    Facilities Manager FF

    Role Summary:

    The Facilities Manager (FM) functions as the professional who assists the Account Director/ SFM in ensuring JLL IFM contract delivery. The FM is responsible for assisting in all aspects of client and occupier satisfaction, contact delivery, management of all hard and soft services, financial and supplier management and leading the JLL team where applicable. 

    What the job involves:

    • Client facing role and responsible for overseeing a transition project to assess the FM costs and operational effectiveness across a portfolio of sites
    • Effective management of budget to meet client objectives supporting the finance team
    • Work effectively as part of a project team transitioning financial processes. Work closely with the client project team to coordinate and escalate issues in a prompt manner.
    • Familiarity with working with multiple stakeholders and ability to develop relationship at FM and C-suite level having good interpersonal and communication skills
    • Understanding of contracts and procurement function to manage the output from the sourcing resource.
    • Ability to produce accurate SOW and other supporting information to enable benchmarking, RFP, RFI and other pricing exercises to be carried out accurately and on time.
    • Experienced with management of soft and hard services, as well as understanding the human experience journey.
    • Promotes high level of satisfaction among client users by promptly responding to their service requirements.
    • Produce and present a business case for operational transformation.
    • Accurate report writing and presentations in add language and English
    • Build FM network to drive best practice and consistency across the portfolio, assess current site teams and validate proposed restructure
    • Cross-train and leverage existing FM teams to provide coverage across all sites
    • Develop FM culture of financial transparency and budget management
    • Ensure financial processes are followed at all times
    • Carry out a monthly review of site budget with the JLL Line Manager and client Management Accountant team
    • Develops a close working relationship with Client Key Stakeholders, Landlord, Managing Agents and all of the FM vendors to ensure that they fully understand the Client culture and become partners in delivering a high-quality service.
    • Ensures compliance with JLL and client best practice, policies and procedures including statutory compliance, Quality and EHS compliance.
    • Maintains role as secondary contact for user relative to service requests ensuring all requests are actioned within agreed timeframes/KPI/SLA’s 
    • Monitor PPM schedules, O&M’s, warranties, Task System, Asset & Life Cycle Registers
    • Knowledgeable on Health & Safety matters.
    • Communicates in an open, honest, transparent manner at all times with the ability to tailor the message to specific audience and their needs
    • Adds value in terms of delivery, innovations & sustainability initiatives

    Key Skills

    • Proven track record in the management of outsourced or self-delivered integrated Hard and Soft FM services.
    • Proven ability to build and maintain strong client relationships
    • Strong people management skills and experience
    • Experience in financial management, performance management and budgeting while identifying cost savings/avoidance
    • Advanced Microsoft Office experience (Excel, Word, Outlook) required.
    • Excellent written and oral communication skills, including presentation and negotiation skills
    • Ability to manage multiple projects and priorities, meet deadlines, manage time effectively and work in a pressurized fast paced environment
    • Ability to network at all levels within an organization
    • Flexibility and adaptability to changing business requirements is a perquisite for this role
    • Ability to display initiative, confidence and professionalism in all dealings
    • Must be prepared to be on-call and work out of normal working hours where applicable
    • Fluent in English and add language

    Experience

    • Minimum 5 years’ direct FM experience delivering combined Hard and Soft services
    • Experience of transitions, Sourcing and Tendering required.
    • Degree qualified or equivalent in property, facilities operations or engineering desired, but not essential.
    • Project Management or team delivery experience desired, but not essential.
