    Office Manager & Personal Assistant

    Main purpose of the role:

    • Reporting to the Chief Technology & AI Officer, the Office Manager & Personal Assistant is responsible and accountable for ensuring the smooth functioning of all aspects of the office and the team.  This position is available in our Cape Town office and is office based.

    What should you have?

    • Degree or Diploma in Administration, Project Management or Secretarial.
    • Minimum of 5 years working experience as an office manager and/or personal assistant or related position.
    • Proficiency in MS Office and Microsoft Teams.
    • Project management background would be an advantage.
    • Ability to manage sensitive and confidential information.

    What will you do?

    • Effectively manage the diary of the Chief Technology & AI Officer, as well as correspondence.
    • Coordination and gathering input for key statutory reporting for meetings and board reporting.
    • Local and international travelling arrangements.
    • Ensuring all administration related to employees is completed (this includes issuing of welcome packs, ordering of equipment, requesting system access, etc.)
    • General office management and team support, including catering, managing office equipment, petty cash and stationery.
    • Manage all day-to-day communication – electronic and verbal.  
    • Process all supplier invoicing and ensure all project allocations are completed, as well as the loading of vendors onto the applicable platforms.
    • Various adhoc administration tasks.

    What skills will you need?

    • Strong planning, organisational, and leadership skills.
    • Attention to detail with the ability to analyse and solve problems.
    • Time keeping and sound administrative skills
    • Excellent verbal and written communication skills.
    • Ability to work under pressure while maintaining focus on customer satisfaction.
