    Senior Administrative Assistant (3 Positions)

    Job description

    PURPOSE OF THE POSITION

    • Providing administrative support to the Administration Manager of the accreditation office of the NWU

    Key Responsibilities

    Administrative Tasks

    • Maintain BED accreditation database, collecting documentation in order to successfully accredit potential Landlords.
    • Add new applications, remove cancelled facilities, and update personal information of Landlords.
    • Confirm banking details of various landlords for correctness.
    • Gather all required documentation and check for correctness.
    • Manage accreditation mailbox to ensure all enquiries are answered in a timely manner and handling complaints in a courteous, professional manner.
    • Assist with data capturing, performing basic reconciliations, and compiling reports.
    • Ensuring the confidentiality and security of files and filing systems

    Site Inspections

    • Arrange for visits and inspections of Landlord properties as per application.
    • Provide guidance to ensure all minimum requirements are met.
    • Note all discrepancies and take necessary actions to remedy all problem areas.
    • Exercise control over the loading of information onto database

    Assisting other offices

    • Assist the Bursary Office
    • Verify information

    General Office duties

    • Greeting and directing visitors, answering phone inquiries and handling complaints in a courteous, professional manner
    • Ensuring office supplies are maintained, including checking inventory and working with vendors to always ensure adequate levels of necessary supplies
    • Operating copy equipment, fax machines, printers, or other equipment necessary
    • Other general administrative duties.

    Minimum requirements

    • Grade 12 (essential)
    • Drivers Licence (essential)
    • 5 Years’ experience in administrative position (essential)
    • 5 years’ experience in computer competency, Microsoft office (word & excel) (essential)

    Functional & Technical competencies

    • A good language proficiency.
    • The ability to form partnerships.
    • Good verbal and written communication skills and basic computer skills in Groupwise and Excel.
    • Ability to work with great attention to detail.
    • People management skills

    Behavioural Competencies:

    • Should be able to work without supervision and prioritise tasks in changing environment.
    • Should be able to work under pressure and have good time management
    • Should be capable of effective communication (speaking & writing) and practising good judgement.
    • Should be driven, accountable and capable of good client service.
