Job description
Provide an advanced, efficient, confidential administrative service to the Head of Trade, whilst providing additional support where necessary, to extended teams - including travel arrangements, co-ordination of diaries, document preparation, screening calls, managing email, office management, presentations, etc.
Effective diary, email management and follow-up to ensure appropriate and constructive time allocation.
Maintain high levels of confidentiality and always deal effectively with sensitive information
Co-ordinate events, setting up key meetings, for the various central teams
Processing of accounts, petty cash, and travel reconciliations for management and team
Effective cost management in the Ordering of stationery and other office equipment
Effective booking of local and international Travel, diary & meeting management
Preparation of presentations and other documentation. Effective creation, editing and format checking to business standard.
Assist with expense and budget oversight and management
Professionalism, excellent judgement, use of discretion, prioritisation and problem-solving abilities
Ability to deal with ambiguity and change
Ability to work flexible hours if required
Minutes of Key meetings, Action points and manage the resolution and outcomes as agreed
General administration
Minimum requirement
3-year Secretarial diploma or other relevant tertiary qualification
Budgeting skills and a good understanding of the Woolworths' financial processes will be an advantage
Enthusiastic and confident with strong interpersonal skills
High level of proficiency ito information systems and working knowledge of MS Word, Excel, PowerPoint, and Microsoft Outlook
Effective communication skills – both verbal and written
Strong administrative skills and time management
Exceptional customer service and conflict handling skills
Analytical skills, such as the ability to effectively consolidate strategic information and documentation
Accuracy and attention to detail
