    Kitroom Intern

    Duties and Responsibilities 

    • Providing the supporting documents of invoices whenever requested
    • Keep filing up to date
    • Partnering with warehouse, reps and courier services company and making sure the proof of deliveries are received and safely filed
    • Archiving of old documents and keeping the filing room neat
    • Ensure old invoices and documents are send to Metrofile and requests for invoices if needed are communicated to Metrofile, and keeping track of doucments submitted thereof.
    • Collect Proof of Delivery from Sales Reps, warehouse and courier companies and collate with all order documents for submission and filing.
    • Run daily report on invoices done previous day to ensure all invoices are submitted with the correct documentation for filing
    • Following up with CSD administrators on outstanding invoices not submitted.
    • To be trained on CSD tasks to assist CSD in generating quotes, sales orders and invoices
    • Hndling internal/external customer queries on invoices
    • Liaise with Management, Customer Service, Sales, WHS, Kit Support and Customers through clear communication.

    Tenders & Pricing Intern

    The  Tenders and  Pricing intern  will be  responsible for:

    • Manage all tender and pricing related activities
    • Manage the identification, co-ordination, preparation and submi sion of Tender and RFQ documentation      
    • Respond to ongoing internal and external customer enquiries regarding contracts and pricing
    • Formulary tendering and submissions, actively manage the database
    • Perform all associated Management Reporting.

    Duties / responsibilities 

    • Sourcing of Tender opportunities
    • Maintain a database of all tender and RFQ activities
    • Respond to all RFQ’s, RFI’s, and tender requests
    • Coordinate customer queries and manage timelines
    • General assistance/guidance to branches/regions on tenders and RFQ’s
    • Identify tender specifications for circulation to the relevant commercial team members
    • Gather the necessary information from internal and external stakeholders to ensure accuracy of completed tender and RFQ documents
    • Manage the RFQ’s and Tender register/dashboard
    • Responsible for delivering of all completed documents on time
    • Respond to all validity extension requests
    • Extract key points from tender and forward relevant information to PM and interested staff
    • Respond to all requests for SBD Forms
    • Manage the IPS/Ariba and Tradeworld inquiries

    Reimbursement Duties

    • Submission of Medikredit applications forms to obtain product Nappi Codes
    • Submission of Discovery Health Price & Product File to obtain approval of product Nappi Codes
    • Submission of all Franchise product ranges for Private Hospital Group approval (PHGs)

    • Diploma and/or Bachelor’s Degree in business or a related medical field of study.

    Job Description

    • Responsible for work orders specific to their product line and/or work station. 
    • Responsible for knowing, following, and not deviating from the appropriate procedures assigned to their product line and/or work station. 
    • Must have ability to show proficiency in their assigned area by having approved competencies. Must uphold quality standards. 
    • Supports the Sales team through the decontamination of used kits; checking and replenishing used Kits; dispatch, booking and coordinating used Kits; inventory management of used Kits.
