    Safety, Health, Wellbeing and Sustainability Officer

    KEY RESPONSIBILITIES OF THE JOB

    Occupational Health and Safety

    Systems development:

    • Develops implements, administers and maintain an effective program and ensure compliance by monitoring its effectiveness to satisfy the requirements of DANONE’s Standards, Policies and Local legislation e.g. the OHS, COID and Environmental conservation Acts.
    • Develops systems to ensure that all employees comply with all relevant DANONE’s and legal safety requirements.
    • Develops, administers, review and update all SHE Procedures annually and when there is a need for changes.
    • Develops Contractor Management requirements.
    • Monitor all Contractor Activities.
    • Perform audits on contractors
    • Management of COVID-19
    • Liaise with Local Authorities on governance for SHE related topics
    • Facilitate the implementation of the Occupational Health Programme (including but not limited to vaccinations) by identifying risks and proposed solution, implementing the activities and tracking compliance annually

    Training implementation:

    • Establish and Develop training needs analysis for the site
    • Develop and prepare training material where appropriate.
    • Conducting daily health and safety inductions to all DANONE permanent and temporary employees including all contractors.
    • Promote safety awareness.
    • Arrange and coordinate the training of the Fire and Rescue Team.
    • Arrange the training of First Aid team.
    • Daily Capture and file induction registers, assessment of documents and provide monthly compliance report to all respective managers.

    Legal and Regulatory duties:

    • Evaluates, capture, file and incident forms, surveys, audits to establish root causes and together with Line Supervisors/ Line Leaders and Mangers concerned, formulates a plan of action to correct non-compliant behavior or conditions. Ensure that reports are sent to the relevant authorities.
    • Manage and monitor the implementation of the Corrective & preventative Action Reporting system.
    • Manage and liaises with onsite contractors to ensure their compliance with Company safety regulations and adherence to safety standards, including basic safety induction training.
    • Conducts surveys and audits as required by DANONE’s and local legislation to identify and minimize the risk to Company and employees. Identify unsafe acts, conditions, and hazards, investigate root causes.
    • Provide support on the development of safe working instructions for all relevant functions.
    • Perform site specific risk assessments are to minimize accident risks and prevent asset loss on all activities and tasks on site on an annual basis and when there are process changes and after any incident.
    • Ensure compliance to all relevant and applicable health and safety regulations
    • Participate in audits, visits, meetings (internal and external), capture meeting items and actions and provide minutes to all persons attending the meetings / visits / audits.
    • Communicate audit dates to all and distribute audit reports to only relevant teams.
    • Administer all Legal appointments at Danone manufacturing site, ensure that individuals sign the appointment letters and file electronically and manually signed copies.
    • Participate in daily hazard identification and behavioral observation and capturing these on the HIRA’s forms and develop actions and report to the Maintenance Manager and SHE Manager for approvals.
    • Conduct a register for all Hazardous chemicals used on site and provide MSDS’s files at point of use.
    • Ensure that all Hazardous chemical handlers or persons exposed to hazardous chemicals are trained according to the requirements of the OHSACT.
    • Capture and file legal updates received from Data Dynamics.
    • Conduct a PPE Need analysis for all Site Departments based on the risk exposure
    • Issue the relevant PPE to all Staff
    • Ordering of PPE
    • Management of the SHE Budget
    • Participate in the productivity meetings
    • Ensure that invoices are paid on time per Procurement policies
    • Ordering of any other Safety Consumables
    • Participate in various projects and play an advisory role on WISE standards and Local Law requirements
    • Participate in the 12 Basic safety requirements meetings and activities
    • Implement effective requirement of the 12 Basic and Hazardous Energies.

    Coordination and Administration:

    Monthly SHE meetings:

    • Coordination the monthly Occupational Health and Safety & Environmental meeting (ensure meeting times are set and venue booked in advance in all persons calendars in advance)
    • Ensure that all support documentation in respect of the safety program are received on time and in the correct format from all concerned parties.
    • Agendas are sent out.
    • Send meeting request.
    • Ensure meeting times are set and venue booked in advance.

    • Minutes are kept and sent out 3 days after the meeting.
    • Prepare and distributes monthly SHE Talks to all SHE reps.
    • Capture all issues raised on the SHE reps files on the SHE Committee meeting minutes.
    • Distribution of SHE files to all SHE reps and tracking performance on a monthly basis.
    • Incident management
    • Completion of the monthly incident register.
    • Monthly Man hours capturing and reporting to Corporate SHE using the HIRAs system.
    • Monthly updates of the man hours board and SHE Notice board.
    • Participate in the investigation of all incidents on site.
    • Provide recommendations to prevent re-occurrence.
    • Liaise with the onsite Nurse and Dr for medical assistance.
    • Report all recordable injuries to the Department of Labour.
    • Behavioral observations:
    • Coordinate and conduct the weekly behavioral program for DANONE manufacturing unit.
    • Weekly Collection of Safety Suggestions from the boxes and capturing the data and providing reports.
    • Weekly Collection of Hazard spotting tags from the boxes and capturing the data and providing reports.
    • Use technology to improve the reporting process for Safety behavioral observations.

    Fire Prevention / Emergency Plans and Procedures

    • Check and monitor that all fire fighting equipment on site is evaluated to be adequate, are checked monthly, and serviced according to schedule.
    • Dust explosion prevention measures are in place and are audited and in good order.
    • Proper preventative measures are in place for all flammable substances.
    • Conduct a full audit of MSDS’s which are available in all areas, for all materials on site.
    • Co-ordinate at least two evacuation drills / exercises per year to ensure effectiveness of the emergency preparedness procedure.
    • Create  formulation of emergency/contingency plans for:
    • Natural disasters
    • Industrial action
    • Political unrest
    • Fire
    • Explosions
    • Bomb threats
    • Carry out regular checks on all Emergency communication equipment.
    • Conduct regular checks of emergency doors and equipment.
    • Administrating committee meetings minutes, scheduling the meetings, firefighting during emergencies, updating the emergency contact list, ensure that the emergency list is displayed in prominent required areas, capturing the roll call list obtained from respective teams
    • Participate in FM Global audits.
    • Follow up on corrective actions from all audits (FM Global, WISE or any other corporate Audits).

    Catering

    • Conduct monthly inspection of the catering units on site.
    • Ensure full compliance of the catering units.
    • Capture and communicate meeting minutes held with the catering company on SHE Matters.

    Projects

    • Provide SHE guidelines on all new and modification projects.
    • Conduct Risk Assessments for all construction work on all projects.
    • Participate in all Projects Committee meetings.
    • Manage contractors and their compliance to Construction’s regulation requirements.
    • Maintain an electronic copy of the approved contractors list.
    • Completion of vendor registration forms and submission to finance and procurement teams.
    • Capturing and administration of corrective and preventative action trackers.

    Environment

    Systems development:

    • Develops, implement, and maintain environmental management systems.
    • Develop and implement a waste management system, according to DANONEs’ and local legislation requirements.
    • Develop and implement a pollution control system, according to DANONE’s and local legislation requirements.

    Legislation and Regulatory duties

    • Communicate changes in Environment legislation to all relevant teams.

    Training implementation:

    • Establish needs analysis including identification of training interventions and organizes OR co-ordinates Environmental training courses.
    • Ensure that Environmental awareness is promoted.

    Waste Management:

    • Conduct an annual waste inventory.
    • File and maintain all waste manifest, weight reports and disposal certificates for all non-hazardous, hazardous waste and recyclable wastes monthly.
    • Inspection of the waste area and providing monthly report on housekeeping.

    Administration:

    • Capture all waste, energy, water and electricity data on HIRIs.
    • Capture and administer all support documents on waste, energy, water and electricity electronically monthly.

    Legislation and Regulatory duties

    • Ensure compliance to all relevant and applicable environmental regulations.
    • Facilitate the operations of the wastewater treatment plant and ensure compliance with the Local authorities’ requirements.
    • Communicate changes in Environment legislation to all.

    Site Services

    Facilitates the activities of the following outsourced functions:

    • Clinic – liaising with the Occupational Health Practitioner and Medical Practitioner with regards to Occupational Health services
    • Facilitate repairs and maintenance of clinic equipment
    • Develop the employee wellness programme by identifying activities, developing the programme and preparing the implementation plan annually
    • Manage the implementation of the employee wellness programme by tracking performance against the implementation plan, addressing any gaps or issues, implementing corrective action and reporting on progress quarterly 
    • Manage the employee wellness clinic by tracking performance of the clinic, address any issues and implement corrective action as required 

    KEY REQUIREMENTS OF THE JOB

    Qualification(s):

    • NQF 7 / 8 in SHE (National Diploma in Environmental Health or Safety Management or Environmental Management or associated fields)

    Experience:

    • 2+ years of work experience in the FMCG environment
    • Knowledge of relevant local Occupational Health and Safety, Security and Environmental legislation and applicable codes e.g. OHSACT, COID ACT, Environmental Conservation Act, NEMA act etc.
    • ISO 45001 and OHSAS 18001 management systems knowledge and auditing.
    • Working knowledge of ISO based system implementation and management.
    • Working knowledge of safety systems in the implementation and administration of safety, security and environmental systems.
    • Computer literacy.
