    Trade Execution Administratorordinator

    Summary of Job (KPA/KRA):

    • Processing of all product purchase invoices on Trading 1
    • Processing of all spot sales invoices and sending to clients.
    • Requesting of statements for loading respective payments
    • Checking that contract price and terms match invoices received or to be sent
    • Loading payments on Payment Gateway with all needed documents
    • Downloading or requesting silo movement from all Co-ops daily and sending to Agents and internal teams for allocation of contracts
    • Capturing all received loads as allocated by Agents on Trading 1

    Duties of Job:

    • Follow up on active and pending queries.
    • Follow up on outstanding invoices of open contracts.
    • Ensure payments are made as per contract terms
    • Avoiding interest charges due to late payments
    • Checking open contracts on T1 to ensure contracts are not executed without invoices
    • Ensure credit notes are approved by management & correspondence is saved.
    • Checking statutory and company requirements for payments loaded
    • Ensure clients receive invoices timeously and payments are received as per contracts terms.
    • Implement measures preventing payments from rolling
    • Work closely with Execution Team to have a quicker turn around regarding queries and solving discrepancies on invoices received
    • Work closely with Inventory Team to ensure stock paid is received and stock sold is transferred after payment has been received.
    • Ensure correct processing of invoices & additional costs
    • Provide feedback in Operations Meeting for any open contracts which are
    • Ensure silo deliveries are imported on T1 as soon as agents have allocated to contracts
    • Ensure all intakes are captured on Trading 1 before month end.

    Contract Administrator

    Key Areas of responsibilities

    • Daily processing of purchase and sales contracts.
    • Contract management (also receiving contract back from client)
    • Managing open contracts.
    • Updating pricing sheets for clients.
    • Processing of Safex deliveries and assignments.
    • Handling of queries sent to Contract-Desk.

    Minimum professional qualifications and experience

    • National Senior Certificate (Grade 12) with Mathematics Literacy and Accountancy as subjects.
    • Minimum 3 years’ similar working experience .
    • Agricultural experience would be beneficial.
    • related tertiaty qualification advantage
    • Fluent in English and afrikaans 
    • Intermediate Excel proficiency.
    • Experience using an ERP system.
    • Exposure to the Grains Industry.

    •  Fundamentals understanding of market terminals and trading environments.
    •  Critical thinker with emotional resilience to overcome obstacles.
    •  Excellent communication skills (written, and verbal) in Afrikaans and English.
    •  Excellent attention to detail and high a degree of accuracy.
    •  Team player who can work independently.
    •  Ability to work well in a fast-paced  environment with multi-tasking skills.
    •  The ability to be proactive and work under pressure.
    •  Competency in Microsoft applications and web-based applications.
    •  Aptitude for continuous system enhancements and automation.
    •  Positive attitude and taking accoutability 
    •    Attention to detail , problem solving

    General

    • Office based in Techno Park, Stellenbosch.
    • Reports to the Administration Manager.
    • Work model - Monday to Friday with ad hoc flexibility working from home.
    • Seasonal activities / harvest runs from April to August.
    • December is financial year end.
