    Payroll Coordinator (12 Month FTC)

    What you’ll be doing

    • As part of your role, your responsibilities will include:

    Payroll Processing

    • Prepare and process payroll for all employees in Payspace and Workday, this includes salaries, hourly wages, overtime, bonuses, and any other remuneration.
    • Ensure payroll is processed accurately and on time in accordance with company schedules.
    • Calculate and apply deductions for taxes, benefits, garnishments, etc.

    Payroll Reconciliations

    • Prepare and post salary journals and leave provisions.
    • Perform monthly General Ledger and salary control account reconciliations in preparation for year end audits.
    • Prepare annual and bi-annual statutory payroll reconciliations.

    Reporting

    • Ensure timely and accurate completion of the following reports: Overtime reports, Employee Benefits Reports, Month-end Costing Reports, Payroll Register,Company Variance Report,Net Pay Listing, Payroll Reconciliation, Headcount Report.

    Tax Compliance

    • Ensure compliance with applicable labor laws for all calculation and payroll taxes. Prepare and submit periodic tax filings, such as quarterly and annual returns.

    Benefits Administration

    • Administer employee benefits such as health insurance, retirement plans, and other deductions.
    • Ensure correct deduction of employee contributions to benefits programs.

    Employee Inquiries

    • Respond to employee inquiries regarding payroll discrepancies, deductions, and other payroll related issues.
    • Provide excellent customer service and support to employees by resolving payroll concerns in a timely manner.

    Audit

    • Assist in audits by providing the necessary documentation and responding to audit inquiries.
    • Handle sensitive payroll data with discretion and confidentiality, following all data protection regulations.
    • Liaison with HR and Finance Teams
    • Collaborate with HR on employee-related payroll matters such as new hires, terminations, salary adjustments, and benefits.

    Assistant Accountant

    What you’ll be doing

    As part of your role, your responsibilities will include:

    Creditors Function

    • Accurately capture all invoices, ensuring correct postings by product, region, platform, and brand, in line with agreements or prior billing.
    • Perform vendor reconciliations and resolve any outstanding queries.
    • Prepare bi-weekly payment runs, ensuring accurate amounts and correct suppliers are paid.
    • Match vendor invoices to payments in Navision/Business Cloud (BC).
    • Set up new vendors and obtain verification of bank details for any changes or new vendors.
    • Run vendor open items reports, providing commentary on any long-outstanding items.

    Finance Reporting

    • Prepare income statement and balance sheet reconciliations, including relevant commentary for areas of responsibility (e.g., open items, operating expenses, prepayments, marketing).

    Corporate Governance

    Financial Staffing

    Payroll Specialist

    Payroll Review

    • Manage and oversee the end-to-end payroll processing for employees, ensuring accurate calculations of salaries, bonuses, deductions, and other compensations using Payspace and Workday.

    Compliance & Reporting

    • Ensure compliance with payroll legislation, tax laws and other statutory obligations.
    • Review and submit the completion of the following reports for salary sign off: summary of payroll changes; variance reports; overtime payments; loan payments and balances; and bonus payments.

    Payroll Reconciliations

    • Process salary journals from Payspace into ERP. Perform the following reconciliations monthly: salary creditors to general ledger; salary control account (payroll to bank statements); IRP5 reconciliations; employee loans to general ledger and ensure compliance to loan agreements and company loan policy.
    • Performs quarterly payroll control account reconciliations in preparation for external audits.

    Payroll Queries

    • Act as the first point of contact for payroll-related queries from employees and management, providing prompt and professional resolutions.

    Tax Filing

    • Ensure accurate tax filing and payment for employees in accordance with the relevant country tax laws.

    Payroll Audits & Internal Controls

    • Assist with internal audits and payroll compliance checks.
    • Collaborate with external auditors during payroll audits to ensure compliance with company policies and regulations.

    Process Improvement

    • Recommend and implement continuous improvements to payroll systems, processes, and policies to enhance efficiency and accuracy.

    Team Leadership

    What you’ll be doing

    As part of your role, your responsibilities will include:

    Governance and Compliance

    • Preparation of consolidation entries in compliance with IFRS and SEC regulations
    • Preparation of the Group financial statements, including preparation and review of note disclosures for the Annual Report and interim and year-end results announcements
