    HR Operations Coordinator

    Key Responsibilities:

    • General Operational Support and Coordination
    • Maintain and update trackers and other HR metrics to ensure accuracy and alignment, for the HRM and HOP.
    • Generate weekly reports on timekeeping, leave and other relevant metrics, ensuring systems and data are aligned and reconciled.
    • Manage and oversee leave applications and approvals for the HRM and HOP, ensuring proper documentation, accurate tracking, and adherence to policies.
    • Handle various sensitive documentation and ensure proper filing and secure storage of confidential documents in compliance with data protection regulations.
    • Attend meetings with the HRM and HOP, accurately record minutes, obtain necessary signatures, update the meeting tracker, and file documents appropriately.
    • Assist HRM/HOP in meeting coordination

    Operational Support

    • Take new starters through the entire onboarding process, ensuring they are fully equipped and informed about systems, processes, and company policies.
    • Ensure all onboarding elements are prepared and coordinate new hire inductions with relevant stakeholders to ensure a smooth onboarding process.
    • Attend and observe any meetings or training sessions conducted by the HRM or HOP with groups of employees or teams, taking detailed notes on observations and interactions for record-keeping and follow-up purposes.
    • Coordinate payroll inputs with the payroll team and HRM/HOP to ensure accuracy and timely processing on a monthly basis.
    • Coordinate and support learnership projects, ensuring alignment with program requirements and company objectives.
    • Coordinate and execute special and strategic projects assigned by the HOP and HRM.
    • Drafting of various documents for review. 
    • Support recruitment processes, including shortlisting, interview coordination, and occasional candidate assessment, as and when required. 

    Compliance and Governance

    • Coordinate and monitor Health and Safety compliance efforts across the organization, ensuring adherence to regulations and standards.
    • Facilitate and coordinate compliance with Employment Equity and COIDA requirements.
    • Maintain accurate records and trackers to support audits and ensure ongoing compliance.
    • Assist the HRM and HOP with any additional statutory compliance activities as needed.

    Employee Relations (IR)

    • Provide support to the HRM and HOP in all aspects of Industrial Relations.
    • Attend IR-related meetings to take accurate minutes and ensure proper record-keeping.
    • Prepare documentation as needed for the HRM and HOP to support IR processes and activities.

    Strategic Support and Collaboration

    • Participate in weekly or bi-weekly meetings with the HOP and HRM to proactively address and align on departmental operational needs and opportunities for improvement.
    • Support the HRM and HOP with coordination on long-term strategic projects to ensure compliance and enhance culture initiatives, employee engagement, retention, and training and development.

    HRIS Support and Coordination

    • Oversee the efficient use, maintenance, and upkeep of all HR Information Systems to ensure accurate and up-to-date data inputs.
    • Take ownership of system management, ensuring all HRIS platforms are fully operational and optimized for departmental needs.
    • Pull system reports, summarise and interpret the data.
    • Regularly identify opportunities for system improvements to streamline processes and enhance efficiency.
    • Proactively escalate and resolve system-related queries or issues with relevant stakeholders or support teams.

    Requirements

    Qualifications and Experience:

    • Relevant HR qualification and/or equivalent.
    • Minimum of 5 to 7 years of experience in an HR Administrator or similar role.
    • Minimum 2 years of experience in a Recruitment role.
    • Proven track record of handling sensitive documentation.
    • Proven experience of proficiency in HR systems and HR Ops Coordinatio
