POSITION PURPOSE

• To manage and support the Retail Portfolio on all financial requirements to ensure timeously payments, governance and reporting on the portfolio finances. Responsible for performing a variety of accounts payable / receivable and related duties. Receives, sorts, and proofs accounting documents, and posts totals. Matches invoices to appropriate authorizing documents. Codes invoices with appropriate general ledger account numbers and related project and budget codes. Inputs invoice information into automated accounts payable application. Performs arithmetic calculations and reviews internal records. Prepares reports and maintains records and files as needed. Completes collections and deposits of accounts receivable items.

ESSENTIAL FUNCTIONS AND BASIC DUTIES
Assumes responsibility for the accurate and timely performance of accounts payable functions.

• Reviews source documents and matches purchase orders, invoices, and receiving documents.
• Codes invoices to appropriate general ledger accounts.
• Determines optimum payment dates and takes advantage of all discounts on invoices.
• Reviews invoices to ensure they are correctly coded, properly authorized, and there are no overpayments or repeat payments.
• Ensures that approval authority is in accordance with purchasing policies.
• Processes payments and obtains authorized signatures.
• Performs accounting duties in accordance with established Company policies and procedures.

Assumes responsibility for effectively researching, tracking, and resolving (or properly referring) accounting or documentation problems and discrepancies.
Assumes responsibility for establishing and maintaining effective business relations with vendors.

• Researches and resolves vendor problems and billing discrepancies.
• Answers vendors' questions or refers them appropriately.
• Maintains and projects the Company’s professional reputation.

Assumes responsibility for establishing and maintaining effective communication and coordination with Company personnel and with management.

• Assists Accounting Department personnel as needed.
• Keeps management informed of area activities and of any significant problems. Reports transactions that are outside established purchasing policies to the Controller.
• Maintains regular contact with other departments to obtain information and/or to correct transactions.

Assumes responsibility for related duties as required or assigned.

• Conducts financial approvals on Broll Vantage
• Bill Clients as per Agreement
• Receives POP from Clients and allocate accordingly
• Pre-pare EFT batches to pay contractors
• Pay contractors as per client agreements, and on time
• Send contractors EFT remittances to indicate what has been paid
• Obtain contractors statement and do a recon, and send back to contractors with feedback
• Link buildings, contractors, and clients on BOL
• Run queries on client accounts to check what has been paid, and what has not been paid, and query
• Extract client statements and send to the relevant clients to query payment
• Prepare quotes for Broll Technical Services
• Loads invoice on Vantage for Broll Technical Services
• Ensures that work area is clean, secure, and well maintained.
• Performs general accounting duties as needed.
• Maintains confidentiality.
• Completes special projects as assigned.

PERFORMANCE MEASUREMENTS

• Accounts Payable / Receivable functions are accurate, current, and timely.
• Accounting errors, discrepancies, and violations in purchasing policies are promptly identified and resolved.
• Accounting duties are performed in accordance with established procedures and standards.
• Good communication and coordination exist with Company personnel. Assistance is provided as needed.
• Effective business relations exist with suppliers and vendors.
• Management is appropriately informed of area activities.

EDUCATION/CERTIFICATION:

• Matric.
• Additional bookkeeping qualifications and / or courses preferred.

REQUIRED KNOWLEDGE:

• Knowledge of Company purchasing policies.
• Understanding of basic bookkeeping concepts and procedures.
• Knowledge of automated accounts payable applications.

EXPERIENCE REQUIRED:

• One to two years of previous accounts payable experience preferred.

SKILLS/ABILITIES:

POSITION PURPOSE

• Under general supervision, performs a variety of routine administrational duties as specified by established procedures. Reviews, prepares, and process administration for Operations Managers, Instructing and monitoring of contractors to ensure target dates are reached, Prep and submit all relevant documents for payments. Prepares weekly reports on meter status, manages and report on the offline list weekly. Ordering of new energy stock. Assist with minute taking as and when required. The Operations Administrator will be expected to work such hours and overtime as may be required by your job, from time to time. The functions below are an indication to the basic duties but may not include additional tasks as dedicated by the Portfolio Executive.
• Responsible for analysing and reconciling detailed general ledger accounts as assigned. Keeps records and accounts accurate and current. Researches and resolves discrepancies and accounting errors. Completes related reports, summaries, and records. Creates monthly expense reports. Performs related clerical duties.

ESSENTIAL FUNCTIONS AND BASIC DUTIES

• Assumes responsibility for the accurate, efficient, and effective performance of routine administration of Operations functions.
• Keeping track of all Operations Managers diaries – Ensuring all meetings on site are booked
• Obtaining feedback from those meetings and filtering through to the Property Manager
• Obtaining urgent quotes where necessary whilst Operations Managers are on site
• Compiling a database and working on additional contractor lists in rural areas
• Tenants can call the Operations Administrators directly with complaints etc., which will address immediately and keep the Property Managers and Portfolio Executive informed.

• Responsible for Operational Financial Statements (i.e. Monthly accounts, Journals, schedules etc)
• Responsible for Debtors Administration (i.e. Tenant related accounting & checking pre-billing)

EDUCATION/CERTIFICATION:
Matric.

• Post high school training or education in accounting preferred.
• Bookkeeping coursework preferred.

REQUIRED KNOWLEDGE:

• Knowledge of related computer applications.
• General understanding of accounting principles.
• Knowledge of basic accounting concepts and procedures including account reconciliation.
• Knowledge of related computer applications.

EXPERIENCE REQUIRED:

• 2 year of related experience required.
• 5 years of previous property/accounting experience preferred.
