    Facilities Admin Manager

    Job description

    POSITION SUMMARY

    Oversee the safe, secure, environmentally-sound operations and maintenance of the Huawei Facilities in a cost effective manner. Support and effectively manage Huawei operations related to Facilities Management Services.

    REQUIREMENTS:

    • Support the IFM Manager with Facilities tasks at assigned Huawei Office
    • Manage, mentor all facilities and contract staff.
    • Conduct and minute monthly, weekly meetings with contractors.
    • Manage outsourced FM services.
    • Direct and plan essential services such as reception, security, dispatch, maintenance, post, storage, cleaning, catering, waste disposal, recycling and any other facilities services.
    • Ensure that all facilities tasks are kept to a minimum.
    • Assist the IFM Manager with co-ordinating work, contractors and supervising projects
    • Work closely with the IFM Manager with implementation of all projects.
    • Check that agreed work by contractors has been completed, ensuring completeness.
    • Ensure quality on all PO, PR, SPR processes.
    • Work closely with Procurement, EHS departments.
    • Stock Management and stock control ie stationery, consumables etc
    • Metro file of documentation and storage management
    • Manage courier services with relevant supplier ie TNT, DHL other
    • Ensure process are followed and adhered to.
    • Assist the IFM Manager with implementation of processes and process improvements.
    • Ensure office is maintained to a high standard.
    • Manage costs and stock management.
    • Ensure office security is at the highest level at all times.
    • Control and maintain all Huawei movable assets.
    • Ensure Huawei office is clean, tidy and enforce standardisation.
    • Ensure that all offices meet the Health & Safety standards.
    • Ensure DRP is managed, implemented, and tested to ensure down time and loss of productivity is kept to a minimum.
    • Calculate and compare costs for required goods or services to achieve maximum value while adhering to BBBEE requirements.
    • Manage and lead changes to ensure minimum disruption to core activities.
    • Liaising with Landlords and Building Managers.
    • Plan best allocation and utilisation of space and resources for re-organising current premises.
    • Use KPI’s to monitor and manage achievement of SLA’s and to assist on improvements.
    • Respond appropriately to emergencies or urgent issues as they arise.

    Qualifications and Experience

    • Matric and relevant Tertiary Education
    • Strong interpersonal skills - Ability to professionally interface with staff, Senior Managers, Direct Reports, and Vendors.
    • Strong computer skills in Microsoft Word, Microsoft Outlook, Excel, and PowerPoint.
    • Minimum of 5 years Facilities management experience.
    • Understanding of office management, H&S, building construction and associated trades.
    • Leadership, interpersonal, analytical, and project management skills are required.
    • Ability to influence people and make decisions.
    • Understand budgets – CAPEX & OPEX.
    • Ability to manage and direct employees, reports, and vendors under pressure and during periods of crisis.

    Working Hours

    Monday – Friday 08:00 – 17:00.

    Overtime is required and travelling may be required.
