    Assistant Event Manager

    Job description

    The Aleit Group, renowned for its spectacular, high-end events, has been appointed by the Zeitz Museum of Contemporary Art Africa (Zeitz MOCAA) as the exclusive restaurant and event operator throughout the museum. This includes the management of the restaurant and venue on level six, as well as all events hosted within the museum. The Aleit Group is looking for a strong Food and Beverage Manager to be part of their opening team at Zeitz MOCAA. The ideal candidate must have a solid background in the food and beverage industries with upmarket, large scale restaurants and/or five-star hotels.

    The basic function of this position requires the employee to work closely with other project managers and assist project managers with the following: generate business, sign new clients, conceptualize, coordinate, execute events, generate a profit for the company and meet client expectations with the highest possible quality offering at the lowest possible cost to the group.

    Primary objective

    • The position requires that the employee is sales and marketing driven. New business generated for the company must be one of their key performance areas.
    • Project Management form part across all entities and the candidate must be willing and able to perform these duties set out by the Company. Working in other departments of the company is required.
    • Management will set out business targets with specific goals for the candidate to achieve.
    • As the project manager, your job is to plan, budget, coordinate, oversee and document all
    • aspects of the specific project you are working on.
    • Reporting relationships - Reports to Event Manager.

    • Needs to be honest and trustworthy.

    • The person must be able to communicate effectively with all stakeholders and overcome challenges.

    • The candidate must be self-motivated.
    • Have a high level of self-awareness and have good social skills.
    • Need to show accountability and be productive.
    • Needs to be well groomed at all times.

    Key performance indicators

    • Generating new business from client leads.
    • Following up with potential new clients.
    • Must be innovative and generate new ideas.
    • Coordinate details of events such as weddings, events, birthdays, conferences, on the day
    • events and all other related events.
    • Liaising with clients to ascertain their precise event requirements.
    • Formulate budgets.
    • Create invoices and receipts as requested; track expenses for event budget reconciliation.
    • Formulate detailed Concept Proposals.
    • Conceptualising look and feel of events and keeping up to date on the latest trends.
    • Site inspections to various venues - Visit venue to plan layout of seating and decor.
    • Negotiate and secure event space.
    • Calculate and manage budgets and ensure they are adhered to.
    • Book and communicate with all Service providers and contractors.
    • Negotiating deals with service providers in order to ensure best possible rates.
    • Manage RSVP list and registration.
    • Book transportation and accommodation if needed.
    • Source, book, coordinate and/or collect all hiring, décor and bought items.
    • Gift recommendations, buying and packing of gifts.
    • Work with printers and stationery designer to develop event stationery.
    • Select chefs or catering companies to prepare food for event.
    • Sample food and select dishes for menus.
    • Manage all correspondence.
    • Conceptualising look and feel of events and keeping up to date on the latest trends.
    • Administrative tasks including all communications with clients, staff and suppliers, concept
    • proposals, budgets/expenses/invoices etc, final programmes, project plans, floor plans, hiring lists and all other administrative tasks involved.
    • Ensuring insurance, legal, health and safety obligations are adhered to.
    • Organising facilities for car parking, traffic control, security, first aid, hospitality and the Media.
    • Identifying and securing speakers or special guests.
    • Coordinating staffing requirements and staff briefings.
    • Set-up and execution of actual events.
    • Designing sets for customised events.
    • Handling client queries and troubleshooting on the day of the event.
    • Coordinate and monitor event timelines and ensure deadlines are met.
    • Overseeing the dismantling and removal of the event and clearing the venue efficiently.
    • Conducting Post-event evaluation.
    • Creating text and content from previous events for marketing material for Social media and all other media related platforms.

    The above mentioned is however only a general description of what exactly the position entails. The ideal candidate would have to be flexible in the sense that he/she has to perform a variety of duties, as they are required. You will be expected to fulfill any other duties deemed appropriate for this post as directed by your superior or The Board of Directors over and above which is contained in this document. Also, please take into account the nature of our industry, which works irregular hours.
