    Technical Administrative Assistant - Field Services

    About the Technical Administrative Assistant position

    Our Technical Admistrative Assistant will undertake a broad set of administrative and clerical tasks, such as providing support to field services and installation teams, assisting in daily office needs and managing our the general administrative activities, particularly sheduling appointments, travel and meeting arrangements, preparing reports and maintaining appropriate filing systems. The role will ensure the efficient and smooth day-to-day operation of our Field Fervices office, based at the Linbro Park, Johannesburg Offices.

    Administrative Assistant responsibilities are:

    • Arrange and co-ordinate Field and lighting service support, appointments and travels
    • Manage phone calls and correspondence (including email, letters, faxes, orders and forms)
    • Participate in the preparation of regularly scheduled reports
    • Organize database lists and filing systems
    • Review and update Site policies and procedures
    • Collaborate with team members to handle requests and queries from clients

    Role requirements:

    • At minimum a Matric or NQF 4 level qualification
    • 2+ years' experience of working in an administrative support environment
    • Solid practical experience with administration management systems and procedures
    • Good practical experience with MS Office, particularly MS Excel Strong time management and problem solving skills with the ability to prioritize work
    • Outstanding written and verbal communication skills, with close attention to detail
    • Strong organizational skills with the ability to multi-task
    • Previous experience in the Energy or Lighting sector desirable

    • Computer literacy - highly Computer literate and comfortable with basic technical aspects of common operating systems with Microsoft Office general excellence
    • Competent Professional business written and verbal communications skills. The ability to express yourself clearly and effectively within the company.

    Junior Stock Controller - Industrial Tech

    About the Stock Controller

    We are seeking a Junior Stock Controller to join our Supply Chain Division in Pinetown, KZN. The Stock Controller is responsible for executing inventory control measures to ensure the company minimizes stock holding and increases paperwork accuracy. The role carries responsibility for working with purchasing, receiving and the Warehouse Coordinator and Logistics Manager to ensure necessary functions are carried out correctly as per Standard Operating procedures. Ensure 100% stock accuracy and reduce cost.

    Stock Controller responsibilities are:

    • Manage and reconcile daily counts and full stock counts.
    • Manage the receiving department.
    • Investigate and resolve stock discrepancies.
    • Perform daily cycle counts.
    • Implement and improving processes and procedures.
    • Ensure all daily counts are reconciled by close of business.
    • To be fully familiar with the layout of the stores to be able to locate stock items by row, shelf, and bin location with high degree of accuracy.
    • Operates warehouse handling equipment and ensures that the SOPs are followed.
    • Ensure physical stock and bin locations balances with theoretical (system).
    • Ensure receiving department replenish the right quality and quantity stock to the correct bin location or sales order. – bin put away worksheet.
    • Ensure all orders costed are packed away in the correct bin location within 24 hours of receipt.
    • Ensure all stock is in the correct bin location order and that all stock is correctly marked with a Rubicon label.
    • Ensure all items are allocated to a bin on the MRP system and is accurate.
    • Maintain FIFO principles/First in first out.
    • Ensure stock is stored in the correct unit of measure as it would be sold.
    • Handle and manage all stock transfers.
    • Count and reconcile stock in all other warehouses.
    • Removing all damage, obsolete stock from the shelves.
    • Run monthly obsolete stock report and discuss with management/sales.
    • Ensure that all shelves, passageways, bins, and stock is always clean.
    • Provide a safe working environment, adhering to Health safety procedures.

    Required:

    • Minimum of Matric or NQF4 equivalent
    • A post Matric Supply Chain/Logistics or similar qualification advantageous
    • 1-2 yrs previous experience as a Jnr Stock Controller
    • Experience in working on a MRP system-NetSuite will be advantage.
    • Experience in conduction audit cycle and Annual stock counts.
    • Sound knowledge of stock control and variance reconciliations
    • Valid unendorsed Code B driver's licence (essential)

    • Develop profitable and sustainable sales growth through engagement with current and potential customers within the assigned sales region

    • Close and grow sales through professional communication and interaction with current and potential customers and provide exemplary customer service throughout the sales cycle
    • Establish and maintain productive, long term professional relationships with decision-makers at customer organizations and create action plans for follow-up; Key accounts could require monthly / weekly follow-up's
    • Expand market awareness of our products and our industry experience by communicating features and benefits of our products and services effectively
    • Maintain records of customer communications and contact information as required through Hubspot
