion of new agreements of lease and renewals in particular (but without exclusion) credit worthiness checks and obtaining FICA and other relevant documentation.
    • To effectively administer all lease processes so that such processes are followed and adhered to.
    • To provide comprehensive operational and management reports, supported with hands-on knowledge on the status of vacancies and leasing activity within the area of responsibility.
    • To provide assistance so that each agreement of lease is accurately and comprehensively captured onto the property management system so that the utility of the database is maximized and the maximum value of costs can be recouped from tenants.
    • Assist in the negotiation and conclusion of lease agreements.
    • To provide general administrative support and document management to the leasing and administrative department
    • To assist with market research pertaining to node specific property information

    Job Experience:

    • 3 years’ work experience (essential)
    • 2 years’ experience in property sector (desirable)
    • 2 years general administration experience (desirable)
    • 2 years’ experience as lease or property administrator (desirable)
    • Experience in leasing negotiations (desirable)

    Education:

    • Grade 12 (essential)
    • Certificate in Lease administration or similar (desirable)
    • Certificate in administration or similar (desirable)
