    Groups Reservationist

    Objective of the Role

    • Reporting to the Reservations Manager and working with the Revenue Manager, the Group Reservationsist will be the first point of contact for our guests. It is of utmost importance that the reservations department present a friendly and professional manner at all times.

    Key Duties and Responsibilities:

    • To manage all Group Block Space – Leisure Groups / Ad Hoc Corporate Groups / Exhibition & Event Groups and Allocations.
    • To respond to all incoming inquiries for groups, and to get accurate and detailed quotations on timely basis.
    • To be knowledgeable in the operation, functionality and standards required in using the PMS and reservations systems.
    • To input Group/Block Reservations into the PMS, ensuring all details are accurate and complete in line with the agreed departmental standard.
    • To ensure strict chasing / follow up / contracting procedures are in place and adhered to.
    • To ensure full and accurate communication with all relevant departments.
    • To maintain accurate filing systems for all Group correspondence within the department, and ensure all filing is completed daily.

    Requirements:

    • Knowledge of a PMS system.
    • Previous experience in groups  (min 3 years).
    • Attention to detail.
    • Excellent customer care skills.
    • Excellent command of the English language both written and oral is essential.
    • Ability to cope well under pressure.
    • Highly motivated, and a team player.

    Reservations Agent

    Overall Job Purpose:

    To be a professional, friendly and efficient point of contact for all guests and colleagues and ensuring that the facilities are sold in such a way that maximises revenue whilst satisfying guest expectations.

    Principal accountabilities:

    • To ensure you are fully aware of all tariffs, facilities and current activities.
    • To liaise with all departments and communicate any special requirements of individual guests.
    • To maintain the inventory and rates through the main channels of distribution, in order to achieve maximum occupancy and revenue.
    • To ensure that all reservations, enquiries and requests are confirmed in line with company policy.
    • To achieve maximum revenue profit potential while satisfying clients needs.
    • To be aware of and maintain relationships with regular guests to encourage repeat business.
    • To ensure that the portfolio database is maintained with accurate records for clients, agencies and companies.
    • To be aware of all front office procedures and assist with reception duties when required.
    • To ensure accuracy and attention to detail is maintained on all stages of reservations from the initial enquiry to the guest’s departure, which includes correspondence checking on a daily basis.
    • To work to a rota set by your head of department and to understand this will be in accordance with business demands.

    Profile:

    • Fluent in spoken and written English
    • Excellent telephone manner
    • Excellent attention to detail
    • Experienced in hotel front office operations or sales in a four or five star
    • Computer literate, ideally with Portfolio experience
    • Well presented, friendly, professional
