Key Purpose
The professional assistant's duties will be to provide administrative support and services to the General Manager and Deputy General Manager : Group Head of People Operations and Group Head of OD, Change and Transformation. This person will also provide support the respective teams.
Areas of responsibility may include but not limited
Secretarial
Taking and relaying messages accurately
Diary and email management
Scheduling meetings: Room bookings, set up, and related document preparation
Preparation of Agenda's, minutes. Matters arising and timeous distribution.
Minute taking
Effectively deal with internal and external escalated queries the same day
Collecting and returning visitors to the reception area
Continuously build and maintain professional relationships with internal and external clients
General administration duties as required of the role
Arrange domestic and international travel
Provide ongoing and professional support to Management team within the area
Compiling reports or presentations in a professional manner
Office Management
Logging of TI & Group Facilities calls
Assisting with Function & Event co- ordination for Team
Run and distribute telephone reports and monitor related costs
Ordering from procurement
Serve as point of contact relating to reporting of repairs due
Procurement for cost center, place order with supplier, arrange for order number to be generated, arrange approval, receipt of original invoice and send to finance for payment.
Petty cash capturing for the division
Administration of staff training bookings and training budget
Payroll
Petrol, Cell phone and Data reimbursements
Adhoc
The person in this role will handle adhoc functions and projects which is not limited to the above.
The person would support the Divisional Managers, as well as other managers and team

Education and Experience
Minimum Requirements
Matric
Secretarial Diploma
4 years working experience as a PA to a person at senior manager level
Excellent written and verbal communication skills
Ability to type speedily and accurately
Presenting a professional image
Proficient in MS office at an intermediate level (Ms Word, Ms Excel, Power Point, Outlook)
Advantageous requirements:
Project Management experience
4 Years’ experience
PA to a senior manager/ executive
Proficient in MS Office Suite
