Administrative Assistant to Financial Adviser | Cape Town
Are you a meticulous, self-motivated administrative professional with deep roots in the financial planning industry? Our client is looking for an experienced Administrative Assistant to support their team of financial advisers and deliver world-class service to a dedicated portfolio of clients.
Key Responsibilities:
Client Portfolio & Liaison: Take full ownership of a set client portfolio, acting as the primary support contact and managing advisers' diaries.
Business Processing: Handle end-to-end processing of new business, investments, risk products, medical aids, and client requests.
Client Reviews & Renewals: Coordinate and process fee renewals, annual client reviews, and income revisions.
Estates & Trusts Support: Assist with deceased estate administration and trust administration (drawing up resolutions, taking minutes, filing).
CRM & Data Discipline: Maintain meticulous, up-to-date client records in the CRM to ensure seamless team collaboration.
Compliance & Cyber Security: Adhere strictly to industry legislation (FICA, FAIS, POPIA, TCF) and enforce clean-desk, data privacy, and secure payment practices.
Requirements:
Language: Fluent Afrikaans (read, write, speak) is mandatory, along with professional proficiency in English.
Experience: 5+ years of administrative experience within the South African financial services/insurance / investment industry.
CRM Systems: Extensive experience with at least one of the following: @Work, Workpool, Elite Wealth, or XPlan.
Investment Platforms: Deep experience with at least two of the following: NinetyOne, Allan Gray, or Glacier.
Life Insurance Platforms: Deep experience with at least two of the following: Discovery, Momentum, or Sanlam.
Education: Matric (Grade 12) required. (Industry qualifications like a Certificate in Financial Planning or passed RE exams are a major advantage).
Tech-Savvy: Proficient in MS Office (Outlook, Excel, Word) and comfortable using modern productivity tools (e.g., MS 365 Copilot/AI).
Personal Attributes: Strong self-management, results-driven, detail-oriented, and client-centric.
Logistics: Valid driver’s license and own reliable transport.
