    Learning & Development Coordinator (AAA)

    Overview of this role

    The role of the Learning and Development Coordinator (AAA) within Incubeta is to facilitate and administer the training needs of the Africa and APAC-based team members at Incubeta, including both internal and external training.
    Place Within Organisation

    • Reports to the Head of Learning & Development.
    • Works internally with other Global L&D team members, line managers and in-market teams, and externally with clients.
    • Remit spans across Africa and APAC offices.

    Tasks & Responsibilities

    • Working independently to perform day-to-day tasks and planning accordingly to ensure weekly responsibilities are completed against agreed priority levels.
    • Ensuring work is delivered against agreed deadlines and of high-quality standards.
    • Frequently touching base with relevant HOD’s and TL’s to assess additional training needs not covered through existing initiatives.

    Supporting Africa and APAC on learning & development-related initiatives such as, in general:

    • Onboarding / induction of new starters.
    • Keeping track of the different department’s learning and development requirements and ensuring the Ops Skills Matrix is kept up to date.
    • Upskilling to enable teams to successfully deliver on Incubeta’s Menu of Services.
    • Creating a space and atmosphere conducive to effective learning through tone, inclusivity and engagement.

    And, in particular:

    Onboarding

    • Formalise onboarding process with Global L&D Team, People Team & HODs through Monday.com, and facilitation of onboarding sessions relating to various internal and external platforms used.
    • Contribute to Internal platform slide decks / playbook support showcasing the “Incubeta way” e.g. Monday.com.

    Ignition Series

    • Plan weekly (ZA) and bi-weekly (APAC) knowledge sharing sessions following the Ignition Series format.

    Coordinate everything involved in running Ignition Series sessions, including but not limited to:

    • Keep documentation up to date (facilitator guides, playbooks, checklists, templates, attendance reports, etc.)
    • Plan and schedule sessions, liaising with knowledge experts and facilitators.
    • Brief knowledge experts on the expectations, deadlines and supporting them on the process throughout, including brainstorming engagement ideas and learning outcomes.
    • Quality check slide decks for branding, formatting, grammar and spelling.
    • Update calendar invites with correct session titles and learning outcomes.
    • Send out post-session emails.
    • Set up post-session feedback surveys.
    • Upload slide decks and recordings onto Ignite360.
    • Ensure that Ignition Series Looker Studio dashboard is kept up to date, clean and visually easy to read.
    • Analyse and communicate feedback received, utilising this as input for future sessions.
    • Facilitate Ignition Series sessions where required.

    Training Days

    Coordinate Training Days for MEA / APAC, including but not limited to:

    • Planning and scheduling sessions.
    • Set up Discovery surveys /facilitate briefing calls with HODs and TLs.
    • Facilitation of the sessions where required.
    • Assessing & restructuring of Training Days form, structure & process for 2024

    Red & Yellow partnership

    • Being primary contact for Red & Yellow, representing Incubeta.
    • Coordinating any future R&Y Performance Marketing Short course updates (drive content creation).
    • Coordinating asset updates such as videos with Creative Team.
    • Coordinating and facilitating weekly tutorial sessions with the students.

    L&D Intern Mentorship

    • Ongoing guidance and support to L&D intern, including providing regular performance feedback.
    • Weekly (or more frequent if required) calls, to delegate tasks, answer questions, and provide support where required.
    • Ongoing training on processes & platforms.

    Digital Academy

    • Take ownership of the Intern Training document.
    • Coordinate and facilitate Digital Academy Training Sessions.
    • Coordinate and facilitate Intern / Junior Knowledge Sharing.
    • Supporting the creation of a Digital Academy course for accreditation.
    • Supporting coordination and facilitation of the course once accredited and rolled out.

    Client Training (including Google Mini Labs)

    • Set up Discovery surveys /facilitate briefing calls between client and Incubeta Trainers.
    • Supporting Incubeta Knowledge Experts to create client-facing training, including materials such as slide decks, workbooks as well as brainstorming icebreakers, workbook exercises, learning outcomes, etc. to ensure that all client training follows the Incubeta training methodology.
    • Facilitate client training sessions where required.

    Incubeta Course Accreditation

    • Research the process of gaining SETA, NQF level and SETA accreditation for the Digital Academy programme.
    • Assist in creating the Digital Academy course for accreditation.
    • Coordinate and facilitate the course once accredited and rolled out.

    Incubeta Training Method (supporting Global team members):

    • Update content in the Incubeta training method
    • Present the training to Knowledge Experts to ensure all trainers for internal and external training are equipped to follow the Incubeta Training Method.

    LMS (supporting Global team members):

    • Encourage usage of Ignite360 platform.
    • Create course shells on the LMS.
    • Upload relevant content to respective courses.
    • Upload training recordings, slide decks and other learning materials onto the LMS.
    • Provide support to Incubeta employees on how to use the LMS.
    • Assist with the troubleshooting and problem-solving on the LMS to ensure issues are resolved within a reasonable timeframe.
    • Provide feedback on opportunities that can improve or enhance the LMS.

    Additional Tasks and Projects (ad hoc and not limited to the below)

    • Initiate, develop, implement, test and document new projects, ensuring project milestones are reached on time whilst maintaining a high quality standard.
    • Creating new and updating existing procedures and workflows, documenting such workflows.
    • Creating, updating and contributing towards 'playbooks' and 'how to’-guides for training resources.
    • Supporting the Global Learning & Development team to provide a ‘culture of learning’ at Incubeta.

    Essential Requirements

    • Relevant tertiary qualification related to the role.
    • Exceptional written and verbal communication skills in English.
    • Experienced in learning design and delivering training.
    • Passionate about digital marketing as well as learning & development.
    • Tech-savvy and quick learner.
    • Resourceful, eager to learn and takes initiative.
    • Excellent time management and strong ability to work well within a team and self managed environment.
