    Legal Secretary

    Duties and Responsibilities

    • Coordinates the legal administrative process in any claims instituted as a result of legal action
    • Compile; type and collate relevant legal documents and forms.
    • Peruse files and flag relevant information for the Legal Officer
    • Maintain a follow up system on all legal matters and ensure timeous submission thereof
    • Mail, fax and arrange delivery of legal correspondence to clients
    • Organize and maintain documents and case files
    • Submit required documentation and forms timeously to the relevant departments and third parties.
    • Update and capture data on the Legal system
    • Make photocopies of correspondence, documents and other printed matters
    • Assist Legal officer in collecting information on pertinent matters and other records
    • Handle queries related to cases, legal documents and forms.
    • Prepare files for trial, paginate and index
    • Responsible for Legal Officers diary
    • Administer withdrawn cases and update system
    • Administer matters presented to the board for deletion and ensure that all legal cases of those matters are also closed on the system
    • Assist to resolve cases referred to legal as well as from the weekly matters to be resolved list received from IT
    • Compile "Long and short story" deletions, liquidation matters to be deleted and capture them on the deletion system, as well as prepare them to be presented to the Regional board Meeting
    • Compile monthly report for Board meetings as well as management meetings.
    • Compiles Statistics of cases and funds received
    • Type any legal documents to the specification of Legal Officers
    • Attend to any adhoc duties for Legal Officers
    • Attend to Sheriff matters

    Knowledge / Experience / Skills / Abilities

    • Experience with typing legal documents and forms.
    • Ability to withstand pressure and provide the internal clients/customers with above average services
    • Ability to overcome obstacles and meet targets and deadlines, thereby producing the specified results

    Qualifications

    • Matric (Grade 12) required
    • Paralegal qualification required
    • Excellent typing skills
    • Experience in a legal secretarial position is essential.
    • Knowledge of law, legal codes, court procedures, precedents, executive orders , agency rules and legal recovery processes
    • Advance computer literacy.
    • Query resolution skills
    • Knowledge of administrative and clerical procedures and systems i.e. managing files and records and other office procedures and terminology

    Designated Agent

    About the Role

    • We are seeking a highly motivated and detail-oriented Designated Agent to join our organisation. This role involves managing administrative processes, conducting inspections, supporting employer compliance, handling returns and complaints, and assisting with legal and regulatory matters. The successful candidate will play a pivotal role in ensuring the smooth operation of compliance functions while promoting the organization’s standards and values.

    Duties and Responsibilities

    • Conduct self-assessment, desktop and onsite routine inspections to ensure compliance with MIBCO Collective Agreements, which includes wage audits, verify employ records and promoting statutory requirements through support or enforcement
    • Identify, investigate and resolve contraventions, which includes handling complaints, issuing compliance notices and preparing legal referrals and supporting documentation where necessary.
    • Manage and administer returns processes, which include assisting employers with forecasting, verification, capturing outstanding returns, resolving non-payment issues, attending to allocations and providing training on online returns systems.
    • Facilitate new business registrations by capturing required information, conducting employer onboarding, promoting compliance practices providing education on statutory obligations and Council agreements and conducting take-on inspections
    • Facilitate the deletion of businesses that have ceised trading and refer the necessary documentation to the Legal Department to complete
    • Support exemption applications and ensure adherence to approved exemptions and related requirements.
    • Maintain accurate records on SLX, including employer and employee data, engagements, terminations, and compliance-related updates.
    • Plan and coordinate inspections, investigations, and administrative activities, including pre-inspection preparation and follow-ups.
    • Provide support on self-service portals, provident fund activities, and liable person registrations.
    • Conduct onsite training and mentorship for trainee agents and contribute to their development through activity reporting.
    • Manage allocated resources (company vehicle, laptop, cellphone) and ensure proper use of personal protective equipment.
    • Complete all required reporting, including daily activity reports, pay-in sheets, and monthly travel logs, while monitoring and managing task aging.

    Requirements

    Qualifications

    • Grade 12 certificate and/or equivalent .
    • Related Labour relations qualification
    • Related Labour Relations qualification advantageous.
    • Minimum 2 years’ solid experience in Labour Relations.
    • At least 1 year experience dealing with Bargaining Council Agreements eg Collective agreements, Administrative agreements etc.
    • Automotive trade related qualifications advantageous.
    • Knowledge or experience in the motor industry  advantageous.
    • Knowledge and experience in Labour Relations and Bargaining Councils is advantageous.
    • Ability to communicate effectively in English and handle correspondence independently.
    • Valid South African driver’s license with a minimum of at least 2 years driving experience (currently actively driving) and willingness to travel for business purposes
    • Successful completion of the Agents’ Examination, Parts I & II, will be an advantage

    ADDITIONAL REQUIREMENTS:

    • The candidate will undergo a psychometric evaluation to assess role suitability .
    • The candidate will undergo a driving assessment with an accredited driving institute to determine driving ability.
    • There is a 3-month probation period wherein the candidate will undergo the MIBCO Designated Agent Part-1 Trainee Agent course.
    • The candidate will undergo an additional 3-month MIBCO Designated Agent Part-2 Agent training course to do field work and master the Designated Agent inspectorate duties, before being approved by the General Secretary and designated as a MIBCO Agent by the Department of Employment and Labour.

    Note:     The candidate must be declared suitable and competent for all of the above to acquire the MIBCO Designated Agents status in accordance with Section 13 of the MIBCO Constitution and Section 33 of the Labour Relations Act, No. 66 of 1995, as amended.
