    Facilities Management Administrator

    Main purpose/objective of the position:

    • Being the primary contact / liaison for the supplier’s administrative personnel Telephonically and E-mail. Manage and resolve client / supplier complaints / queries and request.
    • Ensuring that the Suppliers invoices are uploaded in the correct format.
    • Completed according to the set guidelines communicated to the Suppliers.
    • Data verified and checked – and moved to the correct next level.
    • All approved invoices processed and send to the client.
    • Statistics is maintained of all transactions for the day.
    • Records are being kept (saved) on the central Knowledge drive.
    • Maintain good long-term customer and client manager relationships.

    Decision making authority:

    • Has the authority to execute all Key Performance Areas as stated on this form and in line with the company approval framework and client policies and procedures.

    Experience / Education:

    • Minimum of Grade 12.
    • 2-3 year’s relevant experience in invoicing and end-user support.
    • Experience within the Facilities Management field is preferable.

    • MS Office - Excel and Word.

    • Knowledge required:
    • Contract Management (SLA Suppliers etc).

    OHS Advisor - Sandton

    Main purpose/objective of the position:

    • To implement, maintain and continuously improve the QHSE management systems requirements at allocated client offices, as well as support of client teams working at the client’s client facilities.
    • Coordinate and monitor QHSE implementation, client legal compliance, OHS Act No. 85 of 1993 and related issues.
    • Support in the maintenance and improvement of the client’s ISO 9001, ISO 14001 and OHSAS 45001 management systems.
    • Carry out the day-to-day operations of facilities QHSE functions, in support of the client and contribute to the application of effective business QHSE management through the provision of technical support.
    • Be the SPOC for the client with regards to the portfolio’s QHSE operations.
    • Prepare monthly and ad-hoc QHSE technical and performance reports for the Group QHSE Manager and/or the client

    Decision making authority:

    This position has the authority to:

    • Identify and report non-conformances, unsafe acts and conditions to relevant client management.
    • Investigate QHSE concerns and recommend corrective actions.
    • Stop any activity that is deemed unsafe, or have the potential to harm the environment or result in serious property damage.
    • Take remedial actions and/or advice operational staff, including client, suppliers and management on QHSE issues.
    • Implement best practices to continuously improve QHSE function and maintain certifications.

    Experience / Education:

    • Certificates: SAMTRAC or equivalent, ISO 9001, ISO 14001 & ISO 45001 implementation
    • Minimum 3-years relevant experience: implementation, maintenance and auditing of QHSE management systems i.e., ISO 9001, ISO 14001 & ISO 45001
    • Hazard identification & risk assessments and incident investigation certifications

    Skills required:

    • Excellent interpersonal and communication skills
    • Good technical report writing and presentation skills
    • Good knowledge of Microsoft Office
    • Co-ordination and organizing
