    Administrative Assistant

    Main Purpose of Role:

    • Routing of collections and monitoring the collections process
    • This role includes the active monitoring, investigations of anomalies and adherence to delivery SLA’s, KPI’s and other operational metrics pertaining to our Radio Room and Scanner Room

    Additional Computer Skills:

    • Knowledge of E2Open
    • A good grasp of Microsoft Suite Programmes
    • Intermediate: MS Word,Excel,PowerPoint & Outlook
    • Knowledge of E2Open (Blujay) will be advantageous

    Other Minimum Requirements:

    • Ability to work overtime
    • Ability to work shifts
    • Availability on weekends or early mornings to train drivers
    • Email Etiquette
    • Telephone Etiquette
    • Ability to deal with internal and external clients
    • Minimum 1 year experience in an administrative role in operations

    Job Related Requirements:

    • Own reliable transport to and from work
    • Must be able to work overtime, shifts, weekends, as and when required
    • Must be able to attend training on weekends(Saturdays & Sundays)
    • Be able to work under pressure and solve problems
    • The ability to liaise with clients
    • Disposition to be accurate and pay attention to detail
    • Work in a diverse team

    Electives:

    • Previous experience in the courier industry would be advantageous
    • Ability to problem solve quickly, effectively but smart
    • Ability to work within a team environment
    • Strong communication skills are essential
    • Attention to detail

    Duties & Responsibilities:

    • Perform general administrative duties related to your department
    • Ensure the process flow is followed through within the operation
    • Ensure that all quarterly audit points are adhered to, relevant to your department
    • Allocating collections to respective routes
    • Active monitoring of the Plan Board on Blujay
    • Daily reports on missed collections
    • Ensure collection and communication of daily collections
    • Management and execution of all queries related to your department
    • All incidents, feedback, and resolutions to be logged on E2Open
    • Management and execution of adhoc collections
    • Ensure all handovers are actioned daily
    • Liaise with both internal and external clients daily
    • Communication with sites and clients to take place on agreed timelines
    • Ensure collections are routed to the correct devices/routes
    • Daily reporting on collection standards on routes
    • Pro-active approach with regards to feedback and queries within the department is essential
    • Managing the manual collection process when the system is down
    • Daily assistance in Scanner Room & Debriefing when required
    • Assist in operations when required
    • Managing the daily equipment control process
    • Update Scanner Registers
    • Update Equipment List
    • Assist in training staff on relevant SOP’s pertaining to Blujay

    Additional Job Information:

    • Current experience in the courier industry
    • Self-motivated & assertive
    • Excellent communication skills
    • Ability to analyze data and statistics
    • Must be deadline driven to ensure targets are met
    • Open minded
    • Good geographical knowledge of Cape Town and its surrounding areas
    • Ability to multi-task
    • Ability to communicate with clients and staff on all levels

    Good problem-solving ability is essential
