    Personal Assistant

    Role Details

    Perform routine administrative duties such as drafting correspondences, scheduling appointments, organising and maintaining data, as well as assisting internal and external stakeholders.

    About the Role

    • Perform data entry into the function's relevant system and file information through the application of set procedures. Review and verify information to ensure data accuracy, accessibility, and integrity. Maintain relevant files and records, extract needed data from the system, and input data into standards formats and spreadsheets as needed.
    • Receive, distribute, and manage correspondences by applying knowledge of department structures. Collate and input content into standard templates as assigned to prepare documents.
    • Collaborate with internal and external stakeholders to respond to requests for information about the availability of individuals and facilities. Schedule meetings and appointments as requested by ensuring availability and avoiding time slot overlaps between the various stakeholders.
    • Assist internal and external stakeholders (e.g. employees and customers) with more complex requests by applying strong knowledge of the organisation's services and business. Address complex requests and inquiries promptly and escalate to management when necessary.
    • Organise own work schedule each day in line with changing priorities.
    • Work independently with oversight and weekly check ins.
    • Respond promptly to more complex internal and external stakeholder inquires/issues.
    • Assist the team and escalate issues to management if necessary.

    About you

    • This position requires a High School/Diploma or degree relevant to the field.
    • Experiential learning that can be demonstrated
    • Ability to use technology and or systems to improve work processes
    • Strong and fluent communicator – both orally and written
    • General understanding of data management and other relevant systems (e.g. Office systems including Word, Excel, and PowerPoint).
    • Multi-tasking
    • Strong organisational skills.
    • Requires sound experience and understanding of straightforward procedures or systems as well as experience in utilising relevant systems.
    • Ability to produce documents in PowerPoint, Excel and Word
