    Administrator

    About the role

    • We are seeking an Administrator to provide office and administrative support to managers, delivering the outputs of secretarial, administrative, liaison and public relations duties.

    What you will bring

    • Secretarial Diploma
    • 5 years practical experience assisting a senior managerial position
    • Computer literacy in MS Office; SAP / MDA

    What you will be doing

    • Co-ordinate and plan meetings
    • Prioritise appointments, time management planning by managing diary and schedule of Managers
    • Screen/make/receive telephone calls and redirect or re-route.
    • General typing.
    • Maintain a filing system as well as a follow-up system for tasks and projects of the division. Take, type and distribute minutes of meetings.
    • Screen mail and E-mail received and respond promptly as appropriate.
    • Meet own deadlines and ensure the managers are informed of their deadlines.
    • Actively manage a follow-up system in order to assist Managers with divisional goals, projects, tasks and targets regarding day to day business matters as well as strategy implementation tasks.
    • Answer or draft replies to correspondence.
    • Distribute and type internal memorandums as required.
    • Create, collate and distribute management packs as required
    • Arrange flights, transport and accommodation as required.
    • Consolidate and submit claims for out-of-pocket expenses.

    • As a commercial & industrial property leasing and sales Broker, you will play a crucial role in canvassing potential tenants, building and nurturing relationships, and ensuring the optimal leasing of our vacant properties.
    • Your primary responsibilities will include initiating contact with prospective tenants, negotiating lease terms, and closing deals to secure favorable terms for JHI.

    • Minimum of 3 years of relevant experience, preferably as a property broker.

    Soft Service Manager

    • Minimum Grade 12 qualification
    • Between 3 – 5 years of relevant experience in Facilities or Operations Management
    • Electrical, mechanical, or construction background, as well as technical skills
    • Experience in overseeing daily operations and coordinating team efforts.
    • Proficiency in computer applications including MS Office (Excel, Word, Powerpoint), as well as business systems such as SAP and MDA.
    • Awareness and implementation of quality standards.
    • Basic contract management abilities.
    • Proven experience in managing and maintaining service level agreements (SLAs) with vendors and service providers.
    • Working knowledge and understanding of lease conditions.
    • Administration principles and reporting expertise.

    What you will be doing

    In this role, you will lead efforts in budgeting and expense control, building management and administration, facilities maintenance, and tenant installations. Some of the most important tasks include the following:

    • Budgeting and expense control
    • Managing and creating purchase orders
    • Oversee repairs and emergency and running maintenance
    • Co-ordinate aspects such as cleaning and security
    • Conduct inspections, example reinstatement, vacancy, building conditions, OHS, etc
    • Energy management
    • Liaise with internal and external parties on housekeeping matters and address building related queries
    • Ensure compliance with statutory requirements and coordinate Public Liability and Property damage claims.
    • Plan and execute planned maintenance
    • Manage ad-hoc projects and coordinate tenant installations
    • Monitor monthly deviations, seek approvals, and ensure operational compliance
