    Administrative Assistant

    Principle Accountabilities Include

    • Administrative support to the Chief Digital Officer (CDO)
    • Devises and maintains office systems, including, contract management and filing
    • Follow up on action points from management and other meetings
    • Deals with incoming email, appointments and correspondence, handling basic requests and correspondence on behalf of the manager
    • Facilitate preparation of agendas for team meetings
    • Support the manager with strategy related activities
    • Run the travel schedule and whereabouts in order to provide input to diary management and planning as well as informed feedback to meeting requests
    • Administrative support to the Digital Management team, including:
    • Manage and arrange local and foreign travel, visas, accommodation and car rental
    • Meets and greets visitors at all levels of seniority
    • Ensures effective diary management for management team
    • Arrangement of training events; registration of attendance of seminars and management of information to HR on training
    • Stationery management
    • Arrange for facilities related support to the management team
    • Takes care of accounts, expense claims, cell phone accounts and credit card admin
    • Drafts minutes of meetings as and when required and follow-up on actions
    • Ensure appropriate video conference or other collaboration facilities are arranged
    • Assist with team communication and strategy initiatives
    • Responsible for maintaining the Santam Intranet (SharePoint) site details for Digital with updated documents, policies, communication and team detail
    • Follow-up on actions required for the BITS strategy and takes responsibility for execution of specific components of it
    • Distribution of all team communication
    • Arrangement of team engagement and induction sessions and functions
    • Maintain team contact and birthday lists
    • Support in development and design of team communication
    • General Administration
    • Maintain access to specific systems on instruction from authorized individuals
    • Support with new staff appointments
    • Support with onboarding of contractors in the Digital team, including arrangement for offices requirements
    • Manage all onboarding (contractors and permanent) timeously.
    • Ensure that office area of the team is in order/ neat; ensuring that maintenance is arranged
    • Establish and maintain good working and support arrangements with the other assistants in the rest of the department
    • Actively participate and if required take the lead with social and team building initiatives

    What will make you successful in this role?

    Qualifications

    • Relevant tertiary qualification

    Knowledge

    • Administrative support capabilities
    • Basic financial knowledge, specifically managing line items of a budget, e.g. travel, computer and office cost, etc.
    • Basic project and/or process management skills
    • Knowledge of the insurance or financial services industry would be an advantage

     Experience

    • At least five years’ experience as a Personal Assistant in a team environment and/ or responsible for supporting several senior managers
    • Experience in engagement with key business and external partners across all levels (including senior levels) on behalf of the line manager and area

    Qualification and Experience

    • Grade 12 with 1 to 2 years related experience.

    Knowledge and Skills

    • Processing transactions and conduct simple calculations (where applicable)
    • Record keeping, filing and maintenance of databases
    • Maintain work standards and quality verification
    • Collating information for reporting
    • Transfer of knowledge on leading practice and processes
