    Yes4Youth Programme Direct Administrative Assistant (Yes4Youth Programme)

    KEY OUTPUTS:

    • Work closely with the Sales Operations Managers – Direct, acting as an overall Sales Operations team to aggressively pursue Direct sales targets as defined by the Group Sales Manager 
    • Responsible for delivering accurate data and reporting for the Global Direct Sales team, by daily auditing and integrity of Enquiry and Guest Source data and other reports as might be required
    • Ensure correct input and updating off CRM database for accurate information pertaining to the Global Direct Sales team
    • Enhance, streamline and simplify the day to day operations of the Team
    • Co-ordination, driving, monitoring, and management of Live Chat platform
    • Accurate and timeous delegation of Live Chat offline messages, web and/ or other enquiries in accordance with documented processes, including daily reconciliation to CRM system; and daily reporting
    • Shared weekend delegation of Live Chat offline messages, web and/ or other enquiries may be required from time to time
    • Setting up and co-ordination of Travel Specialist training sessions (or whichever system is in place at the time), as well as calendar updating, minuting and handling of action items as they arise out of these meetings
    • Minuting of action items as an output of Travel Specialist Working Committee meetings, as well as updating of previous minutes and agenda preparation
    • Assisting and supporting Travel Specialists with the maintenance and management of their digital profiles and social media platforms (Blogs, Facebook, Instagram and Google my business)
    • Assisting and supporting Travel Specialists with WETU
    • Trouble-shooting and assisting Travel Specialists with GIS processes, and work with IT, Reservations and the Sales team to improve the guest experience, as well as internal efficiencies
    • Assisting with testing of new processes or systems in conjunction with the Sales Operations Managers - Direct
    • Shared maintenance of Direct Sales BOPS/ processes as approved by the Group Sales Manager – Direct
    • Continuous feedback and information sharing with the Group Sales Manager to ensure the alignment of process, sales methodology, reporting development across Teams
    • Assistance with the setting up of the annual Direct Indaba and/or workshops. This includes logistical co-ordination of flights and accommodation, communication, general administration, minuting of action items and any other assistance required depending on the event’s requirements
    • Handling of all incoming emails accurately, timeously and efficiently to support Travel Specialists, Sales Operations Manager’s – Direct and Group Sales Manager
    • Maintenance of various mailboxes as stipulated from time to time
    • Drive, action, track and complete all allocated projects received from Group Sales Manager based on deadlines provided
    • Demonstrate ability to interact and cooperate with all &Beyond employees.
    • Ensure brand compliance of all “team” interactions
    • Close working relationship with Reservations, Marketing, Product, IT, Finance, Sales, South Asia Regional office and South America Regional office
    • Set examples for the Direct Sales Teams in areas of personal character, commitment, organizational skills and work habits
    • Actively participate in devolvement of self, team and company through Performance, Development and Training

    SKILLS REQUIRED:

    • Understanding of Social Media Platforms (Facebook, Instagram, Trip Advisor)
    • Understanding of E-Commerce systems (Booking platforms e.g. Take a lot)
    • Computer – Microsoft Office Applications (Word, Excel and Outlook)
    • Understanding of the Availability and Web Reporting Systems
    • GIS, WETU, Maximizer, Tourplan and ESS advantageous
    • Understanding of the data and analysis done
    • Problem-solving skills
    • Excellent command of both spoken and written English (e.g. reporting)
    • Body language
    • Knowledge of markets and understanding of how they operate
    • Ensure consistently good levels of guest/client delight
    • Understanding travel industry channels

    QUALIFICATIONS AND EXPERIENCE REQUIRED:

    • Matric (Required)
    • Travel and Tourism Diploma 
    • Sales experience advantageous

    • Must be 27 years old or younger before 01 May 2026
    • Must have Matric or a higher qualification 
    • Must not have been apart of a Y4Y programme previously
