    Administrative Assistant

    Job description

    DATE: 2017.07.21

    REPORTS TO: National Sales Manager

    JOB OBJECTIVE:

    The Administrator role will be responsible for processing all orders received for the relevant channel they are assigned to.

    The administrator will be responsible for assisting the Key Accounts Manager and Sales reps with any queries with regards to day to day admin duties.

    Attending to all admin related queries and tasks in the office as well as supplying admin support to the relevant KAM assisting in daily office needs and managing the companies administrative activities.

    A Variety of clerical tasks will be included in the Job Description.

    KEY PERFORMANCE INDICATORS:

    SOCIAL MEDIA:

    • Develop and maintain a filing system.
    • Assist with orders for customers on a daily basis.
    • Ensure that all emails and queries from customers and management are answered within 12 working hours.
    • To assist with research and development as the occasion arises.
    • Update and maintain office policies and procedures.
    • Order office supplies and research new deals and suppliers.
    • Maintain contact lists.
    • Book Travel arrangements.
    • Act as the point of contact for internal and external clients.
    • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
    • Ensure all complaints from customers are seen to and escalated to the relevant department's manager.
    • Follow up on outstanding sales orders on a daily basis.
    • Assist sales reps with all DSV queries received by assigning them to the sales support manager and following up accordingly.
    • To process all the credits and returns on a daily basis.
    • Assist with daily reports.
    • Daily assistance with regards to booking meeting and managing the relevant KAM's diary.
    • Amendment of call cycle on Mobi App.
    • Compiling and assisting with sales reports from retailers and listing of new SKU's.

    QUALIFICATION & EXPERIENCE:

    • Matric and Tertiary degree in Business Administraion, Sales or a relevant field.
    • Min of 1 years experience in a similar role.
    • Deadline Driven.
    • Email Etiquette.
    • Analytical and proactive approach to tasks.
    • Strong communication and interpersonal skills with aptitude in building relationships with professionals on all organisational levels.
    • Knowledge of Office management systems and procedures.
    • Excellent time management skills and the ability to prioritise work.
    • Attention to details and problem-solving skills
    • Microsoft Office skills - Excel, Word, Powerpoint as well as Outlook.
    • An Outstanding Attitude.
