The role of an Executive Assistant is to effectively and efficiently manage the administrative tasks of the Executives they report to, they role is to alleviate the administrative burden on Executives so they can contribute more meaningfully to the strategic and tactical deliverables that they face on a daily basis.
RESPONSIBILITIES
Delivery of administrative tasks on behalf of the Executive including typing; minute taking; printing and filing.
Ensure effective and efficient diary management and scheduling for the Executive (both internal & external)
Ensure effective and efficient travel management for the executive in line with the organisations travel policy and practices.
Management and production of the relevant expense reports as requested by the Executives.
Processing of expenses and other administrative tasks associated with the financial processes and practices of the organisation (e.g. stationery; expenses; purchase orders and record keeping).
Coordination, administration and management of professional firms accounts, billings and payments.
Presentation deck preparation based on the instructions of the Executive.
Screening of calls and if requested email on behalf of the Executive.
Co-ordination of meeting packs and catering for meetings and workshops.
Facilitate the execution of group or team requests as requested by the Executive.
Maintenance of efficient and effective record keeping
Delivery of any other administrative and secretarial tasks requested by the Executives
Executive Assistants with report to multiple Executives (F-Band level at a ratio of 3:1)
QUALIFICATIONS
NQF Level 4, preferably with secretarial certification
Advanced level proficiency in MS Office Suite
Speed typing at a minimum of 75 words a minute
Excellent grammatical and editing capability
Experience
Prior secretarial experience (8 – 10 Years)
Legal secretarial background preferred
Skilled at managing competing priorities under pressure.
Skilled at developing and managing multiple stakeholders and their demands.
