    Customer Support Agent (Property Administration)

    Job Description
    1.  To ensure that all tenant documentation regarding the leasing of a student room is in order and is filed correctly. This includes:

    • Lease Agreement;
    • Tenant information and documents;
    • Consent Forms;
    • Proof of payment of deposits and rent;
    • Any correspondence with the tenant from time to time;
    • Pre-and-Post room inspections;
    • Deposit refund form and account reconciliation;
    • Acceptance of keys;
    • Checking tenant files for document compliance.

    2.  To assist and answer queries relating to the following to ensure optimal customer service:

    • Rent;
    • Outstanding monies;
    • Wi-Fi;
    • Electricity;
    • Laundry;
    • Sleepovers;
    • Maintenance;
    • Student Life;
    • Deposit Refunds;
    • Leasing Enquiries And any other tenant matters that may arise from time to time.

    3.  To manage the sales of laundry tokens and sleepovers.

    4.  To take full responsibility of all card sales, including the recon of the card sales schedule.

    5.  To assist to update the Client Relationship Management System, by:

    • Updating all communication with tenants on the CRM system;
    • Responding to all prospective tenant enquiries;
    • Tracking progress of leads and job cards as well as any other process that may be added from time to time into the CRM system;
    • Ensure quick turn-around times on all e-mail queries and enquiries;
    • Do tenant follow-up calls (customer satisfaction calls) after issues have been resolved;
    • To capture all maintenance related and property inspections on the CRM system.
    • Assist with annual the in-take and vacate processes as stated in process and procedure manual.

    6.  To issue Vacate Notes to tenants when they wish to exit the building with bags, ensuring that the rent is up to date;

    7.  It is a term of this contract that each and every student, parent, bursar and supplier is treated with utmost respect. Disrespect and rudeness will not be tolerated and will be
    considered a dismissible offence.

    Qualifications

    • Matric 
    • 2-3 years administration experience in a Property management company
