    Teacher: STEAMS and Life Orientation

    Duties
    Educators in the GET and FET phase will be responsible for planning, organizing and implementing appropriate instructional programs in a high school environment that guide and encourage students to develop and fulfil their academic potential and prepare them for life after graduation.     Principal

    Key Purpose Statement

    • Responsible for the operational and academic management of the school in their charge, ensuring compliance with the requisite policies, procedures and legislative requirements as well as alignment with the Brand values. Reports to the Executive Head who is accountable for all the schools in a location, across all phases. Ensures that agreed targets are attained and that the optimal student experience is delivered. Provides leadership to staff, students and parents.

    Principal Accountabilities

    Management of School Operations

    • Oversees the efficient operation of the school by controlling and monitoring financial expenditure and reducing waste. Provides input to the Executive Head regarding the budget for the school, signs off on expenditure for their school
    • Implements agreed plans ensuring that staff understand these and are fully committed to achieving them
    • Responsible for providing a learning environment for students and teachers which is conducive to academic excellence. Identifies opportunities for improvement and advises the Executive Head accordingly
    • Monitors Key Performance Indicators/ Targets (Student Retention, Exits, Rollovers etc) for the school and reports back to Executive Head, regularly. Makes recommendations where improvement is required
    • Ensures compliance with the requisite policies, procedures and legislation, at the school. Takes corrective action in the event of any breaches by either staff or students
    • Collaborates with other Heads of School, at the location, to ensure Brand alignment as well as to solve problems and troubleshoot

    Implementation of Academic Strategy

    • Implements the academic policies and procedures for all academic and support staff in the school. Communicates new policies to school staff and monitors their application
    • Oversees Curriculum development across all subjects and grades in the school to ensure alignment with all relevant requirements viz. IEB, IB, IIE, DOE etc
    • Ensures the timetabling process occurs timeously and is implemented efficiently with the optimal utilization of resources, in the school
    • Monitors the academic performance of the school and the teachers. Identifies areas requiring attention, makes recommendations and implements the necessary action to improve teaching and learning and student achievement
    • Ensures curriculums are adhered to and students receive tuition in keeping with agreed standards and the Brand promise
    • Monitors the assessment of students ensuring proper processes are followed and any risks identified and reported timeously to the Executive Head
    • Oversees the Reporting process to students/ parents/ governing bodies ensuring standards are met and returns submitted timeously

     Customer Relationship Management

    • Participates in planned Marketing/ Sales events and/or communications for the school including open days, parents’ evenings, sporting events, newsletters etc
    • Builds relationships with parents to position the school favourably. Meets with parents/ parent bodies, as necessary, to resolve individual / group complaints/ issues
    • Engages in word-of-mouth marketing for the school
    • Ensures the registration and the graduation processes run efficiently and are aligned with Brand requirements
    • Monitors student experience at the school, meeting with students/ teachers, student bodies, as required, to identify issues and resolve problems timeously

     Human Resource Management

    • Leads and motivates their staff to achieve agreed objectives. Promotes their growth and development and drives mentorship
    • Ensures that academic and support staff roles and responsibilities are clarified, performance objectives are set and that staff are adequately trained
    • Manages and conducts performance reviews in accordance with policies and procedures and takes corrective action where necessary. Provides continuous feedback to direct reports
    • Provides input to Executive Head in respect of a succession plan for the school
    • Manages Human Resources in accordance with policies, procedures and legal requirements
    • Monitors staff labour turnover in the school, investigating reasons for leaving and ensuring issues are resolved appropriately
    • Drives the achievement of Employment Equity targets, in the school
    • Ensures understanding of and adherence to the Code of Conduct

    Health & Safety Management

    • Ensures school property, including buildings and office equipment are functional and properly maintained and that a safe environment prevails at the school
    • Assumes overall responsibility for the health, safety and welfare of students, staff and visitors, at the school. Identifies risks and potential hazards and reports these to Executive Head and follows up on their resolution

    Assessment Officer

    Duties and Responsibilities:

    Managing and Tracking Assessment Printing

    • Responsible for the steps in the assessment process from point of the Assessment Printing Tracking System (APTS) capturing to receiving crates from Colourtech.
    • Responsible for ensuring that correct orders are placed and fulfilled as per the Assessment Printing Tracking System (APTS).
    • Responsible for ensuring that actual student numbers are updated in the Assessment Printing Tracking System (APTS).
    • Ensure that the student numbers, venue and Invigilator details have been inserted into the Assessment Printing Tracking System (APTS) as per the batching timeline to allow for prepacked assessments being delivered in the Colourtech batches.
    • Responsible for checking the crate contents when they arrive from Colourtech to ensure that all the assessments have been packed and grouped as requested on the Assessment Printing Tracking System (APTS). 
    • Informing national office that the centre has completed the Assessment Printing Tracking System (APTS) inserts and batch checks and of any discrepancies in the batch and crate checking process.
    • Ensure that the crates and locks are returned to Colourtech timeously after the batch has been checked.

    Invigilator Recruitment and Management

    • Assists with Invigilator training.
    • Co-ordinates the booking of Invigilators.
    • Assist with Invigilating when required.
    • Responsible for reconciling the Invigilator reports pre and post assessment.
    • Logging assessments in and out with Invigilators.

    Pre-Assessment Logistics-Initial and Replacement Assessment

    • Manages all aspects of preparation for upcoming assessments.
    • Informs students when Programme Assessment Schedule is uploaded and available.
    • Ensures the assessments and memos are stored securely in the campus academic safe at all times.
    • Responsible for the preparation of all assessment documentation.
    • Pre-assessment logistics need to accommodate concession applications.
    • Liaising with the IT department regarding IT assessment set up and preloads which may be required for practical assessments.
    • Manages all assessments being written on campus.
    • Reconcile scripts at the end of each assessment and hands over to the Results Centre for the marking, results capture and moderation process.
    • Ensure all assessment documentation above is up to date at all times and compliant with all assessment and audit processes.
    • Reconciliation of the Invigilator’s report that summarises all the necessary and that is batched with the scripts for delivery to the lecturer for marking. Any discrepancies must be noted on the Invigilator report and investigated.
    • Management of all aspects of different location approvals.
    • Management of Online Centre student assessments and scripts.

    Non-exam Condition Assessment Processing

    • Responsible for the set-up of student groups and deadlines on SafeAssign and Turnitin as per the Programme Assessment Schedules (PAS).
    • Responsible for the collection of the assignments from the assignment submission point on campus.
    • Reconciliation of assignment submission , signing sheet and identifying assignments not submitted through the online plagiarism detection software & handing over to the Results Centre.
    • The Assessment Centre is responsible for collecting, collating, grouping and handover to the Results Centre.
    • Manage late assignments in accordance with the Assessment Strategy and Policy.

    Exam Condition Assessment Escalations

    • The Assessment Centre facilitates the resolution of any escalations that may occur during the writing of an exam that relate to the exam paper in particular.
    • Raising queries with Programme Operations Manager (POM) when assessments are running. The Assessment Centre receives communication in respect of the Central Academic Team (CAT) decision and is responsible for communicating in turn to all students at the various venues in which the assessment is being conducted. If escalations cannot be remedied on site during the assessment this could result in a post assessment remedy by way of a rewrite or a mark adjustment.
    • Communicating query resolution to respective different location and alternate venue Invigilators.
    • Manages the escorting of students to the bathroom during assessments.
    • Deals with any issues/queries that Invigilators may raise during assessments.

    Team Support General

    • Responsible for ensuring all students notes are captured in the System for Academic Management.
    • An incident report must be completed for any action which results in non compliance in the Assessment Centre for approval on the way forward. (For Action Now (FAN) Report)
    • The Assessment Centre is a secure centre and access in and out of the centre must be logged.
    • Assisting with campus specific projects/events (Graduation, Open Day etc.)
    • Focus group sessions to reflect on the systems of the centre.

    Duties and Responsibilities:

    Desktop Support

    • Answers, evaluates and prioritises logged requests for assistance from users requiring assistance with catalogue of services requests
    • Logs and tracks calls using the incident and problem management database provided through the service desk
    • Handles problem recognition (catalogue of services), isolation, resolution and follows on routine user incidents, and refers the undefined tasks (those not on the catalogue of services) to the campus Senior Support for resolution and further definition.

    • Assists with set up and support for venues on campus or for training use
    • Conducts regular and periodic testing of ICT testing equipment in campus venues to ensure operability, including but not limited to:
    •         PCs
    •         Audio visual equipment
    •         Access point

    •         Office automatic equipment
    •         and fixes any issues identified  

    Information Technology Administrative Functions

    • Liaises with service provides on information technology equipment and maintenance thereof
    • Administers and maintains the ICT asset register and equipment tracker and completes necessary finance documents e.g. disposals

    • Maintains the information technology storeroom, server room and office by keeping it neat and tidy and free of any health and safety risks

    Lecturer Law- (Part-Time)

    Job Purpose:

    • To teach/lecture allocated modules. To engage and prepare students for assessments by tracking module pacers, identifying and supporting at risk students, managing general student administrative support, and developing assessments by engaging with the Central Academic Team.     Payroll Administrator (Fixed Term)

    Overall Purpose of the Job

    • To act as a link between the HR, Payroll Departments and other business stakeholders. The incumbent will be responsible for coordinating input, processing on employee central system and responding to payroll related queries. The successful candidate is expected to have knowledge and understanding of payroll administration processes. The candidate will also facilitate administration for employee benefits onboarding and off boarding.

    Duties & Responsibilities

    Input Processing

    • Monitor and action payroll input submitted via shared space/ticketing system
    • Validating the information received for accuracy and completeness
    • Accurate capturing of input received on EC or global input file in line with Payroll guidelines - Verifying total kilometers travelled and the rate per kilometre for each travel claim received. - Verifying total overtime hours as per the claim and the claim rate payable. - Validating and verifying the hours for additional work and capturing the claim using the correct cost centre
    • Processing of New Starts, Late Starts, Promotions/Demotions, transfers and Terminations on EC- Ensuring that all relevant supporting documents are on record for all staff movements/transactions.- Completing the CTC salary structure according to Payroll guidelines on EC- Competing the benefits structure as selected by employee- Verifying that the employee Job Details on EC match that of the supporting document- Where there are discrepancies bring the issue to HR/line manager attention for correction to be effected prior to processing.- Ensures that the Provident Fund contribution % correlates with employee onboarding supporting documents.
    • Updating of payroll transactions which require corrections on electronic correction forms
    • Capturing of bank details changes (where applicable), where banking details are updated by employee via EC ESS, verify bank details against Proof of Banking details uploaded on file.- Call existing employees to confirm bank account changes before payroll closing.- Where banking details changes are received after payroll closing date, notify employee that current month salary will be paid into existing bank account.- Schedule the bank account change to monitor if updated on next month integration.
    • Assists with the annual payroll audit process providing information/ documents as requested by line manager.
    • Identifies payroll risks and escalate to line manager for intervention.
    • Monitors adherence to company payroll policies and procedures, where deviation is identified, reports same to line manager.

    Stakeholder Engagement/ Relations

    • Liaising with HR department regarding payroll closing date/timelines as approved by Payroll Lead, in collaboration with GSS/PS, i.e. Payroll calendar.

    • Distributing of Payroll Recon for Payroll checks to be done by HRO/HRA and campus/department heads.

    Reporting & Documentation

    • Reports on Banking details changes for the month and ensures that the line manager receives the report for verification and validation purposes.

    Benefit Administration

    • Ensures that all onboarding documents for medical aid or medical insurance are completed correctly (by employee) and submitted for verification to line manager.
    • On termination of employment/cancellation of benefits (where applicable), facilitates the administration of off boarding the employee from medical aid and medical insurance.
    • Ensures that the third party termination notices are completed on time.
    • Obtains the line manager signature/approval for all onboarding and off boarding of employees as per benefits administration guidelines.
    • Coordinates the administration of death, disability and ill health benefits ensuring (in collaboration with HR) that insurer administration requirements are completed.
