    Fleet Compliance Administrator - Houghton

    Description

    Risk & Compliance Management

    • Verify that SOP’s for vehicles are visible, displayed and communicated to all relevant stakeholders.
    • Manage and update vehicle fines on related platforms including demerits and arrange payments to be processed.
    • Monitor and regularly update internal policies in accordance with gazette regulations and communicate effectively to all stakeholders.
    • Responsible to inform Fleet Regional Management of any new amendments to SOP regulations.
    • Responsible for communicating to all relevant stakeholders and drivers regarding addendums on SOP and policy documents.
    • Craft and implement General Instructions (GI’s) best practices and SOPs
    • Manage employee documents in alignment with Protection of personal information (POPI) Act for compliance.
    • Recommend drivers to undergo training sessions and arrange workshops to support employees.
    • Manage monthly vehicle compliance and escalate if required.
    • Manage and support both internal and external audits effectively.
    • Verify and manage that all vehicles have valid licenses and all licenses are up to date.
    • Maintain a system to verify that all vehicles are serviced according to original equipment manufacturer (OEM) intervals and specifications.
    • Brief all relevant stakeholders in terms of daily vehicle roadworthiness checks and the implications it has on the business.
    • Record all relevant performance indicators, including the number of accidents, fuel consumption, and traffic violations.

    Vehicle management and administration

    • Record, update, and manage eTag, fleet cards, and other fleet management devices daily to be compliant with the regulatory requirements
    • Manage and regularly keep the drivers details and licenses status updated on the national database for compliance.
    • Effectively manage the process of traffic fines, redirections, payments and demerits in accordance regulatory requirements.
    • Administer all Administrative Adjudication of Road Traffic Offences (AARTO) related functions, updates, and regulatory compliances.

    Requirements

    Work Experience

    • Qualification in Logistics or Supply Chain Management or Road transport Management: Advantageous

    HR Officer - New Castle

    Key Performance Areas (KPAs)

    • Provide efficient and accurate HR administration to one's centre
    • Responsible for creating, maintaining and updating the personnel record system manual and electronic (HRIS) for record and audit purposes by updating records accordingly and filing documentation as per legislative and company requirements and information.
    • Track and monitor the registration of personnel on the medical aid and the administration for completeness of all applications. Follow up on all queries through to resolution.
    • Administer and provide information for the following in accordance with company and legislative standard including but not limited to:

    Ad hoc

    • Responsible for facilitating, analyzing and controlling the leave management process.
    • Responsible for the leave management within one¡¦s Centre/s including but not limited to:
    • Accuracy and completeness of data (applicable notes, leave allocations etc.)
    • Leave records are maintained and filed
    • Leave liability reduction
    • Monitoring employee balances to guarantee statutory leave is taken (Leave planning)
    • Approval cycles
    • Monitor trends of employees and make the necessary recommendations to the Line Manager and Employee Wellness / IR if applicable as well as absenteeism but not limited to
    • Effective and timeous resolution of queries related to leave (leave allocations, balances, entitlements, approval cycles etc.,)
    • Facilitate the delivery and execution of projects and initiatives.
    • Successful execution of all projects and initiatives in accordance with the relevant roll out plan
    • Drive the change process and take responsibility and accountability within one¡¦s Centre/s in order to maintain a seamless integration and support whilst, providing feedback to the Regional HRBP and Line

    • Draft interview guides as required, submitting to the Regional HRBP for standardization and final approval before use
    • Assist the Centre to meet transformation targets (EAP).
    • Draft and obtain non-EE motivations
    • Sit in on the Transformation Committee meetings as a representative of HR
    • Verify that the EE Plan is displayed within the Centre/s.
    • Update profiles with cosmetic changes to assist with its relevance at all times.
    • Execute and drive on mass recruitment projects to achieve set targets and provide updates to Line Responsible to maintain a database for one's Centre/s
    • Conduct company orientation with new employees in accordance with SBV's legislative standards, policies and procedures

    • Responsible for the completeness and accuracy of timecards on Kronos for respective Centre/s in accordance with SBV’s legislative standards, policies and procedures.
    • Audit pay rules in conjunction with employment contract and escalate discrepancies
    • Adhere to Kronos deadlines for sign-off on timecards
    • Enroll new employees on the Kronos system
    • Engage with Lines of Authority (HOD’s, CPO’s, Line Managers)

    Quality Assurance Coordinator - Houghton

    Description

    Consolidate and assist with Quality Assurance administration and reports.

    • Consolidate the statistics and reports received from the cash centres and submit to relevant stakeholders.Assist in facilitating Quality Assurance training and document reviews for Cash Processing and Logistics
    • Contribute and assist with the development of the Quality Management System according to the ISO 9001 standard.
    • Inspect and report on compliance to published SOP at the cash centres as required.
    • Assist in the review and validation of mapped workflow processes and SOPs.
    • Consolidate the quality inspection reports from cash centres and provide to the Quality Assurance Managers weekly and monthly.
    • Engage Senior Management, consolidate inputs from relevant stakeholders into the Board Report. Edit and cleanup of the Board Report before final submission to Head Operations.
    • Update and consolidate the Quality Division KPI information and submit it to the Quality Divisional Manager monthly.
    • Report, compile and distribute minutes of Quality Assurance MANCOs, SARB Penalty Meetings and other Quality Assurance Meetings.
    • Load Fraxion requests for the Quality Division (e.g. data request, phone upgrades, Credit Card).
    • Consolidate SARB BI dashboard, identify data anomalies, compile report and distribute on request.
    • Provide support to the Quality Assurance Managers and the Process Change Specialist with regards to ISO awareness and the BMS navigation initiatives.
    • Assist the Process Change Specialist with quality checks on documents (SOPs, GI’s, mapped processes, policies and templates) before publishing.
    • Maintain and update the storage of Quality documents according to ISO 9001 standards.

    Provide support to Project Management

    • Consolidate SARB Phase 2 material packaging errors, monitor trends weekly and distribute the consolidated information to the QAM for Industry discussions.
    • Consolidate and report on Daily Stats relating to Fit/Unfit yields and Transactional data from cash centres participating in the Currency Integrity Industry Testing.
    • Update and share the project dashboards to the relevant stakeholders.

    Assist with Quality Assurance process and systems management

    • Perform ad-hoc quality assurance inspections, as directed by the Quality Assurance Manager relating to processes, final products and identify deviations from quality standards.
    • Identify quality checks that are not compliant against the set standards and follow up with the relevant departments until findings are closed.
    • Guide the Quality & Loss Officers and relevant stakeholders to conduct and report quality assessments accurately.
    • Capture Logistics, Cash Processing and POPI Clean desk inspection checklists from Cash Centres, consolidate and submit the information to the Quality Assurance Managers
    • Assist Centres with Root Cause Analysis of incidents, findings and non-conformance when required.
    • Log non-conformance and findings on the relevant template and follow up on pending or overdue investigations with the applicable Centres.
    • Track receipt of audit inspections, other checklists and reports from Cash Centres and escalate as required to the Quality Assurance Managers.
    • Monitor and capture settings received from Centres. Report on Note Sorting Machine threshold settings and escalate to relevant stakeholders.

    Assist with the monitoring of Compliance to Regulatory body Requirements

    • Collate and provide reporting on SARB regulatory and SARB Inspection
    • Assist where required with SARB Inspections.
