    Description

    Nomanini, founded in 2011, is a pioneering fintech company that provides informal retail merchants with access to digital payment solutions and credit to improve their business. Our platform provides interoperable retail payments and supply chain financing by combining new digital financial services with existing distribution networks.

    Nomanini currently has 25+ staff and is growing 500% year-on-year, expecting to continue scaling up at this rate for the next 3-5 years.

    Nomanini is hiring a Team PA to primarily provide support to the CEO as well as the top team and organisation overall. A successful candidate will join the team to provide comprehensive and efficient administrative support to the CEO, Exco and other team members. Work will include significant support on diary and travel management, expenses, coordination and preparation of team meeting agendas, inbox management for the CEO, and other administrative duties as required by the Exco. Due to the changing priorities of Nomanini and ambiguity around our business, the candidate needs to be resilient with the ability to be flexible, robust and support the fast-paced changes as required.

    Requirements

    Purpose of the position

    To assist in increasing the focus and productivity of the CEO and ExCo.

    • Act as a gatekeeper for CEO and Exco’s time, ensure they are prepared for meetings with adequate time in the diary to review/prep.

    • Provide a high standard of admin support to Exco, which includes extensive diary management, travel and expenses.

    • Manage all internal and external meetings and calls to capture all time zones, prioritizing and rearranging where necessary.

    • Ensure the CEO is sighted on urgent internal and external communications with urgent deadlines.

    • Organise travel for team members which entails flight bookings, accommodation, visa processing, preparation of itineraries and liaising with overseas clients where appropriate, consistent with the company’s travel policy.

    • Coordinate and organise conferences for the team, including a large event that takes place twice a year (with virtual smaller events) and weekly all hands meetings.

    • Support the team in the coordination of shared, collaborative work alongside diary management and expenses.

    • Support the teams in the organisation of larger meetings (virtual and physical) with external stakeholders.

    • Extensive inbox management for CEO, file and flag urgent emails.

    • Other ad-hoc administrative duties as required, such as settling new joiners, supporting their onboarding and organising team social functions.

    Key Performance Areas:

    1. Assisting the CEO

    • Monitoring inbox, filing emails, creating summaries and discussing responses with the CEO and actioning them.

    • Managing the short and long term diary.

    • Where required, scheduling meetings with multiple parties.

    • Coordinating travel planning including flights, accommodation, visas.

    • Making note of tracking follow up tasks assigned to and by the CEO and associated deadlines.

    • Completing various administrative tasks, both recurring such filing expenses or compiling recurring reports and ad-hoc tasks as required.

     

    2. Assisting Exco

    • Where required, scheduling meetings with multiple parties and working groups.

    • Coordinating travel planning including flights, accommodation, visas where required.

    • Scribing minutes at ExCo meetings and for working groups and tracking follow up tasks assigned to and by the CEO and associated deadlines.

    • Completing various administrative tasks, both recurring such filing expenses or compiling recurring reports and ad-hoc tasks as required.

     

    3. Assisting the whole company

    • Ensuring preparation for weekly all hands meetings is circulated and noting decisions and follow up actions.

    • Taking care of the team by marking special occasions both personal (birthdays, births, bereavements) and team (new joiners, milestones, etc) in nature.

    • Working with the Social Committee to plan and coordinate team events both virtual and in person.

    • Completing various administrative tasks such filing, on-boarding, off-boarding, etc.

     

    QUALIFICATIONS

    A tertiary qualification or diploma would be advantageous.

    EXPERIENCE

    • Experience in supporting senior management

    • Proven ability to manage multiple diaries and to work proactively in prioritising and scheduling calls and meetings

    • Experience in arranging and managing travel itineraries and Visa applications that may happen at short notice

    • A background of providing support to large and diverse teams

    • Experience in working in a remote organisation

    • Proven experience in managing and submitting expense claims, dealing with invoices and payment processes

     

    TECHNICAL COMEPTENCIES

    • Familiarity with video conferencing technologies (Meets/Zoom).

    • Proficiency in Gmail and Google Docs, Sheets and Slides or equivalent.

    • Competent managing complex travel and visa processing for multiple geographies.

    • Excellent organisational skills.

    • Attention to detail including confidence with numerical data.

    • Understanding of the importance of prioritising work, especially when under pressure.

    • Good communication skills and good level of written English.

    • Self-directing with a bias to communicate work in progress and signal when help/direction is needed.

    • Able to summarise and synthesise communications to save time of counter parties.
